Schedule Reports in Quickbooks Desktop with Hosting

When researching scheduled reporting a hosted version of Quickbooks Desktop, this is what I find:

 

Will Scheduled Reports work in hosted environments?

At this time the feature is NOT designed to work in hosted environments that have roaming profiles.

 

Would someone be willing to provide a detailed answer to why this function capability is not achievable in a hosted environment beyond simply no? Would appreciate any clarity on this topic.

Currently, accessing the scheduled reports is available in a single-user mode. I know how beneficial it is to open the reports using multi-user mode in QuickBooks Desktop. We're always looking for ways to improve QuickBooks Desktop, so I'll take note of this.

Yes, I am aware that it functions with single-user mode. The issue presents itself when attempting to do it in a hosted environment. For instance, we use Right Networks with our Quickbooks desktop version. This scheduled reporting feature is blocked in that environment even when converting to single-user mode. From my research, an answer is not provided why it would be blocked in Right Networks. 

 

This feature can play a significant role in workflow automation for reporting and Right Networks provides convenient remote accessibility. I believe this is a feature that should be addressed with Right Networks to make it available otherwise it could prove beneficial to consider other environments.

As far as I know, RN is very rigid of their environment. You may have 2 options:

1. Migrate your license and data file(s) to other QB cloud hosting

2. Deploy a private cloud on your own premise

Here is the info that Right Networks gave me:

 

Scheduled Reporting is not supported in our system due to a large list of requirements that are not feasible in a hosted environment, as the feature was designed with many constraints. For example:
To use the feature:

•The Windows user needs to have Administrator privileges, which we cannot provide, for security reasons.
•The Program must be run as Administrator via the right-click function for first use, or UAC needs to be set at “Never Notify.” - which we cannot allow for security reasons.
•The Windows user must be a local, non-roaming profile.
•Only one edition of the year of QB being used can be installed on the machine running QuickBooks (i.e. if Premier and Enterprise are both installed the feature will be unavailable).

These points directly contradict the way our environment operates and as such, without Intuit completely reworking the way the feature functions, Scheduled Reporting will NEVER work in Right Networks.

Other conditions not related to the Task Schedule are:
•The file cannot be open in Multi-User mode at the time of the scheduled event.
•The Company file must be set to use Outlook or Webmail and not the QuickBooks Email Service.
•If using Outlook, it must be open at the time the scheduled report is sent.
•The user cannot have another file open at the time of the schedule (although QuickBooks can be closed).
•The computer cannot be in sleep or hibernation mode.


I hope this sheds some light on the issues.

Reports read data.  They don’t write it.  Not being able to use scheduled reports in multiuser mode is crazy.  The point of a schedule reports is for people to get information and not be here to run it.  We always run in multiuser mode.  We have 15 people accessing quickbooks.  The business would shut down in single user mode.  We also do not have people here at 1 in the morning to turn the server into single user mode to run a report and if we did they could just run the report.

I can see how the functionality to utilize scheduled reports in multi-user mode would be beneficial to your business, @aiannarelli. I'm here to share some insight.

 

As of now, the option to use the scheduled reports feature in a multi-user mode is unavailable in QuickBooks Desktop. That said, I would recommend sending a feature request directly to our Product Development team. Ideas like this help identify the features our customers want the most for consideration in future enhancements.

  1. Click the Help menu located at the top.
  2. Choose Send Feedback Online then click Product Suggestion.
  3. Type in your feedback or feature request.

Does this list of restrictions (specifically the ridiculous request that the database must be in single-user mode) still apply to Quickbooks Enterprise?

 

We are an Enterprise user trying to use scheduled reports and I'm running into the same single-user issue.  The way it is described here, I don't think there's any company with more than one accounting employee that could possibly even use the scheduled reports functionality.  

 

Note that I'm not in a hosted environment, we have an on-prem install of Quickbooks Enterprise (with multiple users of course, because that's the way real accounting software works).

We really need to be able to schedule reports in multi user mode.  I agree that there is no need for schedules reports with multiuser organizations in single user mode.  Or can we tell wuickbooks while unattended to go into single user mode, run the reports and then go back to multiuser mode?
