Credit cards - combining the accounts

I am struggling to find the banking page with the pencil in the corner in desktop pro 2020. Can you point the way?

You can find it through the Banking menu in QuickBooks Desktop. From there, choose Bank Feeds, then Bank Feeds Center. 

While navigating through the program, I went to the same page to look for the pencil icon. The option isn’t showing on my end.

On the image above, click on Disable Bank Feeds. It serves the same function as the pencil icon. You won't actually disable a bank feed, but you will be able to select options. After clicking that link, you will see a screen with 2 tabs; "General", & "Bank Feed Settings". Click on Bank Feed Settings and enter the banking website's password for the account owner, then click on General. In "General, under the account name, check the little check box that says "subaccount of" then select the old account. hope this helps. I just did it for one of my accounts for the exact same reason. Good luck!

In that picture, click on "disable bank fees" it will not just automatically disable bank feeds. It will instead allow you to edit the settings of that account. When you click on "Disable Bank Feeds" you will see a screen with 2 tabs at the top; General, & Bank Feed Settings. By default you are on the general tab. click on the Bank Feed Settings tab and enter the users password for the banking site of that account, then click on the general tab. Underneath the name of the account, click the little check box that says "Subaccount of:" and select the old account. Click Save & Close, and you are done. I just had to do this with a card on my account for the same reason. Good luck!

When I click on the pencil icon the only option available is "Edit account info". This is for a Wells Fargo credit card account. How do I proceed?

Merging your credit card accounts can be done in just a few easy steps.

1. Go to Accounting.
2. Select Chart of Accounts.
3. Find one of the credit card account you wanted to merge.
4. Under ACTION, select the View register menu.
5. Click Edit.
6. Enter the name the same as your other credit card account.
7. Select Save and Close.
8. Click Yes.

When I follow your instructions I get an error when I try to save the old account under the new account name. I get this error message: "You can't merge two accounts that are both set up for Online Banking or Web Connect."

The prompt indicates that we're trying to merge accounts that are both linked as Online Banking or via WebConnect. You've previously mentioned that you can only see the Edit account info option. It's possible that both accounts we'll merge are set up through WebConnect. 

We can disconnect the account that we're merging to the account that will still be connected as WebConnect and then merge them afterwards.

Here's how to disconnect:

1. Go to the Banking menu and click the bank.
2. Click the pencil icon and select Edit account info. 
3. From the Account information page, check the Disconnect this account on save box. 
4. Click Save and Close. 

After merging, we can look into your bank's register to review the transactions and balances.

Hi, I'm reconciling my credit card transactions however, I'm struggling merging it. I have a sub account for the employee and most of our transactions goes to the sub account but the payment comes out from main account. When I tried the steps in merging the account I encountered and error. see picture below.

I'm here to help you reconcile your transactions properly in QuickBooks Online.

You only need to reconcile the parent account since transactions from the sub-accounts roll up into it. Since payments are only available on parent accounts, the reconciliation should not be on the sub-account account. This is the reason why you received an error while merging them.

Please also know that if you're using Sublevels and you use the Primary account to reconcile, don't make entries here. This account's register serves as an umbrella of all activities.

To sum it up, you reconcile the Parent level and Split the payment to the Sub-categories so that each sub-balance gets its payment amount applied there.

So if I rename one credit card account as the name of another credit card account, all transactions from those two accounts will merge without losing any previous entered transactions?

That's right! After you merge your account, QuickBooks moves past transactions from the duplicate to the account you want to keep.

AMEX has been changing their software that allows for downloads to Quickbooks. When I download transactions Quickbooks asks me to link to the Credit Card account, but it doesn't give me an option to select my current credit card. Then I have no choice but to create a new CC account and this messes up my quickbooks. I can't seem to combine the old and new CC accounts and would prefer not to go through this every month. 

We're unable to merge bank accounts connected to online banking, @JenniferNOLA. I'll to make it up with you by sharing all the details regarding this.

If you’re AMEX accounts are connected to online banking, we can’t combine them together. However, you can disconnect them first so we can merge them.

Here’s how:

1. Go to the Banking menu, and then select the tile for your AMEX accounts.
2. Click the pencil ✎ icon, and then choose Edit account info.
3. Select the Disconnect this account on save checkbox. 
4. Click Save and Close.

