What is the best scanner to buy for scanning invoices and documents

I also need an updated list of scanners. We are looking to purchase one compatible with Enterprise Platinum in the immediate-near future. My account rep replied with an automatic email saying they are unavailable, so a list would be very helpful.

For now, our engineers has not released an updated list of all compatible scanners. The available list that we have at the moment is the one that is shared in the first page of this thread. Let me share the link for more details: https://intuit.me/2TkJXQx

 

Although, there are ways of checking if a scanner is compatible with QuickBooks Enterprise. Make sure that:

 

  • It supports EAN-13 (International Article Number, formerly European Article Number) and Code-128 barcodes
  • It produces a single carriage return at the end of the barcode.

Aside from that, we've also added 3 Bluetooth bar code scanners for the Advanced Inventory Pick/Receive functionality. More information about these scanners are discussed here: Bluetooth Scanners for Advanced Inventory.

For now, Apple Scanner is not on the list of compatible scanner for QuickBooks Enterprise. Please refer to the list in my earlier replies on how to verify if a scanner is compatible or not.

 

We'll send another feature request about being able to use Apple Scanner for barcode scanning. We're constantly collecting customer feedback and suggestions to be reviewed for future updates.

I have a NEAT desktop scanner that works fine. However since Neat got out of that business the latest software has not kept up with the revised tax categories for deductible receipts and expenses. Will Quick books work with the Neat scanner and are the Quickbook categories updated yearly??

Any barcode scanner is compatible with QuickBooks as long as it complies with the following formats: support EAN-13 (International Article Number, formerly European Article Number) and Code-128 barcodes and produces a single carriage return at the end of the barcode.

 

In regards to QuickBooks categories, are you referring to the sales tax item? If so, you'll need to manually set them up in the Lists menu for every jurisdiction.

 

If it's about the barcodes, they are mainly used for inventory reporting. Turning on the barcode scanning preference in Advanced Inventory and using the Barcode Wizard gives you the option of either moving your existing barcodes into QuickBooks Desktop into the new Barcode Number field for any or all of your items or having QuickBooks Desktop create barcodes for items in your item list.

For concerns regarding Quicken, I suggest contacting their Technical Support team for assistance. They have the necessary tools and resources to check on your query. 

 

When you have the Quicken page open, scroll down and click the Talk To Support button so you can choose to connect either with chat, or phone support.

I can help in setting up your Fujitsu scanner, @valkyriemome

 

When setting up your new scanner for the first time, you’ll need to set up the QuickBooks Scan Manager for QuickBooks Attached Documents.

 

First, you’ll have to create your scan profile. To do it:

  1. Go to the Company menu, select Documents, and then choose Doc Center.
  2. Select Scan a Document. Then, click on New.
  3. Set your profile and select Continue.
  4. Click Save.

Then, you can set up and test your scanner:

  1. Go back to the profile that you’ve created. 
  2. Click on Select and choose Scanner Setup Wizard and choose the appropriate Mode.
  3. Check the Perform Tests box, then select Next.
  4. Check the Repeat this test to check all modes box, then select Next to continue testing in other available modes.

As long as the portable scanner is TWAIN-compliant, it'll work with QuickBooks Scan Manager. Before getting one, I'd recommend contacting the manufacturer and ensure it's using the TWAIN protocol. You can also look at the product reviews, specifications, and browse for user recommendations.

In QuickBooks, we're not able to use an iPhone device to the barcode scanning feature. I know how this would be a beneficial feature to the business owners, but this feature is only compatible with Android devices.

I am leaving my latest CPA . His oversight of inexperienced employees was deficient. There are gaps in the QB Accountant Pro data from the current CPA so I am piecing together what I can. 

I have secured Quickbook data from my previous CPA, a very reputable firm. They sent 3 years or so of Federal tax returns and general ledgers in PDFs. Since this is 2020, for audit purposes, I would like to cover 2010 at the least. Please tell me if QB 2020 has the capacity to integrate the PDF information into my register. Also. can the PDFs of the tax returns be maintained as such in the QB, without data integration?

