How can I view W-2's, and do I need to approve them before they're mailed?

You can view your employee's W-2 forms in QuickBooks Online like so:

 

Viewing a Payroll Tax Form

  1. From QuickBooks Online, navigate to the Taxes tab and the Payroll Tax section.
  2. Select Annual Forms. Click W-2 Copies B, C & 2.
  3. Click View to open a print-friendly version of the form. Click the Printer icon and follow your browser's on-screen prompts if you'd like to print your own copies.

In regards to approving the forms, if you're using QuickBooks Online Enhanced Payroll, you'll need to initiate the filing yourself. Here's how:

 

E-file W-2 Forms to the SSA

  1. From QuickBooks Online, navigate to the Taxes tab and the Payroll Tax section.
  2. Select Annual Forms. Click W-2 Copies A & D.
  3. Follow the on-screen instructions to verify your tax information.
  4. Once finished, click Submit to authorize QBO to file the form for you.

Hello there, woodwindowswarehouse.

 

Some of our customers are reporting the same issue. They're unable to run/pull up any tax forms.

 

We'll have some troubleshooting steps for you to try so you can prepare your W-2 form. 

 

Open QuickBooks Online using an incognito window and pull up the W-2 form. If you're able to do so without any issues, go back to your main browser, then clear the cache. Too much cache can affect the browser's performance and behavior. Thus, required to clear them out. 

 

Furthermore, you can use a different browser to fix issues like this (Google Chrome, Internet Explorer, or Mozilla Firefox).

Iv cleared the cache iv tried 3 different web browsers and none of that works would there be anything else we could do?

If this did not resolve the issue with running up tax forms in QuickBooks Online (QBO), I suggest you get in touch with our QuickBooks Payroll Support Team. They have the necessary tools to conduct further investigation and to know why you're unable to view W2's in QBO.

I didn't see the option to select annual form after I click the payroll taxes

Thanks for joining this conversation. Allow me to hop in and ensure you can pull up your W-2 form in QuickBooks Online (QBO).

 

The steps shared by my colleagues above should help you pull up your W-2 form. To check if this is browser-related (cache and cookies) issue, let's sign in to your QBO using a private browser (incognito). There are times that the browser is already full of frequently accessed page resources causing this unusual response.

 

Here's how:

 

  • Press Ctrl Shift (Google Chrome).
  • Ctrl Shift (Firefox).
  • Control Option (Safari).

 

Once done, go back to the Payroll Tax section to double-check. If they're now showing, return to your default browser and perform a clear cache to refresh the system. However, if the issue persists, try using other supported browsers.
