Can I upload custom invoice templates to QB online? If so, how?

Thanks for reaching out for support here in the Community. I can help you with uploading your invoice template in QuickBooks. I'll guide you how:

  1. Go to the Gear icon, then choose QuickBooks Labs.
  2. Toggle the switch for Import Styles to On.
  3. Click the blue Done button.

Once done, prepare your template in Microsoft Word. When you're ready, import your custom invoice template. Here's how:

  1. Go to the Gear icon, then choose Custom Form Styles.
  2. Under the New Style drop-down, select Import Style.
  3. Select your file and click Next to upload your document.

I turned "On" Custom Styles in my Quickbook Labs but the I don't see the option to import custom invoice. It should be there but it's not.

Here is the screenshot to show that the custom import option in my gear box is not appearing even after I turned on the Import Styles add-on in my QBLab.

I appreciate all your efforts in trying to turn on the Import Style and sharing with us the result. Let’s perform another troubleshooting to get the Import menu to show.  


To begin, close, and reopen your company. This can help kick off the activation of the Import Style feature. Next, follow the steps provided by @Maybelle_S to access the Import Style menu.


If you continue to get the same result, access QBO using the InPrivate or incognito window. This is to rule out the possibility of a webpage issue and this type of session doesn’t store local files or cache.


To bring up private browsing:

 

  • Google Chrome: press Ctrl + Shift + N
  • Mozilla Firefox: press Ctrl + Shift + P
  • Internet Explorer: press Ctrl + Shift + P
  • Safari: press Command + Shift +N

From there, log in to your account and then go to the Custom Form Styles page to check the Import style menu.

If you’re able to see it, shift back to your regular browser to clear the cache. This process improves the browsing performance of the application.

 

These steps will get you in the right direction importing the custom template.

I tried the private browsing and still no Custom Form Style option. 

 

Can someone from support take a look at my account/setup?

I also cleared all the history, cookies and cache and went straight to private and still don't see it.

Have you tried to use other supported browsers, @evinoco?


Another way to get rid of unusual behavior is by using other browsers. You can use Chrome, Firefox except for Internet Explorer.


Open your QuickBooks account from there, then verify if you can view the feature. If the issue persists, I recommend contacting our Technical support team to check this further. Our team can take a look at your account and can modify the set up if necessary. They have more tools that can determine the cause of the issue.


Let me show you how:

 

  1. Select the Help menu at the right top.
  2. Click the Contact Us button below.
  3. Enter “unable to view the Custom Form Style option in the system” in the field.
  4. Hit Let’s talk.
  5. Choose to Get a callback

Thank you for your help.

 

I contacted someone and we figured out it was because I had the basic service so I upgraded to the next $40 dollar service. The button Custom Import Style appeared so I got off the phone with the support. I went to Import Invoice under New Style but now the Import Style option isn't there.

 

Can you advise? Is it because this option is available for the subscription I just changed it to and would have to upgraded again? Or is it a tech issue?

We'll just have to turn the feature to import invoice styles, evinoco.

 

It's good to hear that you've upgraded your subscription so you'll have the option to create sales forms that's according to your preference. I'm here to walk you through on how to get started with importing your invoice templates.

 

You can follow these easy steps:

 

  1. Go to the Gear icon and select QuickBooks labs.
  2. Toggle Import Style option to turn on. 
  3. Click Done.

 

There you have it. Now you can make your invoice design by importing a .docx file from Word. Just click the Gear icon again and select Custom Form Styles. At the upper-right, click the New style drop-down arrow and then select Import style.

Ok for some reason now the Custom Styles button disappeared. I checked my account to see if the subscription I updated to was still active and it was. 

 

Can you please set me up so I can call support. This is becoming frustrating.

Based on your previous replies, I can see that you've done the basic troubleshooting steps to resolve the disappearing custom form style option. It would be best to contact our Support to have this taken into a different level. The support team will gather screenshots and other data to investigate this further.

  1. Click on Help and choose Contact Us.
  2. Paste your question in the text box and click Let's talk.
  3. Choose between Message an agent or Get a callback. These options are available during their office hours.

Let's take a look at some factors to ensure that you can the invoice template you've created.

 

First off, you'll want to verify that your template fields match correctly with QuickBooks fields. Then, make sure to determine the text or fields that don’t change with each print. You may follow the steps in this article to be guided in reuploading and mapping your template: Import custom form styles for invoices or estimates.

 

If the issue persists, you can perform some basic troubleshooting steps to further isolate the issue. There are times that accumulated cache in the browser becomes corrupted causing template and import issues in QBO.

 

You may start by accessing your QuickBooks account in a private or incognito window. This mode doesn't save web searches and cookies. Please refer to the shortcut keys I've listed below:
 

  • Ctrl Shift for Google Chrome
  • Ctrl Shift for Firefox & Microsoft Edge
  • Command Shift for Safari

Once you're in, check your template list. If the uploaded template now matches the original one, go back to your regular browser and then clear its cache to delete the accumulated junk files. Switching to other supported browsers can also help fix this issue.
