To record a payment in your QuickBooks Desktop (QBDT) software, you’ll want to go to the Customers menu and select Receive Payments. However, this will create an open balance to your customer as there’s no invoice to link the payment.

Also, the invoice created from your QuickBooks Online (QBO) account will be marked as overdue or unpaid. I’d suggest reaching out to your accountant for the best advice on where to record the transactions. This way, we can guarantee your books are well accounted for.

Nonetheless, you can follow these steps on how to receive a payment in your QBDT software:

1. Go to the Customers menu and select Receive Payments.
2. Select a customer from the Received From drop-down menu.
3. Enter the amount received from the Payment Amount field.
4. Fill in the needed information and click Save & Close.
5. From the Payment Credit pop-up window click OK to save the transaction.

Hi,

It would be a good option to transfer the master files with opening balances (broken down by due invoices). This way you will be able to record customer payments and also generate a AR Ageing Report.

First transfer the accounts closing balances from QBO to QBD as opening balances now, well aligned to their  respective customer names and vendors names using the following options; (1) you can user the import method of excel to QuickBooks, (2) you can use Journal Entries. So as they don't present the figures as uncategorized income or expenses.

QuickBooks Desktop is only available in United Kingdom, United States, and Canada. Other countries including Somalia can subscribe to QuickBooks Online instead. This is a web-based version of QuickBooks which you can access anytime and anywhere as long as you have an internet connection.

Do you need the QBD Enterprise US version or else?

You mean I can't be in Uganda and get a Quickbooks Enterprise Desktop yearly Subscription. Because am hoping to use it on over 30 Users/Computers, actually I intend to use it on 50 users scale.

QuickBooks Desktop Enterprise version is only available for the 3 regions namely United States, United Kingdom, and Canada. This is because it is designed to cater to the specific SE taxes of the countries. However, we have another QuickBooks version that is available for some countries named QuickBooks Online (QBO). This has a general accounting principle that can be applied globally with exemption to some regions. To know more, please head to the QBO international version. You can set up a company from there by selecting your country.

You may use QBD Enterprise Silver for 30 users or QBD Enterprise Diamond for 40 users in Uganda. Should you need more than 40 users to access one company file at the same time, you may consider a few options as a workaround.
