I do not have the invite employee to view their paycheck button?

Hello there, JanetB520,

 

Let's try this to invite your employees to view their paycheck, go to the Personal Info section and enter their email address, then select Invite this employee to view their pay stubs and W-2s online checkbox.

 

After that, they have to log in to their email and click the link sent to them to access the Workforce.

Please be informed that I am not an employer but an employee who works for The Landing Senior Living and is tryin Hard to access my W2 form and my paystubs. This system is singing me up as an employer. Please help me get on the right track.

If you're an employee, you can inform your employer to send you an email invite so you can sign in to ViewMyPaycheck. To proceed on signing in, you can read this article for the detailed steps and information: QuickBooks Workforce: Access your Paychecks and W-2’s online

 

Also, your employer need to set up for QuickBooks Workforce for the paycheck information to automatically upload to Intuit's servers. To do so, you can follow the steps below:

 

  1. In your QuickBooks Online, select the Workers menu from the left panel.
  2. Select Employees.
  3. In the Pay section, select the pencil icon.
  4. Add your employee's email address in the Personal info section.
  5. Select Invite this employee to view their paystubs and W-2s online.
  6. Click Done.

After that, the invitation will be emailed to your employee.

I have an employee who changed his email address.  When I click to notify him, it won't let me because he has already been notified.  How do I notify an person a second or third time?

I can share some information about changing employee's emails.

 

Let the employees update their email and set a notification once the pay stub is available. I'll show you how.

 

1. Let them log in to their QuickBooks Workforce account.

2. Go to the Gear icon and select Account Settings.

3. Click the Edit icon beside Email Address.

4. Enter your new email address and verify your current password.

5. Select Save. A confirmation will be sent to your new email address.

 

Here's how to receive notification:

 

1. The employee must sign in to QuickBooks Workforce.

2. Once logged in, select the Preferences tab.

3. Click Send me an email when new pay stubs are available.

 

If an employee is unable to access the original email. Let them send an email change request.

I have tried all the suggestions and still recieve the same error.

 

Company Realm Error

The access to QuickBooks Workforce Invitation is denied because the realm ID was not found. To access administrator privileges for QuickBooks Workforce,

1) Close and reopen your company file.

2) On the My Company window, sign in with your credentials (Intuit login and password) in the respective fields.

I'll share a few details about your issue. 

 

I've checked the previous investigation shared on this thread and found that it has been resolved. Since you're still getting the same error, I recommend getting in touch with our Payroll Support Team. They have the necessary tools to fix the QuickBooks Workforce access.

 

Here's how:

 

  1. In your QuickBooks Desktop program, go to Help QuickBooks Desktop Help.
  2. In the Have a Question window, click the Contact Us link at the bottom.
  3. From the Contact Us page, select any topics.
  4. Under Here's how to connect with a QuickBooks expert section, click the Start a Message or Get Phone Number button.

Yeah gotta love this chat. Rhea Mae has disconnected me 3 times. I guess she didn't like my question so disconnected me and had the bad luck to get me back 2 more times. So she effectively hung up on me 3x before I got someone new. Who I almost guarantee won't be able to fix the problem. Not her fault that QB sucks though.

Does this mean that every time you add a new employee you have to follow these steps?  It would be much easier for the desktop version to have a checkbox vs having to log into your company info and manage the account every time you add a new employee.  Since different people have different access capabilities, the payroll person may not have access to the "manage your account" so would not be able to send the invite.

 

I agree that Intuit should have provided more feedback on this new platform and how it works before releasing.

QuickBooks Workforce is a free and quick way for your employees to have access to their paystubs and W-2s any time they need. It's an optional invitation you can send, so you don't have to invite employees if you'd prefer for them to obtain their documents in a different way.

 

I can certainly understand how an ability to invite employees to QuickBooks Workforce without having to sign in to your Intuit Account could be useful and have submitted a suggestion about it as of today.

 

You can also submit your own feature requests while using QuickBooks.

 

Here's how:

  1. In the top menu bar, go to Help, Send Feedback Online, then Product Suggestion....
  2. Choose a Type of Feedback and Product Area (optional) from your available drop-down menus.
  3. Enter any suggestions/feedback in the Here is my suggestion: field.
  4. If you'd like, include your name/email in the My name is: (optional) and My e-mail address is: (optional) fields.
  5. Select Send Feedback.

We recently upgraded to Enterprise Desktop 2022.  QuickBooks Workforce continues to give us nothing but trouble. We had hoped upgrading the version would clear up the problems.  My payroll updates are up to date.   Seemed to start in right after the change from ViewMyPaycheck to QuickBooks Workforce.  People that had accounts couldn't access them,  some could.  Even after sending new invites, not everyone can get in.  Some people get the message they have no payroll data in there, which is false.  I just read the instructions above on setting up new employee, entering their email address and selecting the box to invite to Workforce.  I see no such box on the personal information screen at setup.  Once again, I will try chat support and keep my fingers crossed that I get someone that can actually solve the problem without going around and around in typical QB support fashion and wasting hours of my time and getting nowhere.

As of May is there still no fix, we did the same upgrade as well.  My employees are having issues and when I try to log in, after I put in my username and password it just sits there and does nothing.  I can't do anything with it.  Then I also get employees that try to log in and get an message that states "Your employer has adjusted your access to Workforce. You'll need to reach out to them to regain access."  Considering I can not adjust any access to this or even at this point get in to invite anyone......by the way I am the admin.  Anyone know anything to help.

If you're logged in as the admin, yet the system is unresponsive, I'd suggest reaching out to our Phone Support team. Our agents there can take a look at your account and can expedite what causes the error.

 

You can have the contact information by going to the Help menu of the desktop company file. Then, you'll get real-time assistance via the Start a Message

 

You may follow these steps:

  1. From the Help menu, select QuickBooks Desktop Help.
  2. In the Have a Question window, click the Contact us link.
  3. Go to the Tell us more about your question section to enter the issue or topic in the field box.
  4. Click the Search button to display the Start a Message button.
