Why do certain employees repeatedly get locked out of workforce?

It's nice to see you here in the Community, @gregg5.

Your employee can reset their password upon logging in to Workforce, they only need to click the I forgot my user ID or password option. Please see the screenshot attached for reference:

If the issue persists, I recommend reaching out to our Payroll Support Team to help your employee access the Workforce page. They will also help you verify what causes the issue and generate steps to fix it for you.

Here's how to reach them:

  1. In QuickBooks, go to the Help option.
  2. Click Contact us.
  3. Enter the keyword of your concern in the What can we help you with? box.
  4. Hit Let's talk.
  5. Choose Get a call or Start a chat.

Why do certain employees repeatedly get locked out of workforce?

My employee tried to reset her password for workforce and got the error "we can't sign you in.  Your employer has adjusted your access to workforce.  You'll need to reach out to them to regain access."

I have not done anything but resent her the link.

What can i do to help er

Why do certain employees repeatedly get locked out of workforce?

Hello, kkcornett.

Thank you for posting here in QuickBooks Community. It could be that the status of QuickBooks Workforce has been turned off in the Payroll Cloud Services that's why your employees can't access their paychecks and W-2s online. To isolate this issue, let's make sure that the QuickBooks Workforce option is turned on.

Once done, you can resent your employee an invitation link again. Invite your employees to QuickBooks Workforce to see pay stubs, W-2s, and more.

Additionally, here are some articles that you share with your employees to help them manage their QuickBooks Workforce account:

If the same thing happens, let's open your QBO using your browser's private window, and clearing the cache in a browser and clearing browsing history may fix this.

Here's how:

  • Google Chrome: press Ctrl Shift N.
  • Mozilla Firefox: press Ctrl Shift P.
  • Internet Explorer: press Ctrl Shift P.
  • Safari: press Command Shift N

You can also use a different browser since every browser uses a different cache storage folder on your computerClick this article to see how clear cache.

However, If you're using QuickBooks Desktop, there is an ongoing investigation about Employees being Unable to access the Workforce. And they’re working hard to investigate the cause and come up with a solution as soon as possible. While they do, I recommend reaching out to our Customer Care Team, so you'll be added to the list of affected users.
