Changing outgoing Email address

It seems that lots of people are wanting to be able to customize who Quickbooks says the emails sent through it are from so I wish Quickbooks would listen and make this update. My emails to customers say they are from my name on behalf of my company. I would very much like to be able to change that so that emails I send through QuickBooks say that they are from just my company.

If this was an invoice or purchase order being sent from Intuit would you accept the return address being my company address?

Never. Why do you think this is acceptable to any of your customers?

Quickbooks is fantastic, but this is a basic feature that EVERY user will be unhappy about and make this feature simply not usable.

Same thing with the issue of not being able to add an SKU column to an invoice. No invoice sent by any company will sent without an SKU. Having to add the SKU to the description is not an acceptable option.

Result is that essentially quickbooks PO creation is a waste of time as you need to recreate the PO in other software and send via your own e-mail system.

This should be recognized as an essential and urgent BUG FIX. This is not an upgrade topic to any business that issues Purchase Orders.

hello, Colin F.

Know that we recognize that each company has unique needs, and I can see how this feature would benefit and empower your business. Rest assured, I'll personally submit feedback directly to our product developers.

By sharing your idea here, our developers are pushing through the envelope to improve the product's features to meet your needs.

Meanwhile, to display the SKU column when creating a transaction, you'll need to turn on this function first. Here's how to do it:

  1. Click the Gear icon in the upper-right corner of the page and select Account and Settings.
  2. Select the Sales tab and go to the Products and services section.
  3. Mark the Show SKU column box.
  4. Click Save and Done.

Once done, you can manually enter the SKU's in QuickBooks.

  1. Go to the Sales tab
  2. Select Products and Services.
  3. Locate the product or service on the list and click Edit in the Action column.
  4. Enter the name in the SKU box.
  5. Hit Save and close or Save and new.

You can check our website to know the recent news and updates that our Product Engineers are working on.

Please know that you're always welcome to post if you have any other concerns. Take care.

I want to use an outlook email address, not a gmail address. I don't see where I can change it except for changing it to a Gmail address which I do not want to do. Thanks

I don't understand why this topic is marked as solved?

Like others here I do not want to send emails from your email address, if clients/suppliers have a problem I want them to be able to hit return and come direct to me.

I had previously used the desktop version which has the ability to send from your own address, why not the online version?

Please update the status of this thread and update the online version so we can send from the email of our choosing not [email address removed].

You must be kidding right.

All I want to do is to change the outgoing email on a new computer, it's working on my old computer but NO INSTRUCTIONS ON HOW TO MAKE THE CHANGE NOW.

Really this is basic stuff.

I see you're in a difficult situation, Jay.

As a QuickBooks user myself, I would also feel the same way if I’m unable to change the outgoing email on my new computer. Rest assured I’m here to share with you the steps on how we can change the email address on your new computer.

Before we proceed, ensure to download the latest QuickBooks Desktop (QBDT) release. This way, we can ensure your program is up to date with the current features and fixes and run smoothly on your computer. Once done, you can now proceed to these steps

  1. Go to the File menu.
  2. Select Preferences.
  3. Click on Send Forms.
  4. Choose Company Preferences.
  5. In the Email IDs section, click on the Add button.
  6. From the Edit Email info window, enter the new email address.
  7. Then click OK once done.

You might also want to check this link for reference in case you want to personalize how your email template looks: Create custom email templates in QuickBooks Desktop.

Know that you can always reach out to me whenever you have additional questions about managing your emails in QuickBooks. I’m happy to help you anytime. Have a great week ahead and keep safe.

I would like to be able to have different default cc or primary email recipients per template.  Sales Order templates need to go to my company order desk.  But when I switch to the Invoice template I don't want a copy to go to them.  They get confused and think it is a new order.

I am using work arounds like "Patty if you get a copy of this please ignore it".  In case I forget to remove her from the cc list.  Then I remove her name and the reminder each time.  It is two different templates.  I would like the default cc list to include he on the Sales Order Template and not include her on  the Invoice Template.

Therr are many other uses for template specific email defaults but this one is the most common.

I'd like to provide some clarifications regarding adding CC email on your sales forms, @skipbales.

The default BCC/CC email that you set up in the Send Forms preference will apply to all the sales forms that you'll send in QuickBooks Desktop.

However, the system allows you to edit manually the CC email section when sending your sales forms to customers. All you have to do is to select the Sales Order that you made and enter the email that needs to receive the copy of the form.

To do that:

  1. Click on File at the top.
  2. Press on Send forms.
  3. Select the sales order that you want to send.
  4. Enter the email.
  5. Hit on Send Now.

Please see the screenshot attached for your reference:

I can see that being able to have the default cc list be applied per sales forms would be a great help for your business.

Know that we're always finding ways to improve the product and cope with your business's needs. I encourage you to visit our Firm of the Future site to be updated with our product road-maps.

Reach out to me whatever questions you may have about QuickBooks. I’m more than happy to assist further. Have a good one.

how can i change the email address used to send out invoices?

Changing outgoing Email address

Changing the email address used to send invoices is easy peasy, @progressivemedia.

You can go to the Send Forms menu to change the email address you used to send invoices to your customers. Or you can also add a new one so you'll have the option to select which email address you'll want to use. Here's how:

  1. Go to the Edit menu, then select Preferences.
  2. In the Preferences window, click Send Forms on the left menu.
  3. Under My Preferences, select the default email address. Then, click Edit or Add.1.PNG
  4. In the Edit Email Info screen, enter the new email information.
  5. Click OK to save the changes.

I'm adding this article to learn how to set up a new email service in QuickBooks Desktop: Connect your email to QuickBooks Desktop.

You might also want to customize email templates and use them to send messages from QuickBooks. Here's an article you can read for more guidance: Create custom email templates in QuickBooks Desktop.

Keep in touch if you need any more assistance setting up a new email address, or there's something else I can do for you. I've got your back. Have a good day.

The responses from the intuit people are great if you have QB desktop but how can we change the outgoing email address for QBO? I don't want to send from "[email address removed]" as my suppliers and customers are unable to reply to that.

Thanks for chiming in on this thread, Demux Dave.

In QuickBooks Online, we have the Customer-facing email option. The email address entered in this field is one that your customer will see when they view the invoice.

Here's how you can edit the email address:

  1. Click the Gear > Account and settings.
  2. On the left panel, click Company.
  3. In the Contact info section, edit the email address in the Customer-facing email field.
  4. Hit Save and then Done

You can also see this sample screenshot for reference:

If you need to customize your sales forms, feel free to read this article: Customize invoices, estimates, and sales receipts in QuickBooks Online.

Please, let me know if there's anything else you need. Me and my colleagues are always here to help. Take care!

Several years later and we're still waiting for this feature?  Hmm... guess the engineers don't care about the personally delivered messages from all the Intuit CSR folks.

I will pile onto the number of folks that are requesting that invoices be sent out with personalized email addresses.  I, as well, don't want my customers receiving emails from Intuit regarding my billing.
