Sync Quickbooks Time to Quickbooks Desktop not working

Where in QuickBooks Time is the QuickBooks tab and Preferences? Today, December 5th, those are not anywhere in QBTime. Please update this post.

Hi there, @TMarrs.

 

I appreciate your feedback about the preferences option in QuickBooks Time. I'll be updating the steps for and other users so you can sync your Quickbooks Time and QuickBooks Desktop (QBDT) account seamlessly. 

 

To begin with, I recommend taking note of these factors before integrating your accounts.

 

In QuickBooks:

  • Turn on the “Full payroll” preferences
  • Ensure your week start date matches in both QuickBooks and QuickBooks Time
  • Ensure “Use time data to create paychecks” is checked in both the Company-wide preferences and for each active employee
  • Ensure all employees are set up with at least one payroll item (time is unable to transfer without at least one payroll item mapped)
  • Be able to sign in as the main admin (username is generally “admin”)
  • Be able to switch to single-user mode
  • Be on the computer you will be using to sync QuickBooks Time and QuickBooks Desktop because the sync can only be performed in one location.
  • Ensure all users that need to have time exported to QuickBooks are added in QuickBooks as either an Employee or Vendor (including admins, if necessary).

 

Once ready, 

 

  1. Launch QuickBooks Desktop.
  2. Open your QuickBooks Desktop company file that you want to integrate with QuickBooks Time, and sign in as the main administrator and in single-user mode.
  3. Sign in to QuickBooks Time as an administrator.

 

From there follow the instructions provided by K_Siman on how to install the QuickBooks Time Quickbooks integration add-on.

Sync Quickbooks Time to Quickbooks Desktop not working

Why did Quickbooks make the change that only the primary admin can sync time?  This is completely illogical.  Many companies have a designated person for payroll who is NOT the primary admin.   So frustrating that QBs took a product that was working and changed it to make it more difficult for their customers.

I am having this issue as well. I have QB 2022 Enterprise but there is no activate QB time option under Employees/Enter Time in Quickbooks Desktop

The system has a few requirements, so you'll be able to sync your QuickBooks Time to QuickBooks Desktop successfully. You'll need to follow the steps or procedure outlined in this article: Integrate QuickBooks Time and QuickBooks Desktop using Web Connector, as suggested in this thread.

 

Please keep in mind that you'll need to log in as an administrator and in single user mode. At the same time, log in as an administrator to QuickBooks Time on the same computer. If you've carefully followed the instructions but are still unable to sync your QuickBooks Time account and QBDT company file, please share the problem or any difficulties you're having during the setup. This allows me to look into additional resources and find the best answer for your problem.

Sync Quickbooks Time to Quickbooks Desktop not working

Hello!

Wanted to follow up on this....

We went for a few months using the QB Web Connector until we needed to set up multiple QB Time accounts for different divisions and could not synch them this way.

I was lucky enough to get a QB Time tech support person that was able to assist me.

They found that there was a db identifier that goes from QB to QB Time (a very long, about 16 digit number) that was mismatched and would not allow it to function correctly.

After we corrected this, she verified a few more settings, we restarted QB, and voila.

MAGIC!

It is working now for all four divisions without the QB web connector.

Sorry I cannot be of more assistance.

Just wanted to say, that there is hope, just need to find the right support person.

Sync Quickbooks Time to Quickbooks Desktop not working

When will a payroll admin and NOT the primary admin be able to sync Quickbooks and Quickbooks Time?  This is a change QBs made, so they should be able to change it back.  When is that going to happen?  Thanks!

I appreciate you for getting back to us. Allow me to chime in and share some information about payroll and primary admin in QuickBooks.

 

I understand that you want the payroll admin can sync data. However, that option is unavailable in QuickBooks.
 

In this particular situation, I recommend sending feedback to the product engineers to let them know you'd like to let the payroll admin sync the QuickBooks data.

 

Here's how to get your feedback submitted:
 

  1. Go to the Help menu and choose Send Feedback Online.
  2. Tap Product Suggestion.
  3. Choose a feedback type and product area on the QuickBooks Feedback window.
  4. Enter your suggestion or feedback, name, and email address (optional).
  5. Click the Send Feedback Online.
