Why is the invoice different on the app than the one I created on line?

I customized the footer in all our sales forms but the invoice on the app doesn't show it.  Invoices created on my phone don't look like the invoices I create online with my computer.  Does anyone have a solution for this.?  I'm supposed to be able to customize invoices on the app (iOS only) but Sales Forms isn't in the settings area like the instructions say it is.

Hi there, @Metalgod.

We want to ensure that you'll be able to personalize your invoice forms seamlessly. Let's run some troubleshooting steps to isolate this issue,

QuickBooks Online app and QuickBooks Online on a desktop are the same software with different benefits and works differently with some features.

As the Sales Forms feature from Settings isn't available on your end, we can try to resolve the issue by refreshing the app's data. Doing this can help fix various errors that may be occurring within the system that may cause the QuickBooks app to behave abnormally.

Here's what you need to do:

  1. Go to Settings, then tap General.
  2. Tap iPhone Storage, then tap the QuickBooks Online app.
  3. Tap Offload App.
  4. This will free up the storage without deleting your app's documents and data.

Once done, uninstall and reinstall the app so you can log in to QBO with a clean slate. If the issue persists, I'd recommend accessing your QBO through a web browser and customizing your invoices from there.

Moreover, you can read this guide for more details about helping you account for your customer's payments: Record an invoice payment.

If you have any further questions or concerns about invoices or other sales transactions, please know that you can always tag my name. I'm here to help you in any way I can.

Why is the invoice different on the app than the one I created on line?

I did everything you suggested to no avail.  I can use my browser to access them.  However, I have discovered my Bookkeeper's online access doesn't have the company invoice I created either. Can you elaborate on that?

I'm here to ensure you can allow your bookkeeper to access your invoices, Metalg.

In QuickBooks Online (QBO), we can add our accountants or bookkeepers to help with company operations. Also, there are different options for user roles and access permissions for these users. You may have assigned your bookkeeper's role in a way that limits them to access sales transactions. Let's review and edit their permission if necessary.

Here's how:

  1. Go to Settings, then select Manage users.
  2. Find the user you want to edit, then hit Edit in the Action column.

      • You can change the user role from the Roles dropdown menu.
      • You can't edit the Time tracking only roles. Instead, delete them, then add them again with the correct role.

  3. Choose the account management settings you want to manage.
  4. Click Save

For additional info, check out this guide: Add and manage users in QuickBooks Online

However, if your bookkeeper has access and still experiences the same issue, I recommend performing some troubleshooting steps on your bookkeeper's end. Doing so allows to refresh the data in the device since there might be possible delays.

  • Android - Press the menu at the top right and choose Settings. Then, hit Refresh Data and choose Yes.
  • iOS - Select the menu at the top right, then choose Help & Feedback. Then, click Refresh Data and Refresh.

Moreover, I've included these articles to help you with your customer remittances in QBO:

You can comment on this post if you have more questions about managing your bookkeeper's roles in QBO. Take care always!

I'm struggling with the same issue. Are there no other suggestions? You ever figure this one out Metalgod?

I tried the proposed solution by Carneil, but it was unsuccessful for me too. My invoice forms in the app do not match the custom forms I created on the desktop. Very frustrating as I use my phone for 90% of my QBO activity - the entire reason I went with Quickbooks Online instead of the desktop app.

Why is the invoice different on the app than the one I created on line?

Hello there, Rocco.

Let me share additional insights about the issue with matching the customized invoice forms to the QuickBooks Online (QBO) mobile app.

I understand the convenience of utilizing the customized forms for your mobile app. However, the option to sync the custom form styles created from the web to the QBO mobile app is unavailable since the mobile app version has its default template.

As a workaround, you can utilize your browser to show up the invoice forms you've customized.

Additionally, you can send feedback to our Product Development Team so they can review it and might consider implementing it in the future.

For Android devices:

  1. Choose the Menu button.
  2. Tap the Gear icon.
  3. Click on the vertical ellipsis in the upper-right corner.
  4. Pick Feedback
  5. Type in your feedback and product suggestions.
  6. Hit Send Feedback.

For iOS devices:

  1. Go to the Menu icon, then select Help & Feedback.
  2. Choose App Feedback.
  3. Type in your feedback and product suggestions.

Once done, you'll want to visit our Feedback forum website to track the status.

I'm leaving these articles for future reference in managing invoice payments and other features available in the QBO app:

Don't hesitate to tap the Reply button if you have clarification or additional information about managing invoices and other sales transactions when using the QBO app.

At least this seemed honest. I just got off an over 30 minute phone call with QuickBooks support, and the very sweet lady. I spoke to on the phone was embarrassed to tell me that she spoke to a superior who told me not to use the app because it’s unreliable. What the heck type of answer is that? Why are you charging us so much money for an inferior product and you have no desire to help us. Up until a week ago, the invoice template I was using on the app matched my default template online. Not sure what happened last week, but basically it seems like , your IT team is awful. As a former helpdesk manager for Disney, Sloan, Kettering, and Pfizer, your support is completely nonexistent. I guess because you’re such a big monopoly people are hesitant to switch to another platform. Not us! We are not just taking the zero Support For an inferior product. At this point anything would be better.

I am experiencing the same issue. I use the app for all my invoices and I notice that they started to look different and not laid out right. So frustrated!
