Project Report

Hi Quickbooks,

 

We want to print out a project report so we can analyze the profit margins per project. Right now the only option I see is to print it - which I can also save to PDF. 

 

How can we most quickly export this data to Excel?

 

And do you plan on making this option available? 

 

Right now it's a hassle every time we want to analyze this data - unless we're missing a way to do it?

Thanks for getting back to this thread. As mentioned above, the option to export projects all at once to Excel isn't available for now. 
 

However, you can export them one at a time and merge the Excel files by copying them to a single Excel sheet. You can reach out to the Microsoft Customer Support team for the detailed steps. 
 

Also, you can follow the steps provided by Candice on how to export your Project profitability report. 
 

In the meantime, I would also recommend looking for a third-party app as suggested by Raymond. Simply follow the steps that he provided.

Project Report

Good Morning, @tmwCM.

 

I can walk you through the steps of how to print or export a project report in QuickBooks Online (QBO). The reason why you may not be able to see these options is that they are hiding at the top of the report. 

 

Here's how: 

 

  1. Go to the Projects tab. 
  2. Locate and click on the project. 

 

 

       3. Pick the Project Reports portion. 

 

 

       4. Click View on the Project profitability section. 

 

 

       5. Change any information you need to. 

       6. Once you're ready to print or export, just hit the icons to print and export in the top right-hand corner. You can also email the report as well. 

 

 

You can check out this link for more information about exporting, printing, and emailing reports in your QBO account.

I should have mentioned, we do know that we can do this individually per single project.

 

We want to run the same report and export it to Excel for all projects where we've been tracking profitability.

I know how relevant for you and your business to export all your projects to Excel at one time. I'm here to provide an alternative method to complete your task. 

 

I'd recommend looking for a third-party app that can integrate with QBO. This way, you'll have an option to export all your projects to Excel. Just go to the Apps menu or via the QuickBooks App Center.

 

Here are the steps for the app center: 

  1. Go to this link: https://quickbooks.intuit.com/app/apps/home/.
  2. Select US as the region. 
  3. Enter "Export Projects" or "Export Reports" in the Search box. 
  4. Check their profiles to learn more about the apps. Choose the right one for your business.
  5. Click Learn more/Get app now
  6. Select the QBO version you're using. 
  7. Choose Connect

 

The screenshot below shows you the first three steps.

Aside from the Project Reports tab, you can also use the other ones to manage your project costs and profits efficiently. These are Overview, Transactions, and Time Activity (see the screenshot below). For more details, see Step 6 through this article: Track Job Costing Features

Hi @RaymondJayO 

 

The suggestions you gave are also only per project though, right?

 

What I am looking for is the ability to manipulate all projects at once.

 

I'm grateful for the Reports feature! Just hoping you continue to develop to make it more useful with reporting so we don't have to use 3rd party apps, since the projects report I'm looking for seems simple or not complex beyond what I'm seeing on the screen.

 

Are there any plans on developing the reporting capabilities?

Yes, the suggestions given by RaymondJayO applies for all or just a single project. I also see how seamless it would be to export a report for all projects to Excel. Though the option is currently unavailable, rest assured our engineers never stop to develop QuickBooks and deliver the best experiences for all of the QuickBooks users. Hopefully, the feature will be considered in the coming updates.

Hi @Angelyn_T I cannot figure out how to export those detailed project reports for ALL projects at once to Excel, even though in your last response you're saying I am / should be able to.

 

Would you mind showing me a step by step of how I can do that?

Is there a way to run a project report for EXPENSES ONLY?   I do not want to run a profitability report as I need to show the repot to the client and I do NOT want the client to see profits, only the incurred expenses so far.

You've come to the right place, LMM12.

 

You can apply multiple filters to customize your report and show only those expenses. To do this, follow the steps provided below:

  1. Run the Project Profitability report. 
  2. Click Customize on the upper-right corner.
  3. Click Filter, tick the Distribution Account box, then click the drop-down arrow and select All Expenses Accounts.
  4. Click Run report.

Once done, only the expense transactions will show on the report. Here's an article for more information on how to customize a report: Customize Reports In QuickBooks Online.

 

You can also export reports from QuickBooks Online to Excel if you want to add some information.

Project Report

Our firm too faces this same dilemma. We have nearly 80 projects and it is not feasible to export a report by individual project, combine and analyze. 
One work-around I have found, is from the main Projects Summary page choose the print icon, it will open a new tab with each project, customer, income, expense, and profit margin. I simply copy and paste that data into an excel spreadsheet, and manipulate from there. 
It's not the answer, but as mentioned, a work-around.

You can either open a Project Profitability report for a specific project and filter it to show all projects, or run the Profit and Loss report. Both reports will display the same information. 

