It would seem to be an easy fix, but I assume it's to do with the tax office or whatever you guys call in in the USA, journal entries are a lot easier to track than just a change of account. Not sure really but I am sure I prefer the desktop version lol

I thought this was a great idea; however, QB online will not allow a default account to be merged
In my case, the transactions posted to Cash and s/h/b a checking account.
I need to correct an issue in my books as well. Unfortunately this has been happening for MULTIPLE months. Payroll is going to my quickbooks cash account when in fact the money is actually coming out of my business bank account.
You say a journal entry is needed. So I will need to enter a journal entry in both accounts correct? One in Quickbooks cash and one in my business account?

Merging the two accounts is definitely the way to go. The two accounts must have the same name. Once they have the same name, a message will pop up asking if you want to merge. Luckily the payroll accidentally posted to an account that was not used so merging was easy.

Before we can accomplish your goal for today, can you tell me more about your initial inquiry? Saying you need help with a key number, are you using QuickBooks Online Payroll? Or is it the payroll service key for customers with QuickBooks Desktop Payroll account?

I handle bookkeeping, some include payroll, for over 40 accounts. ALL accounts that I handle payroll for are having this issue. I have submitted feedback multiple times, have called QB help multiple times. My Bank accounts are set up correctly in Payroll settings (and are deducted from the correct bank account) however, the liability payments are coming out of other bank accounts in QB. I have to make a "transfer" between the two accounts to reconcile it coming out of the correct account (easier and quicker than a JE). But, this is ridiculous. I just started up a new client with payroll in December. Set her up with her new bank accounts and submitted everything for her new payroll. Low and behold, this brand new client is having the same issue. The money is showing that it is deducted from an OLD and DELETED/INACTIVE bank account in QB. But, it being deducted from the right bank account. QB used to let you use a drop down to change liability payments, but no longer....
This happens randomly and I have to keep changing the account in the settings. This time a new account wasn't added (so I can't merge), but instead it switched to the savings account! Now I have all these checks and tax payments in savings and I can't move them to checking. SO STUPID
Same problem here. What makes it worse is that a check of the audit log revealed that "System Administration," which I assume is Quickbooks Online Payroll (which is just a bunch of payroll clerks behind the scenes), added the Cash account and directed the payroll transactions to it, causing the mess in the first place. Fortunately, I only have a handful of transactions in this rogue account, not hundreds like some, but the fact that someone from a service I paid for messed it up is pretty aggravating.
This is absurd, this problem has been occurring for years. The correct bank is being used to post the money but the wrong QB account is being sent the money. Please fix this problem!!!

Good Heavens....This has been a problem for 2 yrs and QB still hasn't figured it out. Will it take all of us choosing a different accounting software before QB wakes up?
I don't have time nor do my customers have the money to pay me for dealing with this backdoor accounting feature. FIX IT Please!
There are TWO locations where you need to change the bank account information.
1. The first is in PAYROLL SETTINGS under BANK ACCOUNTS.
2. The second is at the bottom of that page under ACCOUNTING. Click the pencil on that line to edit, and it opens a new page where you can update the account the QB posts the transactions to. It is under Paycheck and Payroll Tax Payments.
IMO it is ridiculous that QB has 2 separate places to set this information with no warning to update both. Obviously we all want the transactions to post to the bank account we update on the settings page. At the very least, there should be a bright red warning when you update those settings that you also need to click on the ACCOUNTING SETTINGS and update those as well.
QBO is made for non-accountant small business folks. I can't believe they assume we will all know to make the change in both places.
after much time, I found that when you cut the check at least for the desktop version, it will have the account that the check comes out of at the top of the page. When you view the check, you can see it just above the check, labeled Bank Account and so you click on it and pick the account you wish it to come from.. Hope this helps.

I want to change it in the payroll settings under account preferences. There was not an option to save the new account. After talking to QB they said it was not yet linked to the payroll account. I was on a chat, but had to step away and was disconnected, so I don't know what the next step is. If you are not able to advise I will contact QB again.
