QB Online: Deposits not showing

I have received my payment against my invoice and recorded to UNDEPOSITED FUNDS.  It shows fine in the customer account.  It shows up in the Undeposited Funds register.  But when I go up to the + sign, select Bank Deposit, there is nothing there.  Why?  I have read and re-read all the instructions and I believe I have followed all steps but apparently something is missing.  Any advice?  Screenshots attached.

I appreciate you for checking these things before reaching out to us, SWyatt.

This can be a browser issue. We'll try some steps to figure this out.

First, open QuickBooks Online using an incognito window. If the payment will show on the Bank Deposit page, go back to your main browser, then clear the cache. Too much cache or file can cause website issues. Thus, we need to clear it out.

On the other hand, using a different browser fixes issues like this (Google Chrome, Internet Explorer, or Mozilla Firefox).

Leave a comment if you need more help with this.

Hi Kristine,

Thanks for the advice.  I followed each step you listed with no success.  Still receiving a blank page when I open the Bank Deposit page.  I used the incognito window.  No luck.  Cleared the cache from my main browser. No luck. I tried two different browsers.  Still nothing.  I'm at a total loss.  I would hate to have to make my procedure a Gen Journal entry each time I make a deposit - especially when I know this has the capability.

Go to Accounting>COA, look for the Undeposited Funds account and make sure that in the DETAIL TYPE column it also says Undeposited Funds

Hi there, @SWyatt.

Thank you for adding a reply. I'm here to help check the payment and deposit it successfully.

First, you can try to delete and recreate the payment, once done, you may check if the payment shows up in the Bank Deposit screen. If not, make sure to check the payment on the next page if there are lots of transactions on the deposit page.

If the same thing happens, I suggest getting in touch with our QuickBooks Online Support to check and investigate this further for you.

For the support's contact information:

  1. Go to: https://help.quickbooks.intuit.com/en_US/contact.
  2. Choose QuickBooks Online.
  3. On the Contact Us page, click a topic.
  4. Click on the Get Phone Number button to see the support number.

Let me know if you have any other questions about deposits in QuickBooks Online, I'll be right here to help you. Have a wonderful day ahead!

Hi Malcolm,

Thanks for your response.  I did as you said and I received the following error:

"Something’s not quite right
You cannot change the detail type of an account to be Undeposited Funds or change an Undeposited Funds detail type account to be another detail type."

Any suggestions?

Thanks Angela,

I think you are right, I'm going to have to contact QB Support for help.  A little frustrating having this much trouble for something that was so simple in Desktop.  (Sigh).

So I guess it does not say "Undeposited Funds" in the DETAIL TYPE column.

Is there maybe another current asset account with a different name that says "Undeposited Funds" in the DETAIL TYPE column (some one may have renamed it)?

This is what it looked like.  My accountant and I were trying to figure it out together. This is a new account (just purchased the online version - so there shouldn't be another account - but it is certainly something I'll check.  Thanks for your help.

Oh - and this is what it looked like BEFORE I tried your solution.  Sorry - I just went back into the spot and hit the screen shot so you could see.

Hi, SWyatt.

Thanks for coming back and providing screenshot so we can better understand your issue. It's my pleasure to assist you to day.

I agree with Malcolm. There is a possibility that someone may have renamed it. Let's try checking your Chart of Accounts (COA) and look for the Detailed Type that shows Undeposited Funds. You have to make sure you will be using the correct account for Undeposited Funds moving forward when you make deposits.

To see the Detail Type of the Accounts on the COA, you'll need to add the column for Detail Type. Here's how:

  1. Go to Accounting.
  2. Click Chart of Accounts.
  3. Click the gear icon of the report.
  4. Check the box for Detail Type.

That's it. I'm still here if you have additional questions and you're more than welcome to leave a reply for anything you need.

I am having the same issue but with Desktop version. Any ideas?

QB Online: Deposits not showing

Hi there, LisaB2001.

Once you create a payment for an invoice, make sure to choose the Undeposited Funds account so it will be available for deposit. It could be that the payment was set up to directly go into a specific account or it's already been deposited.

You can check your Chart of Accounts and make sure you're using the correct account for Undeposited Funds. Also, the recommendations suggested above by my colleagues will help you show those missing deposits in QuickBooks.

If you've done all of those but the deposits are still not showing, I recommend contacting our QuickBooks Care Team for further investigation. If needed, they can initiate a screen sharing to take a closer look at the issue.

Here's how you can reach us:

  1. Click Help at the top menu.
  2. Select QuickBooks Desktop Help.
  3. In the Have a Question? window, click Contact us.
  4. Enter the details of your concern and click Continue.
  5. Choose how you want to reach them and enter the needed information.

I look forward to serving you at my best. That said, you can reach me anytime by posting a response below.

I am having the same issue, receipts in undepositied funds do not show when I go to make a deposit.

I see comments about making sure you are using the right undepositied funds account.  How do I check the account to see if it is right or not?

Thanks for looping in this thread, @Ginny1029. I’ll share further information to help you review your account and locate your receipts.

Let’s check your Chart of Accounts to make sure you're putting the Undeposited Funds in the right account. From there, you can also make the necessary changes. This way, we can ensure we’re using the correct account when creating deposits in the future.

Let’s review the Detail Type of the Accounts on the COA. I’ll show you how:

  1. On the left pane, select Accounting.
  2. Click Chart of Accounts.
  3. Tap the gear icon of the report.
  4. Check the box for Detail Type.

You can also go through the suggestions made by my colleagues above to assist you in showing those missing deposits in QuickBooks.

Don't hesitate to post other questions regarding the undeposited funds. I’ll be around to help you. Keep safe.

Hey Charlie,

I came across the similar issue on Undeposited funds account.

I see your screenshot and QBO does not have an option to select the "Type" to 'Other current assets' or "Detailed type" to 'Undeposited funds'.

How do I update them? I am trying to edit under charts of accounts.

Thanks,

Parth

I want to ensure this is sorted out, Parth.

I replicated it on my end, and I can see the option of selecting Other Current Assets. Let me show you how:

  1. Navigate Settings and choose Chart of accounts.
  2. Click the drop-down beside View register.
  3. Select Edit.
  4. From the drop-down menu, you'll have the option to select the Other Current assets.
  5. From the Tax form section, select the type of account need that best suits your business.
  6. Click on Save.

Ensure to consult with your accountant before doing the process. They can guide and advise options on what account to use. This is to avoid messing up your books.

If you still can't see the option, open your account to an incognito or private browser. If you can select the Type to Other Current assets, go back to your main browser to clear its cache. Accumulated temporary internet files are the root cause of this unusual behavior. Otherwise, use other supported browsers as an alternative.

Moreover, check this article to learn more about how to use detail types for your Chart of Accounts in QuickBooks: Learn about detail types in chart of accounts

Feel free to add a comment if you have follow-up questions about managing your Chart of accounts. I'll be right here to assist you more.
