Does anyone know of a way to print customer notes on the collections and open a/r reports? I know you can print them in a customer contact list, but we primarily use customer notes to document collection efforts, so including them in collections or the a/r reports would be far more helpful. Seems like it would be an easy task for Intuit to add the note field to the available columns for customizing reports.
I've got the steps on how we can print a customer notes on the report, Tenacity.
Let's make sure to filter the report to show the notes. I'll show you how:
Afterward, let's click the Print icon to print the report.
I've also added this article that has the details on the format when printing a report: Format printed reports. Then, go to the Print reports section.

The memo/description field is in the invoice. I'm talking about the customer note field within the customer file. I don't want to put collection notes within each invoice because the customer will be able to see them.
Good day, Tenacity.
Though we can enter notes on the customer's profile, we're unable to add them to the transaction reports. You'll want to export both the report you need and the contact list into an Excel file. From there, you can merge them and get the data you need.
You can simply click the Export button and select the Export to Excel.
I've also added these articles to learn more about reporting in QuickBooks Online:

That's what I'm doing currently, but it's rather cumbersome. Is there a way to request that this field be added to the columns available for customization in a future update? I know it's possible to add, because it's available in the customer contact report.
I appreciate your input from every angle, @Tenacity.

How do I print the collection notes on the Collections Report in Quickbooks Desktop?
Thanks for joining the thread, @mlanclos.
Let me provide some info and steps about printing notes on the Collections report in QuickBooks Desktop (QBDT).
The notes field in QBDT is a default column to all customization, but not all reports can pull up this info. If you wish to use the Notes column, you'll have to add notes on an invoice.
First, add a note field on the product item. Below are the steps:
Second, you can apply this to your invoice:
Lastly, you'll need to customize this report to include the Notes column. Here's how:
Once done, click the Print drop-down ▼, and select either Report or Save as PDF. Choose all the preferences you want, and then hit Print. See screenshots below for visual guide:
To learn more about it, please browse this resource: Customize reports.
If you wish to access this report anytime, you can click the Memorize button at the top to save its customization settings. Check out this article for the detailed instructions: Memorize report.
You may also hit the Export button at the top portion of the report to download a copy to Excel.
Feel free to leave a reply in the comment section if you need further help with managing reports or anything else related to QuickBooks. Take care and stay safe always.
I concur, please fix this asap, need notes tied to specific customer invoices for our internal collections process
We would love to have this feature added as well to show the customer notes with the AR Aging to track efforts of collection. thanks!
I'm in! We also use the notes to document collections and it would be incredibly helpful to export the notes with the aging/collections reports. I have to admit, it is a disappointment to discover that I can't do this. I was hoping the forums would be able to provide insight to something that I was missing.
Quickbooks, please make this happen!
This is also something that would be most helpful on the collections report for us.
The directions above about adding a custom field to an item and then adding it in a header to then add to the invoice doesn't work. There is no notes field in the header on an invoice. I also don't understand why a field on an item would hit a collections report anyway.
Amen! We also need collection notes on a customer/invoice basis and to be able to print on a report. This is a very common part of collections...keeping track of correspondence about past due accounts. Please add this feature ASAP
Hi there, tmcentee.
Thanks for sharing your feedback and suggestions about the receivable report.
While the feature is not yet available in QuickBooks Desktop, I'd suggest sending a feature request about adding more options when printing a report. You can send it directly to our engineers from your company file. Here's how:
Feedback and other feature requests are collected and reviewed for future updates.

Hi @Tenacity,
Rishika here from Better Reports!
I think our app Better Reports can show this. As an example, I have added the customer note to an Accounts Receivables report that shows total A/R balance by customer (screenshot below).
We can also add this field to any other reports with customer level data.
What do you think?
Has this feature been fixed or added? This is also causing huge issues as well.
in QBDT, We print a report that includes a customer balance, days aging and the collection notes, however, its only the pinned note that exports. Which is fine because we always pin the most recent note as soon as we notate the account for this reason. The downfall though is it only pulls a certain amount of characters. So if the note is more than 10 or so words, its just cut off as an incomplete sentence. yes, it gives the time/date and a little insight on the last action/ correspondence per account, but you still have to open the customer if there's a lot of details within a customer note. *** I would like for the WHOLE note to be exported.***
I agree with you, @SPM-904.
I understand how this can be beneficial for your business; we want to comprehend your preferences for the application. Thus, I suggest you extend this concern to our product development team by sending feedback directly to them. I’ll show you how:
Furthermore, you can check out these articles for your reference when customizing your reports. This option will allow you to personalize the financial data you want to show on a report. After that, utilize the memorize report feature to save your previous customization for future use:

One suggestion:
when you have a collection note on a specific invoice, use the “memo” field at the bottom of the invoice template (below customer message). Make sure this note doesn’t show on your invoice that gets sent to your customer though. Then you can add the “memo” field to your collections report.
Please confirm the “memo” field as noted on the invoice level is not visible to the customer when the invoice is reprinted or shared via link with them.
pls confirm field will print on aging.
If so confirm a/r aging modification instructions.
Thanks
