Don't waste your time MNLori.  I along with many others have brought this to their attention.  They simply don't care at this point!

Why is that even a suggestion? You guys took a process that used to take 5 minutes and turned into a 4 hour affair.

You want me to sit down and find 150 people in 13,000 names to manually click on them? That’s not feasible.

They're basically penalizing customers that have likely been with them for many years and have developed a large customer base.  Very likely none of them use their own product to this level and have no concept as to how frustrating this issue is for their users.  For them to continue to suggest to go manually select which statements to print just proves how out of touch they are with how their product is actually used.

Agreed.  It used to take me, like you said, 5 minutes to run statements and yesterday it took me all afternoon.  What a waste of time.

And it's too bad, because as I mentioned, it's a good product overall.  But if you're not jumping to fix problems your good customers are having, it's a sign of neglect of the people who pay your bills.  I've been a loyal QB customer for many years but this really disappoints me.

The problem is here is Intuit is too big for itself. They think we are stuck with them, when the reality is I’m jumping ship the second I find a better option. A mega company makes software that today, is far worse than the software 2 years ago? Huge screw up.

This is happening to me as well - When you go to create statements you can choose not to create statements for customers  I click on all of options I do not want statements for  with zero balance, or balance less than $50, I don't want statements for customer who are not active ect. The program seems to not recognize that. THIS IS A HUGE PROBLEM!!

Error when creating customer statements

This isn't the experience we want you to have when creating customer statements, je88icava. Let's work together to fix this so you can effectively manage your sales transactions.

You can review up to 4,500 customer records when you create statements in QuickBooks Desktop (QBDT). If you have more than 4,500 customers, you'll need to select them manually. However, this error is already resolved in the latest release of QuickBooks. We encourage you to update your software to fix this. Here's how to do it manually:

  1. Select Update available then select Install now to install the update.
  2. Sit back and relax while the update is being installed. It might take a while for the update to be installed.
  3. Open QuickBooks once the update is installed.

For more details, please see this article: Update QuickBooks Desktop to the latest release.

Additionally, there are different ways you can track customer transactions in QBDT. If you wish to learn more about how these processes are sequenced and performed, you can check out this article: Customer Transaction Workflows.

Stay in touch if you need further assistance updating QuickBooks and sending customer statements in QBDT. I'm always ready to provide the help you need.

The update DID NOT WORK!!!! This is not being taken seriously.  We can't go through thousands of customers and see who is 30 days past due.  It has been this way a year.

DID NOT WORK!! FIX THIS! IT HAS BEEN A YEAR NOW!  How do you expect us to go through thousands of customers and go to each one and find out if they are passed due?

We have already contacted the support team twice.  I shared my computer and we did a bunch of stuff.  I was told to do exactly this- reach out here and share what is happening so the tech support people could take care of it.  Well....no one seems to know how to fix it!

Error when creating customer statements

@Rea_M - I think it's hilarious that you guys fail to understand the problem - one I did all the suggested repairs, updates, fixes that were mentioned by your team before posting. Yes we have more than 4,500 customers - however I am just to print out 55-65 statements for our customers who have AN OPEN BALANCE. Not all of our customers have terms on the account - hence I DO NOT NEED NOR HAVE SELECTED 4,500 customer. This was not an issue in our 2021 which we updated to the 2024 version just last week.

Let me walk you through the issue so you understand. I go to create statements for closing March (I assume because you work for Quickbooks you are familiar with the reason for statements and when they are usually generated - most companies do so once a month we do it on the first to review the previous month for anyone who has an open balance)

Back at it - I go create the statements - everything is the same as always - I select "ALL CUSTOMERS" I also select on the DO NOT CREATE STAEMENT all 4 options. Normally this means statements are not created for customers with a zero balance, with a balance less than $50, with no account activity, for inactive customers. Do you know what I noticed - If I go back to View Selected Customers on the right hand side it has not filtered out these customers. Instead, I have customers who we haven't done business with in over a decade and who have been marked as inactive for years!  The glitch is not with me - the user- the glitch is with your program and updates. It is not removing the customers which we have as inactive. Obviously, this is something that many people have complained about because this is not the only board I have found with this information - so please read through all the already suggested information provided by your team and come up with a different solution because I have tried everything here already!

Thanks!

Don't waste your time with these steps.  I've tried them all multiple times.  I've called support multiple times and have done what was suggested and asked for the level 2 support.  Did absolutely no good other than wasted several more hours of my time.

ShaniamarieC - aren't you a part of the customer care team.  Why should a customer have to reach out to someone within your team.  Why does everyone one within QB put the burden of getting to the bottom of this on a customer instead of internally figuring this out.  It is not our job to fix your problems!  We pay to have a product that works, and it clearly is not able to perform what should be a very simple and basic account process of creating statements.  Stop making suggestions that only waste our time and get this in the hands of someone that can actually fix it!

We have all done all you have said to do.  We have been having issues a year.  I am sure everyone else has too.  Endless updates do not fix it.  I have called customer care and tech support multiple times. I have spent HOURS AND HOURS trying to fix YOUR issue.  You guys need to figure it out and fix it.  Please go above and beyond and figure this out.  This is not our job to do so.

