Previous Reconciliations Showing as PDF

Hi

I'm using Quickbooks Enterprise 2018 Desktop and one of our users is having this issue

One of our users is trying to go back to previous reconciliations (reports – banking – prevous reconciliations) and for some of them they are just coming up as a PDF file not with the whole menu of options as below.

 

Does anyone know why that would be happening?

To verify my understanding, when this user's running their previous reconciliation reports, is their Transactions cleared plus any changes made to those transactions since the reconciliation option on the Select Previous Reconciliation Report window greyed out?

 

Also, is this only occurring with your one user, or are others encountering the same issue?

This is not the issue I am having.

 

The issue is that the previous reconciliations are only coming up as a pdf -without any menu (see image)

I can help you in resolving the error you have with the report, @caringrk.

 

First, make sure to have the latest release to fix known issues, add features and enhancements, as well as update compliance information. See this article for detailed guidance: Update QuickBooks Desktop to the latest release

 

If you're still having an error after generating the report, try running the Rebuild and Verify Utility tool to fix possible data damage on your company file.

 

Please follow the steps below:

 

  1. Open your company file again.
  2. Go to the File menu, then select Utilities and choose Rebuild Data.
  3. Click OK in the QuickBooks Information window.
  4. Wait until the repair is done. Then, click OK.
  5. Then, go back to the File menu and select Utilities and choose Verify Data.
  6. Click OK if QuickBooks doesn't find any problems. Or Rebuild Now if it finds issues with your company file.

But I"m having it only with some reports. I would think it would just be a setting or the like that needs to be changed.

Since my colleague has already provided the necessary troubleshooting, the next thing we can do is repair your QuickBooks program. This feature help fix any program-related errors like not being able to show other details in the reports. 

 

Before doing the process, let's create a backup copy of your file to avoid data loss. 

 

Now, let's go ahead and repair the software. Here's how: 

 

  1. Click the Start or Windows menu.
  2. Go to Control Panel.
  3. Click Programs and Features.
  4. Select QuickBooks, then click Uninstall/Change.
  5. Click Continue, then Next.
  6. Select Repair, then Next.
  7. Wait for the repair to complete, then click Finish.
  8. Restart your computer if prompted.

It looks like all possible troubleshooting steps that we can share in the Community have been shared. I can also see that you've already reached out to our Technical support team about this.   

 

However, I would still recommend reaching out to them again. That next again that will receive your call will be able to review the notes on the previous call and check for more options that can resolve the issue. They can also screen share with you to take a closer look at the reports and sort this out.

Please know that if you run a previous reconciliation report and select the Transactions cleared at the time of reconciliation from the In this report, include tab, this will display as a PDF file. 

 

However, if this isn't the case, let's perform some troubleshooting steps to show your previous reconciliation in the correct file form. Let's start by ensuring that your QuickBooks Desktop (QBDT) is up-to-date since outdated accounts can lead to issues like this.

 

If your QBDT is updated, let's use the Rebuild and Verify Utility tool to determine what's wrong with your company file that causes the error when running a previous reconciliation report. Here's how:

 

  1. Select Utilities from the File section in your account.
  2. Choose Verify Data. If there's an error message you can search it in QuickBooks Desktop support site for how to fix it.

Once it shows Your data has lost integrity, let's rebuild it to fix it. You can check out this article and go to the Rebuild your company file data section for the detailed steps: Verify and Rebuild Data in QuickBooks Desktop.

 

Furthermore, your data is clean if it shows that QuickBooks detected no problems with your data. Hi Bryan,

Thaks for reponding to my message.  However, the solution didn't help becasue I am using an older version of Quickbook Pro 2016 desktop version and I believe there was no more update or supports for that version by QB.  The actual problem is this:  I am okay when it generated a PDF file, but the last right column was not displayed on the same page and that last column went to the second page, it appears the right margin was not wide enough for display all the columns on the page. Not only the previous reconciliation report had that issue, the normal reconciliation report aslo had the same problem.  Also, there's no setting on that PDF file for the page margin or during print to fit all in one page, because that was generated by QB.  I have the same QB version on another computer but doesn't have this problem, all the columns on the reconciliation reports fit into the same page when it's generated. Just that this computer's QB had this problem.  I wonder where can I find the setting to have all the columns be displayed on the same page.  The reconciliation report and previous reconciliation report were generated in a different method, even is PDF file, the rest of other reports e.g. Profit & Loss statement, Balance Sheet, those allow to print to Excel and that I could adjust each column's width, just not the reconciliation report, it totally generated a PDF without adjustment allowed.

Thanks for reponding. I have tried the solutions but it doesn't work.  I compared the Quickbooks (2016 Desktop) on both computers (let's say computer'A' -had the issue and computer 'B'-no issue on the reconciliation report).  When the PDF file was displayed, A is different than the B, PDF on A looks simple, PDF on B looks have more tools.  I'm use Adobe Acrobat on A, and Adobe Acrobat X Pro on B.  Could this be the different of Adobe i used. The PDF display looks just weird on A, because the fonts are bigger and probably the last right column was not fit into the same page but displayed on the following page (just one column on the second page). I am curious is there setting to change the font's size make them smaller before QB generate the PDF file of reconciliation report?  I know how to change font fize on other reports, but for reconciliation report, it worked different, QB just generated (displaying) it without any customization meaning there's no options to choose unlike other reports it can create Excel...print to PDF, printer, etc with the customization button but the reconciliation report is different.  I also wish to know is there setting on QB to choose a PDF generator.  Or is it something to do with PDF converter.  I don't really know how that reconcilition report (pdf) was being displayed, like what pdf generator does it used.

Thanks for offering solutions. 

 

I can't install the Adobe Acrobat Pro X to Computer A, as the license is for one computer only.  This computer with the installed Adobe Acrobat is a paid subscription. 

 

I have also done the verify data, found No Problem.

 

It doesn't seem like it's the PDF generator (Adobe Acrobat) that causes the issue, because I also have several other bank accounts in Quickboos, when generated the reconciliation report or previous reconciliation report for the other bank accounts, all the columns fits into one page (there're total 7 columns: Type, Date, Num, Name, Clr, Amount and Balance.  However on this particilar bank account only that generated with 6 columns, and the last columns (Balance) was not able to fit into the one page and displayed on the second page.  If this is the PDF generator (Adobe Acrobat) problem, how do you explain this because all other bank accounts reconciliation report have no such issue, it just doesn't make sense.

 

I also tried to uninstalled and reinstalled Adobe Acrobat, same problem.
