How can I re-print a W-2 from 2016 for an employee?

Hello, Sherrijanzen.


Printing the 2016 W-2 form is quick and easy. Prior years W-2s (and other filed forms) are saved under the Filing History in the Payroll Center.


To access and print them, here's how:


  1. Click on the Employees at the top menu bar.
  2. Select Payroll Tax Forms & W-2s, then click Process Payroll Forms.
  3. Under Filing History, find the prior year's W-2. 
  4. To access and print your W-2 information, click on the link under the Saved PDF column.

Thank you very much for your help.  I need to go one step further.  My current version of Quickbook does not have files from before it was installed.  How can I access the files from before my upgrade?

You can check this with the Internal Revenue Service website and download the W-2 form from 2018 since you can only print the current and previous year (2020-2019) of the W-2 form in QuickBooks Online.

After you've downloaded the form, you can contact our QuickBooks Care Team to help you get the information from 2016. Here's how to contact them:

  1. In your QuickBooks Desktop company, press F1 so that you will be routed directly to QuickBooks Desktop Help.
  2. Enter your concern on the search box.
  3. Click on the Contact Us button.
  4. Choose the way you want to connect to them.
  5. Follow the on-screen instructions.
