Email Bills to QB online

We receive all our Accounts Payable invoices to a shared Email Address. 
I am wanting to set up the Email Bills and Receipts to QB online, hoping this will go a long way in creating the entry for the payment that will need to be made in stead of manually entering each AP received into QB. 

I am running QuickBooks Online Plus and the the account set up is based in Estonia. When I log into my Quickbooks and navigate to Banking, I do not see an option for Receipts. I only see Banking and Rules. Is there an additional setting I need to enable to see the Receipts option?

Hi, JH61. I'm here to help you with emailing your receipts or bills into QuickBooks Online (QBO).

 

There are no additional settings to access the Receipts tab from the Banking page. It might be missing if you don't have rights to the feature. For the time being, I recommend opening QuickBooks as a master administrator or at least a standard user with vendor permissions to email your receipts. 

 

Once done, you're now ready to forward your receipts to QBO:

 

  1. Take a picture of your bill or receipt on your mobile device. The photo must be a pdf, jpeg, jpg, gif, or png.
  2. Make sure each image or file contains only one receipt.
  3. Email the image to your custom email address @qbodocs.com. 

 

Aside from emailing them, you can also upload the transactions manually. Here's how: Upload your receipts and bills to QuickBooks Online.

I honestly don't know, 
How would I check this? 
I know where to check what version ITO. (Quickbooks online Plus) / payment plan, but I am not sure where to check its Global or US.

But since you are asking me, is it possible to set up QBO US version with Estonian based bank details then?

We have 2 entities in our business a US based entity and an Estonian based Entity. The US one is using QBO advanced, which does allow me to see the receipts under banking, where the Estonian based entity using QBO Plus does not.

Hello there, @JH61. I'm here to lend a hand. 

 

To check the region of the QuickBooks Online (QBO) you're currently subscribed to, let's go to the Sales tax page. We can check there the Sales Tax company preferences instead of looking into the Product Information window. To verify the tax codes of each region, see the below data:

  • United States - Sales Tax 
  • Canada - GST 
  • United Kingdom - VAT 

Additionally, you can also see the currency sign used on the graphs on the Dashboard.

 

As for your other concern, you can connect the Estonian bank account to your QBO US account as long as it's on the list of supported banks. But before you link the Estonian bank, you'll need first to turn on the Multicurrency feature. Please know that once the Multicurrency is turn on, you can no longer turn it off. Thus, I recommend first checking with your accountant. 

 

To turn on Multicurrency, here's how:

  1. Click the Gear icon at the top. 
  2. Select Account and settings.
  3. In the left menu, click Advanced.
  4. Go to the Currency section and click the pencil icon
  5. Choose your Home Currency
  6. Select the Multicurrency checkbox and confirm that you understand that you can't undo this option.
  7. Click Save and close

Once done, you can now connect your bank that uses foreign currencies. Then, it allows you to add transactions in those currencies to QBO. 

 

However, if the Estonian bank is not on the list of supported banks, need not worry. You can import your transactions. For detailed steps on this process, see this article: Manually upload transactions into QuickBooks Online.

 

Once bank transactions download, you can now start categorizing or matching them to straighten out your books. After that, you have the option to do your regular bank reconciliation

Check your Billing and Subscription menu. If you paid the subscription in Euro, it highly possible you are using QBO Global version for Europe (e.g Estonia). If you are using QBO Advanced, you are definitely using QBO US version.

I have brought this to our finance team and they will look into it to see if it will work for us, since the Global version of QB online is behind the us version (like you cant upgrade to QB online Advanced for Global) this my help with that.

Thank you. When you have emailed the bills to Quickbooks to the customized email, do you stay in Business View or could you return to Accountant view in order to code/categorize the transactions?

Either way, Rebecca. I’m here to impart some information about the navigation view menu in QuickBooks Online.


After you email the image to your custom email address, you can stay in the Business view or return to the Accountant view to categorize your transactions. Changing your views doesn't affect your accounts or data.


Their only difference is the terminology and display presentation. Features are the same, and it’s just organized to better suit the needs of business owners.
