Common Reasons for Payment Deposit Delays:

  • Undeposited Funds:
    • Often, when payments are received, they initially go into an "Undeposited Funds" account. This is a holding area. You must then manually transfer these funds to your actual bank account within QuickBooks.
    • To resolve this, you'll need to use the "Bank Deposit" feature in QuickBooks to move the funds.  
       
  • Processing Times:
    • QuickBooks Payments, like other payment processors, has processing times. Deposits don't happen instantaneously.  
       
    • Factors affecting processing time include:
      • The type of payment (credit card, ACH).
      • The time of day the transaction occurred.
      • Your bank's processing procedures.
      • Initial setup of your quickbooks payment account.
  • Incorrect Account Information:
    • Double-check that your bank account information in QuickBooks is accurate. Any errors can cause deposit failures.
  • Payment Holds:
    • QuickBooks or your bank may place holds on payments for various reasons, such as suspected fraud or to verify information.  
       
  • QuickBooks Glitches or Errors:
    • Occasionally, technical issues within QuickBooks can cause delays.
  • Bank processing delays:
    • Banks can have delays in processing electronic transfers.

I appreciate you reaching out here in the Community, 7sevenwhole. I'm here to illustrate why customer payments are not automatically deposited to your account and what you can do in this situation.
 

Please know that processing funds for first-time QuickBooks (QB) Payments users take up to five business days. This procedure ensures the safety of both the payor and the payee. Meanwhile, existing QB Payments account users will receive the transferred money within three business days.

 

To learn the estimated time when customer payments get transferred into your bank, you can review your Deposit Speed in QB. To do so, refer to the steps below:

 

  1. Open your QuickBooks account.
  2. Navigate to the Gear icon and select Account and settings.
  3. Click the Payments tab, then review your Deposit Speed.

 

You can also check the status of customer payments from the Merchant Service Center page:

 

  1. Login to the Merchant Service Center page using your QB Payments account credentials.
  2. Go to the Activity & Reports dropdown, then Deposits.
  3. Modify the Dates field accordingly and locate the customer payment from the list.
  4. The status of the transaction will be displayed in the Method column.

 

If the Method column shows Withheld, it indicates that there are additional security measures that need to be taken or there's an issue with the transfer process. When this occurs, we'll notify you via email that contains complete details about why the deposit is on hold and how it can be resolved.

 

That said, open and review the sent notification by navigating to your email's inbox. If it's not visible in your inbox, look for it in your spam or junk folders. Whenever you can't locate it after reviewing all your folders, I suggest contacting our Support Team so they can help you with this matter.