 

To run a Profit and Loss report, here's how:

 

  1. Go to Reports on the left panel.
  2. Under Favorites or Business overview section, click the Profit and Loss link.
  3. Set the Report period, and select the Customize button.
  4. Go to the Filter section and choose the projects from the Customer drop-down.
  5. Hit Run report.

For Project Profitability report for all projects, you can follow these steps:

 

  1. On the left panel, click Projects.
  2. Select a project and go to Projects Reports tab.
  3. Click the Project profitability link to open the report.
  4. Set the Report period and click the Customize button.
  5. Go to the Filter section and choose the projects from the Customer drop-down.
  6. Hit Run report.

Project Report

This is completely inadequate.  As a business which runs projects we need a Profit and Loss Report by Project which includes all projects, with columns for project name, income, expenses, profit and profit % at the very least.  We need to be able to compare project against project and know the profitability of each, plus overall totals.  Being able to export this list to excel would also be essential.

The reason I went with QB was for the project functionality but not being able to report on it is utterly useless and I should not have to purchase yet another third party app to run a simple report.

Thanks for chiming in on this thread. I appreciate you coming here with your concern about the project report

 

First off, I'll definitely take your suggestion of a Profit and Loss report by project to our Product Developers so they can consider this in the future. They take the time to review every request and tries to add them into the next available update. 

 

Secondly, you can run Profit and Loss reports for individual projects and export them into Excel. Moreover, you can run a combined Profit and Loss report for all your projects by customizing it. Here's how: 

 

  1. Click Customize
  2. Press the Filter drop-down. 
  3. Select all the projects under the Customer filter. 

 

 

All of you projects will be listed in the drop-down, so you can choose each one and then have a Profit and Loss for all projects. 

 

These details should get you squared away. If you have any other questions or concerns, feel free to ask. Have a wonderful day!

Hi, its been over a year now that the above comment was made and Quickbooks Online still does not have the feature of exporting the profit for all projects or any decent reporting that deals with all projects? When will this be looked at?

 

What also frustrates me it the fact that the projects screen shows a profit margin which is the gross profit. What is much more relevant is the nett margin. Please make it an option that the user can choose what margin they want to see. The gross margin is completely irrelevant to me but might be useful for some other users.

 

Also the "income" and "cost" bar does not work correctly. The "cost" bar only shows cost of sales and not expenses. In order to see the real picture the cost should include expenses. Again a bit of customization in setting around this should be really simple to include. Please move it up the priority list on your side.

 

As a side note, Do you have a priority list of what your developers is working on. I think it would be a good idea to share that and maybe let users vote on the priority of development. You might be busy with some features that helps a few users while the majority of users is frustrated with other issues.

About product features and suggestions, you can visit the QuickBooks Online Feature Requests website. From there, you can recently updated ideas and feedback forums.

 

On the other hand, QuickBooks provides three specific reports associated with your projects. For now, the system focuses more on the Project profitability, Time cost by employee or vendor, and Unbilled time and expenses

 

About the cost bar, if you’re using the Payroll Expenses method for job costing, timesheets won’t increase your costs in the Overview column until you run payroll.

Project Report

on the main projects screen that shows the current P&L of all jobs is there a way to change the current date?  I'd like to see what the P&L for all of our jobs were as of our year end which was May 31st, 2021.  Thanks.

Let me help you look at all the jobs registered on May 31, 2021. This way, you can review the data transparently. 

 

I just want to make sure we're on the same page. Are you referring to the Report period in the Profit and Loss report? If that's what you're talking about, yes, you can filter it into Custom. Then pick May 31, 2021, in the calendar icon. When finished, you'll see all the transactions you entered on the date indicated. See the sample screenshot below for your reference.

The information I need is individual project cost/revenue as of a certain date, that is not today.

I appreciate you coming back to us and giving us more information about what you need. Allow me to add insights about the Projects' screen.

 

If you mean to change the date range of the Projects' screen same as the screen in your screenshot, 

 

To get the Profit and Loss details for a project, you can use the Report feature shared by one of my colleagues above, MichelleBh. There is no option to change the date from the Projects' screen. 

 

Also, you can submit Feedback about adding this feature. This way, our Developer team can look into it if they can add this in QuickBooks Online.

 

Here's how:

 

  1. Go to the Gear icon and choose Feedback under profile.
  2. It will open a window where you can enter your product suggestions.
  3. From there, input how you want the program to work.
  4. Click Next to submit it.

 

Then, you can check our feedback page. From there, you can check for related requests and add a vote to add the feature.

What would be very useful is a project report with each project as a line item and showing three columns for each like this

                                         Income           Gross Profit          Net Earnings

Project 1: Pete's Pool        2000                    50                           10

Project 2: Devans' Door       100                    10                             5

Project 3: Rayn's Railing    5000                   200                           50

 

All this information is in the system, a summary view like this would be very helpful. The only way I can get this information now is by running the Project Profitability Report for each individual project and type the numbers in an excel sheet. If there is a way to do this already, please let me know how.
