Let me share additional information, @LorriTES.

The error message you're getting means that your account has been marked as inactive. This can be resolved by reactivating the account from the Chart of Accounts.

Here's how to make an inactive account active again:

  1. On the left panel, click Transactions.
  2. Select Chart of Accounts.
  3. Above the Action column, click the Settings option.
  4. Put a check mark in the Include inactive box.
  5. Look for the inactive account, and click Make active

Also, if you have a lot of unbilled expenses, and you want to remove them, just go to your Dashboard.  On the top of your screen where the URL is, remove "homepage", and put this in your URL after "/app/"  managebillableexpense. So your URL will say: c__.qbo.intuit.com/app/managebillableexpense.

If the issue persists, I'd recommend contacting our Customer Care team.

Here's how:

  1. Go to the Help icon.
  2. Click on the Contact Us button.
  3. Enter brief info about your concern.
  4. Tick on the Let's talk button.
  5. Lastly, select the Get a callback button to arrange a call from them.

QBO Plus; how do I clear thousands of unbilled expenses? When using "managebillableexpenses" I get error message "The account you are trying to use has been deleted"

The only way I know is to add them to an invoice, save, then delete the invoice

Thank you for taking the time to respond Rustler.  Unfortunately with thousands of unbilled items (68 pages worth) and deleted or inactive customers it would take weeks to process them all manually.  Hopefully there is a better option out there somewhere!

Thank you IamjuViel.  Unfortunately (again), I don't know which account is inactive (and there are many) and holding up the managebillableexpenses...  I'll keep plugging along.

I did go in and reactivate all (many) inactive accounts and ran managebillableexpenses again with success.  Now to go back and deactivate all the accounts.  :)  I would like to share in the prevalent sentiment that QBO is not intuitive, nor user friendly!  If, while running managebillableexpenses the system was able to produce an error message that a deactived (G/L account) was holding up the process, the system should also produce the name/number/identifier of the account(s) w/o too much difficulty!  Now I'm off to find the workaround to the new "schedule payment" and absence of "make payment".  Thanks again!

My client had set up all their items as INVENTORY type items, and the WIP accounts were also listed as Inventory type Other Current Assets.  This was incorrect.  We are doing a major clean up and unfortunately did not clear out the unbilled expenses before inactivating the inventory items and changing the account type on the OCA to Other Current Asset.  (over 300 items and corresponding WIP accounts...)  Now we cannot remove the unbilled transactions because the invoice can't be saved because the item no longer exists.

Welcome to the thread, KBTX2020.

Thanks for providing detailed information about your concern.

Let me share information with you on how to remove a billable expense charge in QuickBooks Online (QBO).

You can remove unbilled expenses that show up when creating an invoice, here's how:

  1. On your QBO account, go to this link https://qbo.intuit.com/app/managebillableexpense.
  2. Enter the correct date as the system will hide any unbilled expenses created before that date and will mark them as Closed.
  3. Hit Save.

See this article for a guide on the process above.
