Donation Receipts

How do I delete donation receipts after I have printed or emailed them? We I go to print a new batch all of the old ones are still there.

I'm here to share some information on how QuickBooks handles deleting your donation receipts.

 

With QuickBooks Desktop, currently it  doesn't have the ability to let you delete a large number of transaction records (such as donation, donation receipts, checks, inventory adjustments) or list records (such as items, customers, donors). What you can do is to manually delete each donation receipts one-by-one.

 

Just a heads-up though, there's no undo button after you've deleted your transactions. Thus, always create a backup copy of your QuickBooks file before you do any kind of major changes such as deleting your donation receipts.

Donation Receipts

Deleting receipts only makes sense if you entered them by accident.  I think you mean you want to remove them from the list of receipts to be printed. Is that correct?

 

If so, one way is to print them again and if you are prompted and asked if they printed correctly, be sure to say they did.  Or, open each one and uncheck the Print Later checkbox and then save it.

I in error posted one donation twice and then moved it from 1200 (undeposited funds) to the bank - I need to reverse this whole transaction - how do I do that?

Hi, @dizzylizzy. Let me share some insights on how you can reverse a transaction that is posted twice in QuickBooks Desktop.

 

You can manually delete or void the duplicate donation receipt to keep your account balances and reports accurate. Before doing so, make sure to create a backup copy of your company file to save your accounting data. I also recommend reaching out to an accountant for further guidance.
