Let's get rid of the error so you can enter past date paychecks in QuickBooks Online, spszales7.

 

You'll received this message once the system detects that there are paychecks already created and tax payments are paid.

 

To continue with the backdate process, you can create your paychecks as you normally would.

 

  1. Create your paychecks.
  2. Change the paycheck date to the date you paid your employee.  Change the pay period if necessary. 
  3. Change the check type from direct deposit to paper check if that's how you paid them, and submit your payroll.

You'll want to pay again your payroll taxes and file forms when needed.

 

If you want to start over with your payroll. You can delete those paychecks and enter prior payroll

You're receiving this error because you may be creating a paycheck dated before your last payroll, or its date is too far from today's date.

 

Backdating a paycheck is not commonly practiced in QBO, but you can do that if you delete the most recent paycheck. For example, if the latest payroll is 2/28, but you forgot to enter one for 2/15, you need to delete the 2/28 paycheck first so you can create the one for 2/15. However, if the latest payroll was processed via direct deposit, please do not touch it. You'll want to contact our QBO Payroll Support instead.

Hi - Receiving this message when trying to back date paper payroll checks to two days ago. It doesn't conflict with another pay period as we paid our last one on Oct 28th. Trying to write paper checks with 10/31 as pay date and if so taxes would be due on Friday Nov 4th so still have time? How do I remove the warning since we will not incur a late tax fee and we are not late?

My colleague, JessT, is correct. You might create a paycheck dated earlier than your most recent payment, or its date may be too far away from the current date, which is why you are getting this issue. Thus, the only way we can eliminate this error is to ensure your tax schedule.

I'd like to know more about this matter to provide the correct resolution. Nonetheless, to enable you to run the payroll seamlessly. That said, can you tell me if you have a tax schedule that will incur a late payment when creating checks? If so, there isn't a way we can remove the alert.

To get to the bottom of this, I want to know when your tax due will be. Also, what paycheck date did you use when the error prompts? That information will significantly help me outline the correct solution.

I can't enter a payroll with an earlier date either.  I key in payroll for a client who writes manual checks.  I add the checks to the system to process tax payments and file tax forms.  This is unacceptable.
