Can a budget amount be set per class instead of per account?

Hi there, accounting33.

Yes, you can set up your budget by class. Let me show you how:

  1. Create a new budget in the Budgeting section.
  2. Select Class in the drop-down arrow for Subdivide by.
  3. Select which class the budget is for in the drop-down arrow for Add subdivided budget for
  4. Click Next.
  5. Enter the budget amounts in the class that's selected in the drop-down arrow for View budget for.

I also have screenshots below for more details. Leave a reply below if you have other questions.

Can a budget amount be set per class instead of per account?

Answer appears to be a budget by Class within Account; question is for a budget by Class instead of Account.

The answer appears to be a budget by Class within Account.  Is there a way to create a budget by Class instead of by Account?  In other words, a single amount for each Class across all accounts.

Thank you for joining the thread, @millerdq.

I'd be glad to help set a budget amount per class across all accounts.

The steps provided by my colleague above is correct in setting up a budget by class. However, to create a budget per class across all accounts, you'll need to enter the budget amount by class in the Accounts section.

Here's how:

  1. In the Budgeting section, select Class in the drop-down arrow for Subdivide by.
  2. In the Add subdivided budget for drop-down, select which class you'll add.
  3. Click Next.
  4. Select the Class in the View budget for drop-down, then enter the budget amounts in the class for each account.
  5. Once done, click Save.

Then, please repeat steps 4 and 5 for the rest of your class.

Can a budget amount be set per class instead of per account?

Hi, this is great, but I created my budgets before classes and can't now edit the budget to set it by class.  Can this be done? Thanks. Rebecca

Hi there, Rebecca.

Once the budget is already saved, QuickBooks doesn't allow us to edit it. I know a workaround for this. I'd suggest creating a new budget by class and use the old budget as the reference. Please refer to the steps which my colleague @Jeno_P provided above.

Also, you can check this article on how to create, edit, and manage budgets.

Can a budget amount be set per class instead of per account?

I'm frustrated as we're trying to accomplish the same thing, and no one seems to really understand the issue. I get that you can toggle between classes and fill out a detailed budget for each class, but I would like to have the rows be classes, with no accounts appearing whatsoever. We don't need the complexity and detail of having to budget by account for each class; we just need a high-level view for how we're doing in each class.

It would be great if there's an option to create a budget for classes, ch010101. It can represent a budget for a certain department or an event in the company.

While this isn't a feature in QuickBooks, I'll share this idea with our product engineers. That way, they'll be aware that there are users who need to feature for their businesses. Feedback and suggestions are one way of knowing the needs of our clients. We also made changes to QuickBooks based on them.

In the meantime, you can create a per-class budget in Excel and upload a copy of the files in QuickBooks for your record-keeping purposes. Just click the Gear icon, choose Attachments, and drag and drop the file in the box intended for it.

If there's anything that we can help you at the moment, please don't hesitate to go back to this thread.

JessT, thanks so much for your response and for sharing the idea with your product engineers. For our nonprofit, most of the classes represent the various outreach programs we run, so it would be great to understand how each program is tracking throughout the year without using the 100+ accounts we have for each class.

I set my budget up by account and it all went to one class. If I run a budget to actual the budget amounts dont show under the right class. I can do a 2nd budget by class but dont understand this. Do I have ot enter each separate class budget. How would I run a consolidated report?

Hi there, @Sread1.

I've got some information to share about setting the fiscal year in QuickBooks Online.

Being able to set two different fiscal year isn't available. You can only set one fiscal year on your account and your reports will be based on the date used.

To get your work done, you may consider setting the report period to a custom date. This way, you'll be able to see the data that you need. Just pull up the class report and customize the Report period.

You can also temporarily change the fiscal year on your account's settings to pull up the class report on your desired fiscal year. Know that changing the fiscal year, it does not change any data. Only the report dates are affected. You may modify the dates to the original fiscal year after running the report.

To do that:

  1. Go to the Gear icon.
  2. Select on Account and settings.
  3. On the left panel, click the Advanced tab.
  4. In the Accounting section, select the month from the First month of fiscal year drop-down menu.
  5. Hit Save and then Done.

To give you more details about managing classes and running its reports, please see these references attached:

Can a budget amount be set per class instead of per account?

Is there a way to budget by account AND class in QB Desktop Premiere Plus Edition 2022?  I got as far as "create a new budget," selected my year, and added the additional criteria of "class."  The window then says "FY2021-22 - Profit and Loss by Account and Class," but there is no "current class" dropdown menu that lets me select the class I want to enter.  Very frustrating.  Should be easy!
