When receiving a payment through quickbooks, how do I allow the customer to pay the service fees?

I know some ways on how you can charge your customer a service fee.

 

Create the fee as a service item in QuickBooks. This allows you to simply add a standard fee to invoices with a clear, thorough description.

 

 

If you haven't sent the invoice yet, follow these:

  1. Open the Sales menu and choose the Customers tab.
  2. Locate and open the customer's invoice.
  3. In the Product/Service dropdown, choose the fee item you created.
  4. In the Message on invoice section, enter a note about the fee. This is optional.
  5. Once done, hit Save and send or Save and close.

 

On the other hand, create a new invoice for the fee and send it to your customer. Here's how:

  1. Click + New.
  2. Choose Invoice.
  3. Fill out the invoice.
  4. In the Product/Service dropdown, choose the fee item you created.
  5. In the Message on invoice section, enter a note about the invoice the fee is related to. Also, enter the invoice number.
  6. Once done, hit Save and send or Save and close.

That doesn’t work since quickbooks payments doesn’t charge a fixed fee. It depends on how the customer pays as well.

For now, I'd still recommend following the recommendation shared by my colleague above. You'll have to create an item for the service fee and add it to the invoice.

If you are running a B2B company, you can use a 3rd party payment processor to let your clients pay the processing fee.

If I’m unsure of how much the fee is going to be how do I charge for it? If they pay with a card it’s more than if they do bank transfer.

It’s not very professional to invoice my customer for a fee after the fact. If your service would allow the fee to be paid be the customer instead of the merchant it would be much better. There is a fee of x for card and x for bank transfer. No one wants to pay a separate invoice for fees.

You can track the fees when depositing the payment. I'll guide you on how.

 

If you haven't yet, create an expense account to allocate your bank fees to.

  1. Sign in to your QuickBooks Online (QBO).
  2. Select Accounting in the left-hand menu, then Chart of Accounts.
  3. Click New on the right-hand side.
  4. Create an Expense account and name it Bank Fees.
  5. Hit Save.

 

Once done, you're now ready to add the fees to your deposit.

 

  1. Receive the payment to the undeposited funds.
  2. Record a deposit.
    1. Select the pending payment to be deposited.
    2. Go to the Add funds to this deposit section, then select the account created.
    3. Enter the fees in a negative amount.
    4. Save the transaction.

 

Alternatively, you can add the fees to your invoices. If you don't want to add the fees when sending the transaction to your customer, you can modify them after the process. In this case, you need to create a product/service for tracking purposes.

 

  1. Go to the Gear icon, then select Products and Services underneath the Lists column.
  2. Hit New on the right-hand side.
  3. Select Service.
  4. Name it Bank Fees.
  5. Under Income Account select the Expense Account you created for bank fees.
  6. Tap Save.

 

Once done, add the credit card or bank transfer fees to your transaction.

I think he may be missing but I’m trying to do here. When I send a Customer a money request through QuickBooks they make the payment and it deposits itself automatically into my QuickBooks cash account with a fee. I’m not depositing it anywhere I’m not talking about a transfer fee to my bank I’m talking about a fee for a credit card processing or electron a transfer from my customers Bank to my QuickBooks cash account.

As all available alternatives are already provided to my peers above regarding the recording of service charges, I recommend that you chat or call our Customer Care Team. They maybe have other ways to let you charge your customer a service fee within your QuickBooks Cash.

This doesn’t not help me as it doesn’t charge the customer I’m still paying for it. How can the customer be charged instead of me?

Allow me to assist you with your concern. 

 

I suggest you try to check your subscription in QuickBooks Online, this way, you will know whether you need to update the card on file, change your subscription, or view your billing history.

 

To view subscription information, follow the steps below:

  1. As a primary admin, log in to QuickBooks Online.
  2. Select Account and settings, then Settings.
  3. Select Billing & Subscription from the drop-down menu.
  4. Examine the details in each section.
  5. Go to Select View payment history from the QuickBooks Online tile.

Additionally, you can use your browser in processing your invoices. Please keep in mind QuickBooks app has a different interface from QuickBooks Online.
