Location of sale address

Does anyone know how to change location of sale in QB online? When creating an invoice it automatically enters our main office location but we have multiple locations.

Location of sale address

Ask and you shall receive, @robertinc.

 

QuickBooks Online will usually default to the Company Address in your file settings to sales forms such as Invoices. However, for business's with multiple addresses, we do offer Location Tracking for QBO Plus subscribers. If you're on a Plus subscription and want to set up multiple invoice addresses, see the instructions below:

 

Using Location Tracking for Sales Forms

  1. Begin by enabling the setting in QuickBooks. Click the Gear icon (⚙) and select Account and Settings.
  2. Navigate to the Advanced tab and click the Categories section to open it.
  3. Turn Location Tracking to On. Click Save and then Done.

This information is also available from our location tracking guide as well you're interested. Once the feature is enabled, follow the steps below to set them up on your invoices:

 

Changing the Address on Sales Forms Per Location

  1. From QuickBooks Online, click the Gear icon (⚙) and select All Lists.
  2. Click Locations. For the Location you'll be editing the address for, click the drop-down ▼ and select Edit.
  3. Check the box for This location has a different address where customers contact me or send payments and enter the address in the fields. Click Save.

Thank you so much for replying. This helped and allowed me to set up different locations. But It is still doing the location of sale wrong. For example, when I create the invoice for Alvarado, I entered the Alvarado location on the invoice. To make sure the taxes were right,  I clicked the sales tax box, and it pulls up that sales tax collected is 6.25% for Texas State and Texas Rockwall City. But that’s wrong. It should be Alvarado, not Rockwall. Then I clicked the pencil icon, and it says it’s based on where you sold the item and it lists our main address in Rockwall. But it’s really Alvarado. I have location on and I entered the correction location on the invoice so I have no idea why it keeps defaulting to Rockwall. Does his make any sense :)

Hi there, robertinc.

 

I'd like to add to the discussion here and ensure your invoice is calculating the correct sales tax for your customer.

 

QuickBooks Online uses the Shipping Address of your customer to figure out the appropriate sales tax to calculate on your invoice. With that said, let me walk you through the steps on how to enter this in your customer's profile:

  1. Click Sales on the left navigation menu.
  2. Go to the Customers tab.
  3. Select the customer name.
  4. Click the Edit button.
  5. In the Address tab. enter the correct details in the fields for the Shipping address.
    - If you entered a Billing address, and it's the same as the Shipping address, then check the Same as billing address check box.
  6. Click Save.

 

I'm also including our detailed guide on how to set up and use sales tax and how to apply it on your transactions, just in case.

 

That should do it. I'm confident that you'll be all set and ready to go with the sales tax.

Location of sale address

Thanks for the information.  I double checked all those steps and everything for the customer is correct.  I attached a picture of what I think is the problem but I don't how to fix it.  It still has the location of sale as the main company address, even though I have the location on the invoice and all the customers information has the correct address.

I appreciate you trying the steps provided by my colleagues and for adding a screenshot of your concern. Allow me to jump in for a moment and help make sure that this is taken care of.

 

Since the issue still persists after following those steps, I highly recommend contacting our Phone Support team this time. They have the tools such as screen-sharing that can check your QuickBooks Online account and further investigate what why the location of the sale is still your main company address.

 

Here's how to reach them:

 

1. Go to: https: //help.quickbooks.intuit.com/en_US/contact#.
2. Choose your QuickBooks product at the upper right.
3. Select a topic.
4. Click on the green button that says Get Phone Number.​

Hi there. I did call them before I posted the original post and spent two hours on the phone with them. They offered no solution and said they didn’t have a solution for what I was trying to do. It’s been very frustrating.

If I were in your position, I bet I’d have the same concern, Robertinc.

 

I can give you a workaround. You have the option to override the sales tax rate/amount. Let me guide you how:

  1. Open the invoice, then click the Sales tax link.
  2. Click the Pencil icon in the Tax Categories and Totals row.
  3. Click Override this amount.
  4. Enter the sales tax rate/amount, then choose Item is taxed somewhere else as the Reason.
  5. Click Confirm override, then click Close.
