Canceling your Payroll subscription in QuickBooks Online (QBO) is pretty quick and easy. Before doing so, make sure that you have done the following:

 

  • Paid any outstanding tax deposits
  • Filed any outstanding quarterly forms
  • Printed necessary payroll reports

 

If you're using Online Payroll Enhanced, here's how:

 

  1. In QBO, go to the Gear icon at the top right to get to the Account and SettingsGear-AccountandSettings.PNG
  2. Select Billing & Subscription menu at the left pane, then tick Cancel in the Payroll section
  3. Click Continue to cancel and complete the survey.
  4. Hit Confirm cancel.

 

If you have Intuit Online Payroll Enhanced:

 

  1. Go to Settings.
  2.  Under Billing and Service, tick Cancel Service.
  3. Complete the survey, then select Cancel Service.
  4. An email will be sent to confirm cancelation.

 

Once canceled, you'll have access to the data for six months after the end of the tax year in which that data was collected. You must make your arrangements to retain the data after that time.

If I cancel my subscription effective 12.31.20, will I be able to run 2020 W-2s through Quickbooks and file my 941, 940 and state payroll tax returns in January 2021?

You can still run 2020 W-2s through Quickbooks and file your 941, 940, and state payroll tax returns in January 2021 outside QuickBooks. 

 

Before cancel your subscription, make sure to prepare and archive tax forms. This helps you open the forms  anytime within your QuickBooks Online account. Here's how:

 

  1. From the Taxes menu, select Payroll Tax.
  2. Select Quarterly Forms or Annual Forms, as appropriate.
  3. Choose the desired form.
  4. Select the liability period.
  5. Then, hit the Archive button.

 

Once done, you can then view them anytime, and when filing forms in January 2021, you can do it outside QuickBooks since the subscription is no longer in use. Also, you may want to check these articles to learn about payroll reports that you can run in QuickBooks:
