How can I prepare an estimate or invoice and have sub groups for the services in them such that items in each group appear on the estimate in different sections.

Hi there, @ayo-ogunlade.

 

We can group your product and services to keep things organized with your estimate or invoices in QuickBooks Online. Let me guide you how to do it.

 

  1. Go to Sales in the left menu and select Product and Services.
  2. Find the product or service you want to group.
  3. Click the ▼ drop-down,from the Action column.
  4. Select Run report
  5. Click Customize then select Rows/ Colums.
  6. Below the Group by click the ▼ drop-down then choose Product and Services.
  7. Hit Run report.

Once you've done, the items in each group will show on the different sections and you can get a snapshot of various aspect of your business..

Hi Jossem, thank you for this. 

i can see that i have made some errors from initial entry of products into my account. is there a way i can export all my P and S, re arrange them as i want them grouped and then save them going forward?

see attached the type of thing i want to achieve. i want to be able to group the products per category of work, have a subtotal per that section, and have a total at the end. essentially, the products will appear as in sections.

You can export the Product and Service List report to excel, so you can make the corrections and then import it in QuickBooks. Let me show you how. 

 

First, run the Product and Service List report. You can follow the steps provided by my colleague or refer to the steps below to create the report and export it: 

  1. On the left pane, click Reports.
  2. Search and select the Products/Service List.
  3. Select the Export drop-down, then select Export to Excel.

After that, you can use the following article for the steps and formatting tips to ensure your updated list imports correctly: Import products and services from Excel. Please note that once you bring in the list into QuickBooks, it is irreversible.