Error when creating customer statements

The solution from your representative was to MANUALLY SELECT them customer we want to create invoice for. So what should LITERALLY take seconds to accomplish is now going to take 30 minutes to an hour to go through the customers who have an open balance and manually select the customers for whom to generate invoices for - that is assuming you only have about 50 customers with open balances - I feel sorry for anyone with a large customer base. THIS IS A JOKE - Obviously no one in QUICKBOOKS actually does accounting - they are reading from scripts and answering the same things over and over again without understanding what the issue is and how it affects their customers. The bots here and on the phone have no idea how to help -  if they actually did the account procedure they would understand the problem.

I have tried everything listed. Nothing works. Yes I have a customer list larger than 4500, but I only need to print 50-150 statements each month. The “Do not create statements” filters should reduce the list down to only customers with a balance. This is a huge problem! I have left multiple online product suggestions and bug reports. I was forced to upgrade to the expensive Enterprise 24 software because my payroll service with my old version was being discontinued and it is super frustrating that the upgrade doesn’t work in the same way as my older version. Someone at QuickBooks must understand the urgency to fix this issue.

QB is very aware of this issue since it started with the upgrade to Enterprise 23.  Since they have had over a year to fix it (and return this "elite" software to having the very BASIC capability of doing a simple sort and generating statements) it seems obviously intentional on their part.  Probably trying to force us to purchase additional statement creating software from them.  There is NO WAY they couldn't fix this if they wanted to - it used to work, so of course they know how to make it work and are choosing not to.  It is a shame that they are doing this to some of their largest customers who are already paying extra for Enterprise.  (you likely aren't on Enterprise unless you have a huge database that prevents you from using cheaper versions of QB).  The main recourse we have is leaving Quickbooks entirely (currently looking for options, if anyone has any recommendations please share).  We have stopped using them to process merchant payments until they fix this, so at least there is some financial penalty to them.  The other thing we can all do is REVIEW their software anywhere that you can find to do it, so hopefully we can spare others from the problems we are all having and that they are ignoring!

Error when creating customer statements

I know how difficult it is to unable to create customer statements the way you need to, @tnpcwp and @ad2323. I'll share details about the error you're getting and a workaround you can use to achieve your goal.

QuickBooks Desktop (QBDT) only supports creating statements for 4500 customers at a time. You'll have to choose the selected customers and manually choose those you wish to print statements for as long that it is below 4500 per batch. Here's how:

  1. Under Select Customers, choose Multiple Customers.
  2. Next, click Choose.
  3. Then, manually add the customers.
  4. After that, select Preview or Print (this will allow you to print and preview the statements).

Also, this behavior is reproducible in QBDT Enterprise 2023 with release notes R4_72. The older version of the program does not receive this warning message when generating statements. This error is specific to the number of customers that the system can read through to see if any open transactions could be added to a statement. In Enterprise it is common to have more than 4500 customers. The message suggests that you should know who has a balance with you before generating statements.

For guidance, read this article: Create and send customer statements in QuickBooks Desktop.

You can also run customer reports to help you easily track transactions made for your clients. For detailed instructions, check this guide: Customize customer, job, and sales reports in QuickBooks Desktop.

I think you may be confused with the issue we are having. Manually selecting 150 customers each month is not a work around. We all know how to manually select our customers with a balance.  It’s just absurd that we have to do so! What are the filters for if they don’t take out customers with a zero balance in a statement run? I don’t have over 4500 customers with a balance so I am not creating 4500 statements.

Dolce2

Error when creating customer statements

The issue is NOT selecting customers or knowing who has a balance.  THE ISSUE IS....... ONCE AGAIN.....you have filters on there that are NOT working.  We should not have to go select manually the customers we want to send a statement to.  This could be 100.  Why do we need to do that, when it is because of QB that it is now NOT WORKING.  This occurred after an update you did last year.  We were unable to use the filters and QB select for us anyone over 30 days past due.  IT IS UP TO YOU TO FIX THIS.  Please stop giving us suggestions on selecting one by one when we DO NOT HAVE TIME TO DO THIS!!!!  I am currently looking for another program since after a year you want us to figure out "a way around" the issue you created!!!!

Agreed with everyone on this.  It would be so refreshing to hear, "We are sorry you're having this problem.  This is not acceptable and we will work on a software fix to this right away."

I mean, someone can't put together a meeting to discuss this?

I have been a loyal QuickBooks customer for a long long time, and it's so disappointing to see this very real issue landing on deaf ears.  Workarounds don't help a business, they hinder productivity.

je88icava

Error when creating customer statements

@DivinaMercy_N -this can take A LOT LONGER than it needs to when your own filters on the side should be able to filter out those customers and generate invoices for the remaining customer in minute. See the attached picture. AGAIN, everything yellow on the right said should make it so that the program auto selects the customers without us needing to do extra steps like review all 1000s+ customers and select the ones we want. The highlighted section should auto select the customers yet when we go into the View Selected Customers it does not filter anyone out based on the selected categories on the right.

You are telling us that it is acceptable for QUICKBOOKS and your team that what used to take 5 seconds to click and generate is now potentially going to take hours of manual data reviewing, reviewing open balances, monthly activity, manually selecting multiple customers 50-200? Please confirm that this is your solution? Confirm that you find it acceptable for us to now waste hours manually doing this when it worked previously, because no one in Quickbooks can fix it? Really?