You can now merge them after they've been completed. Remember that this is a long-term procedure. As a result, you will not be able to change your mind afterwards.

You can store these reports first if these accounts have reconciliation reports. This is due to the fact that transactions are still reconciled on the amalgamated account.

Next, let’s locate the account you want to keep. I’ll show you how:

1. Go to the Accounting menu, and then select the Chart of Accounts.
2. Find the AMEX account you want to keep. Then select the Action dropdown ▼ and then Edit.
3. Please note the name and detail type of the account.
4. If it's a sub-account, check if the Is sub-account option is marked. Then, note the parent account it's tied to.

After that, let’s get rid of the duplicate account. I’ll guide you how:

1. Go back to the Chart of Accounts, and then look for the duplicate account (the one you won't keep).
2. Select Edit from the Action column dropdown ▼. 
3. Change the Name and Detail Type. This way, the duplicate account's info matches the account you want to keep. 
4. Click Save and then Yes to confirm.

If your AMEX accounts aren't linked to online banking, you can skip the disconnection process. Instead, you can merge them directly.

You'll want to categorize and match your entries. This way, you can prevent duplicates and ensure you're putting them into the correct accounts.

For good practice, you can always perform the reconciliation to ensure your books are accurate.

Even after I have disconnected the old credit card account from the banking feed, I am still unable to merge the two accounts together. I receive a popup message asking if I want to merge the accounts, and I click Yes to confirm but nothing happens. The two credit card accounts still exist separately, and they are not merged.
Can you please assist?

When QuickBooks exhibits this behavior when attempting to merge accounts, some basic troubleshooting actions can resolve the issue. You can start by using a private browser to visit QuickBooks Online (QBO). We can more easily determine if this is a browser issue because this type of browser does not keep a cache.

Here's how:

• Google Chrome: Ctrl + Shift + N
• Mozilla Firefox: Ctrl + Shift + P
• Safari: Command + Shift + N
• Microsoft Edge: Ctrl + Shift + P

Try merging the accounts again. You can clear your regular web browser's browsing history if it works. It will delete any previously saved browsing data that may have contributed to the problem. Otherwise, you can be thorough by using other compatible browsers.

I have a similar issue since switching over to QB online advanced.  I have a business american express account and 1 employee card that always downloaded into one account when I used desktop.  When i migrated the company file over it became 2 accounts and reconciling is impossible.

Connecting the same account to online banking can cause duplicates. Don't worry, let me help you combine your two accounts into one. You can do that by merging the accounts.

Follow these steps to merge your accounts:

1. Go to the Accounting menu.
2. Select Chart of Accounts.
3. Find the account you want to keep. Then, select the dropdown in the Action column and then Edit.
4. Fill out the Save account under, the Account name, and Tax form section (Detail Type). These must be the same between the accounts you want to merge. 
5. Tick Save

Now let's handle the account you don't want to keep.

1. Go back to the Chart of Accounts.

2. Find the account you won't keep. Then, select the dropdown in the Action column then Edit.

3. Change the Account name, and Tax form section (Detail Type) so the duplicate account's info exactly matches the account you want to keep.
4. When you're ready, select Save and then Yes, merge accounts.

After doing this, the two accounts are combined into one. You are now good for reconciliation.

Before performing this process, make sure the credit card information is the same between the accounts you want to combine. If they have reconciliation reports, it's essential first to save them. The reconciliation history of the consolidated account may not be maintained, but the transactions will remain reconciled on the merged account.

Consolidating accounts is a permanent process, and the option to reverse it is unavailable. It's important to remember that bank or credit card accounts linked to online banking can't be merged or deleted. 

When you're ready, let's switch to the Accountant view and perform the following steps:

1. Head to the Gear icon ⚙ and choose Chart of Accounts in your company.
2. Look for the account you wish to keep and click the dropdown ▼ in the Action column to select Edit.
3. Take note of the Save account under (Account Type), Tax form section (Detail Type), and Account name (Name) of the account.
4. Ensure the information is the same between the accounts you want to combine.
5. Check if the account is a subaccount or a parent account. Their names of subaccounts are indented in the Name column of the Chart of accounts list and note the parent account it's linked to.
