Patient paid for visit in full with credit card, now her insurance has paid. How do I credit her account, so it will match the bank feed??

Hi,

 

This is for a medical practice.  Patient has paid for a visit in full with her credit card.  Three months later her insurance has made a partial payment.  How do I get a credit to show on her account so the client can write her a refund check or credit her credit card back?

It's nice to see you again here in the QuickBooks Community forum. I'll share different steps on how you can give credit to your patient from the payment she gives with her credit card. 

 

You can create a receive payment in Account Receivable in your QuickBooks Online for the partial payment from the insurance company.

 

Here's how:

 

  1. Click the + New button.
  2. Choose Receive Payment.
  3. From the Customer dropdown, select the name of the customer or insurance company.
  4. From the Payment method dropdown, select the payment method.
  5. From the Deposit to dropdown, select the account you put the payment into.
  6. Fill in the other necessary field.
  7. Hit Save and close.

Then, I suggest writing a check to Account Receivable for the refund or credit. Please follow the steps below.

 

  1. Select + New.
  2. Choose Check.
  3. Choose the Payee( Patient)from the drop-down ▼.
  4. From the Bank account drop-down ▼, select the account the check withdraws money from.
  5. Finish the check fields you need.
  6. Select the Print or Preview option if you want to open the check queue to print now. Or select the Print later checkbox if you want to print the check later.
  7. Hit Save and close to close the check window.

Hello,  I had already done this procedure.  The problem is there is no credit showing on the sales/customers area.  It is still showing $0.00.

You can use the Refund receipt feature. Here's how:

  1. Go to the + New button.
  2. Click Refund receipt or Give refundrefund2.JPG
  3. Select the Customer dropdown, then choose the customer you want to refund.
  4. From the Refund From the dropdown, then pick the bank you deposited the payment for the invoice to.
  5. Add all products or services the customer returned in the Product or service column.
  6. Fill in the needed info, then hit Save and close.

Also, to get a list of all payments and invoices for each of your customers, you may pull up the Invoices and Received Payments Report. Then, customize it so it will only show the info you need.

Hi,  I understand how to do a refund.  What I am needing is to show the credit on the customers page.  The patient had paid for the invoice in full from their credit card.  3 months later their medical insurance paid part of the invoice, so they have a credit balance.  When I processed the payment  (expense, and receive payment ) from the medical insurance it isn't showing the credit balance on the customer page.  I know that I must of missed a step?

Hi there, AngelBK.

 

You can create a credit memo so the credit will show up in the customer's profile. Here's how:

 

  1. Click + New. button and select Credit memo.
  2. Select the customer's name in the drop-down list for Customer.
  3. Enter the credit memo details, such as the date and the amount. 
  4. Click Save and close.
