Customized Estimate Template

I created a customized estiamte template in Word and then imputed the file into Quickbooks Online. Quickbooks asked that I sync the required fields from a drop down menu of options (for example - estimate date, customer name, estimate number, description, total), I did so. However I had to select a few custom fields. And when I go to preview the template and to use it, only some of my custom fields are working. How can I get all custom fields to work properly.

 

I've attached a copy of what the esimate template looks like in QB Online and you can see where the custom field is working in some boxes, but not all.

    It's my goal that you can send Estimates from QuickBooks the way your business needs. I've verified through thorough research that at this time, QBO only supports uploading a custom template for Invoices. Although this no longer seems to be a feature, rest assured that I'll be submitting feedback directly to the Development Team to see it reintroduced. Other customers have also mentioned wanting this feature returned, so I strongly encourage you to add to their voices by submitting a request within QuickBooks. Just click the Gear (⚙) icon and select Feedback.

     

    In the meantime, I'd like to offer you QBO's native options for customizing your Estimate templates. To create an estimate from scratch, follow these steps:

     

    1. From QuickBooks Online, click the Gear (⚙) icon > Custom Form Styles.
    2. On the New Style drop-down menu, select Estimate.
    3. Use the settings on each tab to build your estimate from the ground up. Be sure to click Save before finishing.
       

    With these resources, you'll be able to give those Estimates a personal touch that exemplifies your company and what it represents. We also offer a guide on customizing forms in QBO that you may find helpful. Be sure to let me know how else I can empower you to make QuickBooks work the way your business needs.     Glad to see you here in the QuickBooks Community. Let me help you get across this challenge so you can use your own estimate template to QuickBooks Online.


    Since your estimate template is already in a Microsoft Office Word file format, make sure to mark the text that you want QuickBooks to map data with opening and closing angle brackets. Never mark the data that don’t change (company name, address, and contact information).
    QuickBooks support the following font styles:

    • Arial Unicode MS.
    • Courier, Courier Bold, Courier Oblique, Courier Bold-Oblique.
    • Helvetica, Helvetica Bold, Helvetica Oblique, Helvetica Bold-Oblique
    • Times Roman, Times-Bold, Times-Italic, Times Bold-Italic
    • Symbol
    • Zapf Dingbats

    Also, be sure to use Microsoft Word tables to contain the contents and create the table layouts with simple rows and columns. Merge/split cells and tables placed inside of tables can cause unexpected problems.
    Avoid these following elements as they can cause issues with the import:

    • Audio
    • ClipArt, Word Art.
    • Animated GIFS.
    • Embedded files.
    • Adding or updating hidden links or merging fields.
    • Files over 2MB.
    • Non .docx file types or older MS Word documents renamed as .docx files.

    To correctly import your own estimate template, please follow these steps:
    1.    Click the Gear icon, and select Custom Form Styles.
    2.    Choose the New Style drop-down and select Import Style.
    3.    Under the Select a form type, choose Estimate.
    4.    Download a sample estimate for your reference, and then click the Browse button to upload your own file.
    5.    Select Next to upload your document.

     

    Now, you need to map marked areas in your document to QuickBooks data fields.  Review each field to make sure the mapped fields from your template correspond to the correct fields in QuickBooks Online. Check if the numbering and mapping of fields are done correctly.

     

    Once everything is linked correctly, select Next to see a preview of your invoice. Choose Customize and select the saved customer template.

     

    And that’s it! Your custom form is ready to use. Please let me know if you have other questions. I'd be glad to help you further.

    Hello, 

     

    Thanks for providing help on this topic, although I keep getting stuck. When I go to import the new style for an estimate, it doesn't let me choose that its a estimate template. Do you know how this might be resolved? I've had no trouble uploading our custom invoice, just having a problem with a custom estimate.

    I'm here to share what I know about importing your own custom form style.

     

    Right now, you're only able to import custom form styles for invoices. Importing a template for estimate is unavailable in QuickBooks Online. As a workaround, you can customize the fields of the template by following these steps:

     

    1. Click the Gear icon.

    2. Select Custom Form Styles.

    3. Choose your template and click Edit.

    4. Go to the Content tab.

    5. Click the pencil icons to edit.

    6. Click Done.

     

    I also encourage you to send feedback directly to our product engineers by clicking the Gear icon and selecting the Feedback option. This will help us identify what product feature/option works best for your business.

    I am also noticing that QBO has removed the ability for me to re-upload a previous estimate form I had entered in in June of this year. Somehow in the past few months this feature of QBO has been removed. My current estimate template that is uploaded now has a previous address (we are moving locations). Does anyone know when this problem will be rectified?

    I'm here to share some information about uploading or importing Estimates in QuickBooks Online (QBO).

     

    As what @AlcaeusF mentioned, at this time QBO only supports custom imports of invoices. Though estimates may have been available at some point, they are no longer.

     

    I can see how this feature would be helpful for you and your business and I encourage you to submit feedback. These requests and suggestions are forwarded to the Product Development Team for consideration in future updates.

     

    This can be done directly through your account by clicking the Gear icon in the top right corner, then select Feedback or by going to the following link: https://feedback.qbo.intuit.com/. I'm going to submit feedback from my side as well.

    Hello Heather,  

    Im currently working on an estimate also that has a large area to write in being a construction company some estimates have lots of information. Did you get yours working? Also have you ever ran out of room what happens? is there then a 2nd page added?   I attached a sample to get your thoughts on if this would work?

    In your estimate template I would like to delete the "sub Total" and "Total" lines. Can't figure out how.

    The option to delete the subtotal and total lines in an estimate is unavailable, @KLandscaping. l'll add a few details.

     

    I can see how this additional options and functionality would be helpful for both you and your business and I encourage you to submit feedback. These requests and suggestions are forwarded directly to our Product Development Team for consideration in future updates.

     

    Here's how:

     

    1. Go to the Help menu.
    2. Select Send Feedback Online.
    3. Click the Product Suggestion from the dropdown menu.
