I created an invoice using the delayed charges that I had previously set up for the customer. How can I link that to the billable time transactions without doubling up?

Hey there, @hrohrlach

I hope you're enjoying your day so far.

Great news, you can do this without doubling it up. Allow me to explain how.

1. Once you've created the invoice from the delayed charge, open the invoice.

2. On the right-hand side in the menu bar, click Add on the Billable Time box

3. Review your invoice to ensure nothing has doubled.

4. Hit Save and Close or Send and Save once you're ready.

That's all there is to it. In the meantime, I'm including a couple of articles that go over billable time and delayed charges.

Please don't hesitate to let me know if you have further questions or concerns. You can always reach out to the Community or me anytime you need a helping in getting back to business. Take care and stay safe!

Hi, Tori B.  Thanks for your reply!  That is what I have been trying to do, but it doesn’t recognize that the time is the same as the hours already on the invoice.  It adds the time as a new line and doubles it up.  I can’t figure out how to get QB to see that the charges should be linked to the lines that are already there.

Hello there, Heidi.

Thank you for sharing the screenshot. I'd like to add some details regarding the delayed charge feature in QuickBooks to ensure it won't double the original amount of the invoice.

Based on the given screenshot, you've already entered the hours the same as the time entered on the delayed charge. If the billable time and delayed charge are the same, you can't link the two. This will only double the bill once you've added them both on your invoice.

You can check this step-by-step guide to learn more about entering a delayed charge: How to Enter Delayed Charge Invoices in QuickBooks.

For other related sales and customer resources, you can check this helpful site: QuickBooks Online Tutorials.

Should you have other questions or clarifications, please don't hesitate to reach out again. I'm happy to help. Take care and have a nice day!

Thank you for the quick reply.  The link to the video doesn't seem to work.  I have tried it on several browsers, but it says I don't have access.  Your answer does makes sense. but I am not sure how to enter billable hours as a delayed charge without actually entering the hours.  If I leave it blank, it shows zero for the amount.  Then when I create the invoice later and add the actual hours, I have a couple blank lines followed by one line with the lump of hours.  Not really what I needed.  I wanted to be able to show the hours for each project on its own line and then bill the single customer for multiple projects.

Thanks for getting back to us and sharing an additional screenshot, @Heidi.

For now, the option to link the billable hours to the delayed charged you've created is unavailable in QuickBooks.

Since delayed charges serve as a reminder for the invoice that you need to track for a certain time, we can unlink it to the invoice for now. This way, you can link the billable hours to the invoice without doubling the hourly charge.