How hard would it be to convert  Quicken files to QB Enterprise 2020? I may have some overlap there.

Have you any experience with using Money Thumb, or other, to accomplish the OCR?

I am using a Brother MFC-J825 printer.

Thanks for providing detailed information about your concern. It was super helpful, and I feel like we are on the same page.

 

At this time, importing transactions in PDF format is currently unavailable in QuickBooks Desktop (QBDT). As a workaround, you can search for a converter online. Once everything is set, you can import the file to QuickBooks Desktop.

 

As for converting Quicken files to QBDT, you have two options to start the switch. It could be converting directly to QuickBooks Desktop or use the Quicken converter to upgrade your file first. For more detailed information, you can take a look at this article: Convert Quicken data to QuickBooks Desktop.

 

For your last question, have you encountered any issues in accomplishing the OCR using the Money Thumb? Can you provide additional details for me to give the right resolution?

I had this same question and resulting problem.  There is nowhere to get guidance on this... even the people supporting this thread have no answers.  I spent almost 3 hours on the phone with QB Support and that also yielded nothing of use... as the scanner I owned (Fujitsu ix500) is not TWAIN driver compatible, even though some places on the internet say it is.  

I want to use a typical desktop scanner and don't want to have to use a giant multi-function/all-in-one printer/fax/scanner, and the Fujitsu ones are top of the line, quiet, efficient, and MOST importantly, they can scan Simplex or Duplex (one side or 2 sides) at the click of a button.

I researched this, and found a current model that is TWAIN compatible, the Fujitsu fi-7030.  It is about the size of a medium loaf of bread, and folds up when not in use.  It's around $500 on Amazon.

It has a nice document loader so you can load everything, even as small as a credit card receipt in the auto-feeder.

It is a straight forward installation, power cord and USB Cable. 

When you go to download software, they offer a big piece of software for scanning (Paper Stream)... you DO NOT need that for QB use.  You only need the driver from that package called "Paper Stream IP TWAIN".

Then load the "ScanSnap Manager" as well.  This puts a controller in your system tray which you can use for routine scanning.  You load a doc, then right button click the icon and select Simplex or Duplex, and that's it, it does the rest.  It opens a dialog asking where you want to store, send etc.  Very easy.

But the best part, is use in Quickbooks.  Now when you open the Attachment icon anyplace in QB, look at the top of the bar, and you will see a "Scanner" button.  Click that, it opens a QB Scanner Manager.  One time, you will have to select the Fujitsu if-7030, and then it defaults there forever.

Click "Scan"... in a few seconds it will ask if you want to scan front side, back side, both sides... select, and then it scans your doc.

It will open a doc and allow you to name and describe the doc, then hit save, and that's it!

The document is named what you want, and placed right on the document in QB.

Any barcode scanner is compatible with QuickBooks as long as it complies this following format:

 

  • Your scanner supports EAN-13 (International Article Number, formerly European Article Number) and Code-128 barcodes
  • Your scanner produces a single carriage return at the end of the barcode.

Once your scanner meets the required format, you'll need to enable the barcode option on your QuickBooks Desktop. Here's how:

 

  1. From the Edit menu, select Preferences.
  2. On the left pane, scroll down to Items and Inventory, then go to the Company Preferences tab.
  3. Select the Advanced Inventory Settings.
  4. Go to the Barcodes tab, choose Enable barcode, then select Open Barcode Wizard.
  5. Decide if you want QuickBooks Desktop to create new barcodes for you.
  6. Select Next and Finish, then OK on the wizard windows.
  7. Select OK twice to close the Advanced Inventory Settings and the Preferences window.

The only way we make sure that a device will work is through the following requirements:

 

  • The scanner supports EAN-13 (International Article Number, formerly European Article Number) and Code-128 barcodes
  • Your scanner produces a single carriage return at the end of the barcode.
  • It also has to detect when running the Barcode Scanner Tester
