Integrate Time with Workforce

Recently, we rolled out Workforce to our employees however, we did so on July 1st just as QBO was integrating the Time and Workforce as one app. Many of our employees only received an invitation from QBO for one side of the app. Now, I have two employees who have not been able to use the Time entry for payroll.

I had them change their email address which I updated in the Employee section of QBO however, the new email did not change in the Time feature that I can view online. How can I edit their email address in Time?

This is the most frustrating and non user friendly program I have ever used.

Anyone? Help?

Integrate Time with Workforce

Hi there, JM. We understand that utilizing QB Time these past few days has become challenging on your end. Particularly when you change the email of your employee in QBO, yet it doesn't sink to Time. However, we're here to provide insights and help change your employee E-mail in Time.

The possible reason why two of your employees weren't able to use the Time entry is the moment you changed their E-mail addresses in QBO, this created an info mismatch between QBO and QB Time that doesn't allow them to go to Time entry.

Please know that in QB Time, you need to edit the employee E-mail by hand, since you'll send reinvitation for the new access. Moreover, updating your employee's E-mail in QBO doesn't mean the change will automatically run in QB Time.

On top of that, before changing the employee's E-mail in QB Time, ensure that you're the Primary Admin or have Admin access.

Here's how we update an E-mail in Time and Send new invites to your employees:

  1. On the left panel, select My Team.
  2. Pick the Employee you want to update the E-mail.
  3. Choose General.
  4. In the Alerts (Email) field, change the Email. Then, click the Send new invite to give access to your employee using the updated E-mail.
  5. A prompt will show the change we created. Tap, Send.
  6. After that, click Save.

Integrate Time with Workforce

This did not work! I am a Company Admin with full access and was unable to update the employee email address in Time. I then had the Primary Admin try it and she could not edit the email either! WTH?

Integrate Time with Workforce

Hello JM,

I appreciate you for trying the steps shared by my colleague. Let's run some steps to fix why you're unable to modify your employee's email address.

To start with, log into your QuickBooks Time account on a private window to isolate the possibility of a browser-related issue. You can use these keyboard shortcuts to open one:

  • Google Chrome: Ctrl Shift N
  • Microsoft Edge & Mozilla Firefox: Ctrl Shift P
  • Safari: Control Option P

If you can edit the employee's email address, you can go back to a regular browser and clear its cache. You can also opt to use a different supported browser like Google Chrome, Mozilla Firefox, Microsoft Edge, or Safari.

On top of that, you can check these articles that help manage your data in QuickBooks Time:
