How to create a relationship between a sales order and a purchase order

Hi,

Some of the products we sell are custom orders. When this happens we need to send purchase order to the manufacturer for the custom order.  I need to be able to easily find the relationship between the sales order and the purchase order for tracking purposes. 

Does anyone have a recommendation on how to accomplish this? At the moment I use the memo field of the purchase order, but this method is not efficient. Any recommendations?

I'll be glad to share what I know about purchase and sale orders.

 

To help you keep track of the items you promised to customers, you can create a sales order and create a purchase order within the sales transaction.

 

Here are the steps to turn on Sales Order:

  1. Sign in to the QuickBooks company file as Admin.
  2. From the QuickBooks Edit menu, select Preferences.
  3. On the left pane, choose Sales & Customers then go to the Company Preferences tab.
  4. Select the Enable Sales Order checkbox then select OK.

Once the sales order is turned on, you can create a purchase order for all items or selected items.

Hi Abegail,

Thanks, I understand how to create the purchase order from within the sales order. 

Is there a way to get a report that lists the sales orders and the associated purchase order? I need to be able to look at the open sales orders and quickly find if a purchase order was placed. I also need to know if the purchase order was shipped or confirmed by the supplier.

Greetings, @Jenny-TMX.

 

You can run and customize the Transaction Details report. I can guide you on how to do it.

  1. Go to the Reports tab.
  2. Choose Custom Reports.
  3. Select Transaction Detail.
  4. Click the Customize Report button.
  5. In the Display tab, update the report date.
  6. On the same page, click Paid from the Columns section.
  7. Go to the Filters tab.
  8. In the Filter section, click Posting Status then select Either from the options.
  9. Click Transaction Type from the Filters, and choose Purchase Order from the Transaction Type drop-down.
  10. In the Total By drop-down, select Customer.

This report will show the PO's received or billed. To view open PO's, you can use the Open Purchase Orders by Job. Follow the steps below:

  1. Go to the Reports tab.
  2. Click Purchases.
  3. Choose Open Purchase Orders by Job.
  4. Click the Customize Report button.
  5. Go to the Display tab.
  6. In the Columns section, click Debit and Credit.
  7. Click OK.

QuickBooks Advanced Reporting is an add-on subscription that helps you create customized reports.

This way, you can use your company file data to create your report and customize this based on your specific needs. Thus, you can see the sales orders associated with its purchase orders.

How to create a relationship between a sales order and a purchase order

I understand what you're getting at. I am also struggling with this issue. In my mind, purchase orders created from sales orders should show under Related Transactions on the Transaction tab. Transaction history also does not show purchase orders created from sales orders. Purchase orders show the sales order number in the memo field, but it's not a link. 

 

I want to be able to click links from one to the other without having to run yet another report.

This is very inefficient - why doesn't the PO show up on the Sales Order under the transaction list?  I was told by QB Priority Circle support that it should.  The other issue is we can't see the line item detail on any open order reports even though the fields are available.

Has anyone ever received an answer on how to do this?  It seems that the Quickbooks moderators only know how to tell you to add on QB Advanced Reporting, but no actual solution.  

 

I have advanced reporting.  Is there a basic report available with this info or do I need to create from scratch...if even possible?

I appreciate you for joining us here in the Community. Let me step in and share some clarification about how the Related Transactions feature works in QuickBooks Desktop.

 

The Related Transactions feature in QuickBooks can only identify transactions of the same type. For example, creating a sales order from an estimate both show as customer-related transactions.
 

However, creating a relationship between a vendor and customer type transaction is unavailable (see screenshot below). For now, the workaround is to utilize the Memo column to take note of the related transaction.

 

 

I know how important being able to link them seamlessly in Desktop version. Know our product engineers provide updates regularly to improve the features and options, including the navigation.

As we assess this, I recommend sending feedback about the feature to our engineers.

 

Here's how to submit feedback:

 

  1. Open QuickBooks Desktop.
  2. Click the Help tab at the top menu bar.
  3. Hover your cursor to Send Feedback Online, then select Product Suggestion or Help System Suggestion.

 

You can also play around with the reports by customizing the data, adding or deleting columns, adding or removing information on the header/footer, and even personalizing the font and style of the report. For additional guidance, check out this link: Customize reports in QuickBooks Desktop.
