Deactivate Multiple Estimates at Once

Hello.  Is there a way to deactivate multiple estimates at once?  I want to deactivate a date range of estimates, but it's so time consuming and tedious to go into each individual estimate to mark as Inactive and then Save and Close.  A majority of the time a million other boxes pop up when I try to Save and Close, such as it's over 90-days, are you sure you want to do this, spellecheck galore, do you want to resend and so on and so forth!  With technology nowadays, you'd think there was a quicker way to get this done!!  There are over 100 estimates that I need to mark as Not Active and doing it one by one by one by one seems so archaic!  Thank you!

I know how important it is to have this kind of feature in QuickBooks. Currently, the option to mark the estimates inactive can only be done individually.

Deactivate Multiple Estimates at Once

Hello, @PLX18.

 

Currently, the batch delete transaction feature is only available for invoices, bills, and checks. You'd have to delete each estimates one-at-a-time.

 

Here's how:

  1. Go to the Customers menu.
  2. Select the Customer Center.
  3. Choose the Transactions tab.
  4. Pick Estimates.
  5. Double-click on the estimates you want to delete.
  6. Click the Delete option on the upper left.
  7. Select Save & Close once done.

I didn't state that I wanted to delete anything.  I asked how to DEACTIVATE (make NOT ACTIVE) multiple estimates at once, instead of going to into each estimate and marking it as NOT ACTIVE and then saving it.  Is there a way to make multiple estimates NOT ACTIVE at once?  Thank you.

I didn't say that I wanted to delete anything.  I asked if there was a way to make multiple estimates NOT ACTIVE (deactivate) them all at once, instead of going into each individual estimate, marking it as NOT ACTIVE, saving and closing.  Is there a way to do this to multiple estimates?  Thank you.

You can do this using Income Tracker. Use the Batch Actions when viewing the unbilled estimates.

This answer is Not Solved! It is untrue. 

You can batch mark estimates inactive using Income Tracker. Click on Unbilled Estimates and then you will see under batch actions - mark as inactive.

In case you are still looking for a solution to make multiple estimates inactive at once, I have a solution in QB Enterprise.  I did the following:

 

Choose "Customers"

Choose "Income Tracker"

Choose "Unbilled Estimates" tab in the far left upper corner

Mark the estimates to be made inactive

Choose "Batch Actions" Drop Down Menu

Choose "Mark as Inactive"

 

I discovered that estimates that were dated prior to the closing date I had set in the company file were not eligible for batch options.

Worthless feature as you can not sort by date in this menu.  So you have to make all estimates inactive at once or pick through the list of open ones to uncheck which you can not sort by date generated.

I know how precious time is for you, and I recognize the importance of having the option to make all estimates inactive at once or sort the entries by date generated. Please know that QuickBooks Desktop is constantly changing and evolving based largely on the requests of users. With that, I'll ensure you can send feedback so our product developers can consider adding the feature in the next updates.

 

For now, the possibility to mark the estimates inactive can only be done individually. Then, you'll have to manually click the date drop-down arrow so you'll be able to select a specific date. With this, I encourage you to submit feedback. These requests and suggestions are forwarded to the Product Development Team for consideration in future updates. To start with, you'll have to go to the Help icon and choose Send Feedback Online.

Intuit does not have any technical support. None. They rely on users helping other users. I was once a very advanced user of a different product and could answer all of that company's customer questions through an online support portal like this one. When I realized that the company was depending on me to do that and not contributing to the cause themselves, I abandoned a whole lot of their customers. I ended up abandoning all of that company's products for anything that I designed. It was Texas Instruments.

I'm confused, you're saying it can only be done individually but one of the comments here gives instructions on batch inactivating and it works. Please clarify.

This has been going on for years. QuickBooks clients are frustrated with features that should have been fixed long ago. In order to deactivate an Estimate, I have to click on 5 little screens for each estimate to deactivate it. Multiply that by hundreds each year and it's too big of a time suck to tackle. Rather than Intuit engineers fixing it, they leave it to their customers to continue to wrestle through the headache. Once a company's product is the industry standard, they don't have to bother with silly issues like this, but they will take the time to issue a friendly "we'd love to hear your thoughts" post even though they know nothing is going to be done to fix it. It would be better not to respond than to respond with something that is demonstrably false.

The option to mark as inactive does not appear in the Batch Actions in QB Desktop Pro Plus 2022. 

 

It does require fewer steps to do it in Income Tracker, so that was a great tip. But it still does not mark them as inactive in a batch - it will only do it individually. Also, you cannot enter a custom date range on the dates. So if you want to go back farther than the last fiscal year, you have to use "All" under the date selection option.
