Where are form printer settings?

Over 6 months ago, we changed from an HP to an Epson printer.  The Epson is the default printer in Windows (10).  Invoices, checks, statements, ... everything we print has gone to the Epson ... until today.  Today I discovered that

* if I am at the "create statements" page and set the dates I want, etc. I have the choice to Print, Email, or Preview.  If I choose Print, the statement goes to the Epson printer.

* However, if I choose Preview and I am looking at the statement, I then also have choices at the top of the screen, one of which is to Print.  If I choose Print on this screen, I do NOT get the normal Printer option display showing me which printer is to be used or any options, but instead the print is somehow sent to the old HP printer.   WHY and HOW?  Where are the settings for this, and WHY on earth would the design team in QuickBooks have the print result from this set of actions be different than selecting print from the Create Statements screen?

Where do I find the way to change this from happening?

You can set up a default printer for the different kinds of transactions. Here's how:

  1. Go to File.
  2. Choose Printer Setup.
  3. Click the Form Name drop-down arrow, then choose a transaction.
  4. Click the Printer name drop-down arrow, then choose a printer.
  5. Click OK.
Continue the steps to assign each transaction a default printer.

Where are form printer settings?

Thank you.  That solved the problem.  However, it did raise another question:   Since I had never been in this area before, how is it that all the other possible entries (form options) had the Epson printer listed as the default, but the Statements had the HP?  I don't recall ever setting any of these printer defaults, and I'm not sure how some (most) had the correct default printer, but one didn't ....???  Confusing  .....

Hello scottsgardens,

Thanks for getting back to us. It's possible that your computer's default printer is already Epson, and QuickBooks recognized that which changed the default printer for some transactions. It's also possible that if you have other QuickBooks users, they have already changed the default printer in some transactions.

Hi, tfhcpaco.

I'm here to help you print your payroll checks via the QuickBooks Desktop Premier.

In order to resolve this, you'll need to update QuickBooks to its latest release version and update your printer's driver. The purpose of the printer driver is to allow applications to do printing without being aware of the technical details of each printer model. If you're not familiar with the process, I suggest you reach out to your IT personnel.

To update QuickBooks:

  1. Click Help at the top.
  2. Choose Update QuickBooks.
  3. Under Options tab, click Mark All and hit Save.
  4. Under Update Now, select Reset Updates and Get Updates.

Also, you may find this article helpful: Fix printer problems in Windows 7 and Windows 8.1.

For additional help, feel free to reach out to our QuickBooks Desktop Payroll Team. You can get our most updated contact number here:

  1. Go to: https://help.quickbooks.intuit.com/en_US/contact.
  2. Choose your QuickBooks Product.
  3. Select your QuickBooks version.
  4. On the Contact Us page, click a topic.
  5. Click on the Get Phone Number button to see the support number.

Should you need anything else, please let me know.

There's probably a new update on your Adobe Reader that needs to be installed, HANNAH12.

This program is responsible for printing all of your files in QuickBooks. You can visit the Adobe website for the detailed instructions to install new updates. After doing the process, reprint your checks to see if the alignment is back to normal. If you get the same result, we can proceed with updating your Adobe Reader.

Here's how:

  1. Close all open web browser windows.
  2. Click Start on the lower left-hand corner of your screen.
  3. Type Control Panel, and then press Enter.
  4. Click Programs and Features.
  5. Select Adobe or Adobe Reader, and then click Uninstall/Change.
  6. In the Setup dialog box, click Next.
  7. Select RepairNext, and then Install.
  8. Click Finish when the repair is complete.
  9. Restart your PC, log back in to QuickBooks, and then try to print the checks again.

I've also prepared an article for more troubleshooting steps to help you fix printing problems in QuickBooks Desktop.

You can always ask for my help if you need assistance printing your forms. Thanks.

Where are form printer settings?

Hi, @amemgmt.

I can guide you with some troubleshooting steps so you can print your checks in QuickBooks Desktop.

Usually, there are lots of possible reasons why you can't print your forms in QuickBooks. QuickBooks is not responding to the request, there is a problem connecting to your currently selected printer, Microsoft XPS Document writer on XPS port, the device is not ready, and others.

For now, I recommend running the QuickBooks Print & Print Repair Tool from the QuickBooks Tool Hub.

  1. Close your QBDT.
  2. Download our QuickBooks Tool Hub file.
  3. Open the downloaded file.
  4. Follow the onscreen steps to install the program.
  5. Double click the icon on your Windows desktop to open the tool hub.

Once done, here's how to run the QuickBooks PDF & Print Repair Tool from the Tool Hub.

  1. In the QuickBooks Tool Hub, select Program Problems.
  2. Select QuickBooks PDF & Print Repair Tool. It will take about a minute to run.
  3. Attempt to print your checks.
