Hello bishopmaybelline,
Welcome to the Community. I'm here to lend a hand with changing the description so that it has the correct information.
So that I'm on the same page, are you referring to changing the description on a sales transaction, such as an invoice? If so, here's how you can change it:
I've included a brief video to serve as a reference:
Additionally, I recommend the following article which includes how to change the default information for products and services: Add Product Information.
Please let me know if you should have any questions on this or anything else. Take care.
Is there any way to make this change permanent to the product, I make changes to my product/services at the invoice level and would like to have the option to save it to the database.
Hello there, mkashlak.
Thank you for posting here in the Community. Allow me to step in and help provide additional information about the Product/Service description in QuickBooks Online.
You can change the sales and purchasing information through the Products and Services section to autofill descriptions.
Here's how:
The data entered on the inventory information will now reflect when creating transactions.
I'm always available here if you have any questions about your products in the system. I'll be sure to get back to you.
Is there any way to do it while editing the Invoice or Estimate, I change things alot while editing services in Invoices/Estimates and I would like to have an option to save it permanently to service description instead of just the job. I am hoping to not have to get out of the estimate and go into the services tab open up the service and then make the edit.
Thanks for getting back to us, @mkashlak.
Currently, there isn't an option to permanently save the edited description while creating your invoices/estimates. You'll still need to modify the sales and purchasing information from the Products and Services section.
However, you can suggest the option to save the edited description permanently by sending feedback to our engineering team. This way, they can consider adding this option in our future update.
To send feedback, here's how:
Feel free to leave a reply below if you need further assistance about invoices/estimates in QuickBooks Online.
Hello there, Awais1,
The updated description item will take effect moving forward. Past transactions need to be updated manually to show the current item description.
Please feel free to leave a comment below if you need any further assistance.
The solutions presented here do not match my on screen options. I am trying to enter an expense which is filled out just fine except for the main entry line where "Description" is "Groupon" (which we have never used) and I cannot change it. There is no field for "Description" when I click on the line to expand the entry.
What do I do?
Thank you.
Hey there, @gable.
I'm happy to assist you with updating the description and get you back to business today.
May I know which Online product you are currently using (Self-employed, Plus, Simple Start..ect)? By knowing the exact product, I can provide you the correct steps. Also, could you provide screenshots so I can get a better visual of what's going on?
You can contact support for more help as well, as they have tools that can further assist in this issue.

I have the same question I want to change the description of Bank registered entry how do you do that
I'm here to walk you through in changing your bank entry descriptions, Blessedtee.
Before anything else, I'd like to clarify if you're referring to changing the description of the transaction downloaded from your bank, or those that are in your register?
QuickBooks will depend on the details your bank will provide to us. The option to change the description field in your bank feeds is unavailable. However, you can edit it once you've added them to your bank's register. This goes the same way with those transactions that were manually recorded in QuickBooks. Just reopen the transaction and change it from there.
In addition, if you're referring to editing your Bank details by adding a Description to it, yes you can do that. Here's how:
Feel free to get back to me if you need anythings else. Thanks!
Did you ever get an answer to this? Same issue, trying to clean up descriptions for taxes etc and they don't reflect updates in reports. Very annoying.
Hey, @Diesel16.
If the issue is persisting after following the instructions my colleague provided, then I recommend contacting our Support Team. They'll be able to use additional tools like a screen share to walk you through the steps on how to resolve this issue for your business. Here's how to get in touch with them:
Let me know how it goes. If you have any other questions, don't hesitate to ask.
Very annoying!!!
All description is wrong, time-consuming to correct these issues.
Surely, there must be an easier way to do this - highlight the description name field and amend there to override the incorrect detail and save.
Perhaps consider Slowbooks!
I have the exact same issue, when I open up a transaction in the register and try to edit it, I can make changes in every field except the description, which is frustrating
Thanks for joining us here in the Community, @Crow.
I'd like to ensure that we're on the same page so I can get this issue sorted out.
I want to ask if you've received an error message when trying to edit the description/memo field for your transactions in the bank register? Any further details or screenshots with this concern would be a great help for me to narrow down this matter.
Please get back to me with more information, and we'll take it from there. I'll be keeping an eye out for your response on this. Take care!
There's no way to click on the description and get a text box. No clue how to edit incorrect entries
You can edit the description on the bank register, WinnLawPC.
Here's how:
If you're unable to edit the description, let's try basic browser troubleshooting. This is to check if the error is browser-related. Here's how to use private browser:
For Internet Explorer of Firefox, press Ctrl + Shift + P.
For Chrome, press Ctrl + Shift + N.
For Safari, hold down Command + Shift + N.
Then, try the same steps provided above. If it works in private browser, you need to clear the cache and cookies to boost browser-related issues. Some stored data on your browser can impact the data being transmitted, thus causing some unusual responses.
Let me know how it goes so I can assist you further.
Thank you very much this did help. However, my transaction page still lists the wrong descriptions—despite editing the register. The edited, correct names are visible when I go to expenses, but they didn’t update in transactions.
I'll relay your thank-you message to Lurleen, WinnLawPC. I'd like to shed light on this.
I think the description in the register your mean is the Memo field of each transaction. By the way, that's the memo of the entire transaction, and yes, it's the same memo you see on the Expense Transaction page. However, anything you put in there will not reflect into the Description of the line items if this is your goal. If you can notice on an expense transaction, the Memo field is separate from the item descriptions.
The screenshots below show the memo of an expense transaction on different pages.
Feel free to go back to this thread if you need more assistance in updating your transaction descriptions or memos.
OK, so in essence, if you edit the transactions in the register to say what you want them to, it will be reflected in "expenses" but not in the categorized "transactions" page? Is that correct? That's what happened when I changed the memo and description for my transactions. Thank you for your reply.
i ahve the same issue. very frustrating and it makes the register of transactions useless
Thanks for bringing this one to our attention, billsw222.
QuickBooks Online (QBO) is dependent upon what your bank shares with us and on how they are initially displayed on your bank's website. The option to change the description field in your bank feeds is unavailable. What we can do is to edit it once you've added them to your register. This goes the same way with those transactions that were manually recorded in QuickBooks. Here's how:
If the updated description is not reflected in the transaction, let's try signing in to your account using a private or incognito window. This mode doesn't use the existing cache data and helps us confirm browser-related issues. Here's how:
If it works, go back to your regular browser and clear the cache to delete those temporarily stored files and browsing history. The overtime collection of data can create corruption, however, removing this should fix the issue. You can also use other supported, up-to-date browsers to roll out the possibility of a browser-related issue. Feel free to visit our Banking page for more insights about managing your bank feeds transactions.
I'd like to know how you get on after trying the steps, as I want to ensure this is resolved for you. Please leave a comment below and I'll get back to you. Take care always.
i tried all your steps. It does change in register, but does not change in transaction list. I opened a new incognito browser in chrome and that did not change anything either (I even redid the transaction)
very frustrating and actually makes the transaction list somewhat useless as you don't know who the transactions are from unless you do a few more steps.
