Portable File Creation Error

We use QB Enterprise: Accountant 19.0. We have it running in a Citrix environment with the data files on a server running QB Database Server Manager.

 

One of our users was working in a QB file from the QB Database Server Manager. They went to create a Portable Copy, but received the error message "You may not have sufficient permissions to create a portable company file from this computer. Please try creating the portable company file from the server: XXXXXXXXXXXXXXXX." Now the server referenced was the server they were on for their Citrix Desktop.

 

I took a copy of the QB file and tried to do the same thing. I was able to create a portable file with no issues. We have checked the permissions on the server hosting the files and the Citrix environment. From what we can tell the user has the correct permissions. They are able to create regular files and save them to the server. We both used the Admin account on the QB file when trying to cre

 

Has anyone encountered this issue and know what other places we need to look at for permissions?

Portable File Creation Error

Hi there,  CWDPetrie.

 

Your QuickBooks is in a Citrix environment. However, we'll have our Enterprise team take a look at it to see why you're getting permission errors despite using the correct server and credentials. But before that, please run the QuickBooks Tools Hub as an initial troubleshooting step. 

 

Step 1: Download and install QuickBooks Tool Hub

  1. Close QuickBooks.
  2. We recommend you download the most recent version (1.4.0.0) of the QuickBooks Tool Hub. Save the file somewhere you can easily find it (like your Downloads folder or your Windows desktop). Note: If you've already installed Tool Hub before, you can find out which version you have. Select the Home tab.  The version will be displayed on the bottom right or you can select About to view the version.
  3. Open the file you downloaded (QuickBooksToolHub.exe).
  4. Follow the on-screen steps to install and agree to the terms and conditions.
  5. When the install finishes, double-click the icon on your Windows desktop to open the tool hub.

Note: If you can't find the icon, do a search in Windows for QuickBooks Tool Hub and select the program.

Step 2: Run Quick Fix my File

  1. From the tool hub, select the Company File Issues tab.
  2. Select Quick Fix my File.
  3. Select OK when it completes and launch your QuickBooks.

If you're still getting the same error, please contact our Enterprise team to check this further.

  1. Click on Help and select QuickBooks Desktop Help.
  2. Select Contact Us at the bottom.
  3. Enter a summary of the scenario and click Let's talk. (You can paste your question when you'll be chatting with a representative.)
  4. Click on Message an Agent.

Portable File Creation Error

Thank you for the response. I ran QuickBooks File Doctor, since Quick Fix my File did not run. When I ran it, the response was "We didn't find anything wrong.". Let me know if your team can see if there is anything else that could be causing it.

As of now, we haven't received issues about customers getting this error when creating a portable file. Since the error continues after running the File Doctor, I recommend following the second option provided by JessT above to reach out to our QuickBooks Support Team. This way, a representative can open your account securely and investigate the root cause of this behavior.

Portable File Creation Error

Hi CW,

 

    I have a quick fix. My QB 2020 ran fine up until I needed a new computer and after installing it on the new computer the permissions nazi showed it’s ugly head. I needed to get work done so I found if you right click on the desktop icon and then click on “run as administrator “. Remember it’s not the permanent fix but you’ll get work done. Be Safe!

If you're accessing your company file via a network drive you will need to access it from the physical drive; the user's desktop is normally on the physical drive (C:). In the pic below  (Y:) and (Z:) are network drives were as (C:) and (D:) are physical drives.

Did this issue ever get resolved?  I have Enterprise 21.0 and get the server message when I try to create a portable company file. I haven't found a way around it yet. Our server does not have a monitor or key board.

Portable File Creation Error

Hello there, @djenkins1. I appreciate you for joining here.

 

There are ways that we can do to resolve  the error and continue creating a portable company file successfully.

 

If you have tried following the suggestions above, you can create a manual copy of your company file. To do it, you'll need to open the Windows Start menu, and type "File Explorer" into the search and open File Explorer. Afterward, find the folder that has your company file.

 

Tip: This is usually your QuickBooks folder. Once done, follow the steps outlined in the If you were creating a portable company file or If you were restoring a portable company file section, based on your situation. 

 

Then, use a sample company file to create a portable company file. The sample company file helps us to identify if there's a problem with your company file. Here's how:

 

  1. Launch QuickBooks.
  2. If your own company file opens up automatically, go to the File menu, choose Close Company and the No Company Open dialog box will appear.
  3. Click the Open a sample file drop-down menu and click to select the sample business that most closely matches your own.
  4. Follow the steps to open the portable company file you created in the sample company.

 

To get back to your own company file, simply close the sample file (following the directions from above) and select Open or restore an existing company.  If there's a need to fix minor company file data issues, we can repair your company file using the Rebuild Data tool:

 

  1. Go to the File menu.
  2. Then, hover over Utilities and select Rebuild Data.
  3. On the QuickBooks Information window, select OK. Follow the onscreen steps to save a backup.
  4. Let the tool repair your file. It may take some time. 
  5. When the tool finishes, select OK.
  6. Once done, go back to the File menu. Then hover over Utilities and select Verify Data.

Portable File Creation Error

For those of you facing this issue, I was able to resolve it by ensuring that QBDataUserXX (where XX is 10 higher than the version number of QuickBooks you're using) has Full Control permissions on the folder, subfolder and files at the root of the share where your company file lives.

 

For instance, if you're using QuickBooks Desktop Enterprise 21, and your company file is stored on a server named QBServer in C:\QBFiles, then the local user QBDataServiceUser31 needs to have full control of C:\QBFiles. Log into your server with Administrative rights, right click on the QBFiles folder in the C drive, click Properties, go to the Security tab, click Edit and then Add. Make sure the From this location is set to your server name (e.g. QBServer or whatever yours is, click the Locations... button to change it if needed) and in the white box, manually type in QBDataServiceUser31. Click OK, and tick the Full control checkbox, then Apply and Close.

 

Now go and try to make your Portable Company file as normal.
