Mailing 1096s for multiple EINs

I have 2 separate EINs that I will be creating 1099-MISC and 1099-NECs for.  My question is, can I mail all the 1096 and Copy A's in the same envelope?

Hi there, @LusterSalon.

 

You will need to submit a separate 1096 for every type of information return you prepared, even if you prepared only one of each kind.

 

An example is if you prepared and submitted seven 1099-MISC forms and one 1099-R form (for retirement payments), you must submit a 1096 form summarizing the 1099-MISC forms and another 1096 form summarizing the 1099-R form, along with all Copy A's of the respective return.

Thank you for your response!  I'm sorry, I should have been more clear in my original post.  I have printed the 1096s correctly for each EIN.  My question is, Can I mail all these forms together?  I have 1099-Misc and 1099-NEC for one EIN and 1099-Misc and 1099-NEC for a second EIN.  Can I mail all these together or, do the forms for each EIN need to go in a separate envelope or do each type or 1099 for each EIN need to go in their own envelope?

You'll need to mail them separately, LusterSalon.

 

This is to avoid issues with the IRS. Also, you'll need to group the forms by form number and transmit each group with a separate Form 1096.

In addition, you'll want to e-file these forms instead. Intuit will send these forms to the IRS on your behalf. You can check the detailed steps through this article: Create and file 1099s with QuickBooks Desktop (Step 6).

Hi there, @dbrock. Allow me to clear things out for you.

 

When submitting 1096s forms, you'll need to mail it on a separate envelope on each EIN. Thus, you can't send 1096s for multiple EINs together on one envelope. This is to prevent some issues with the IRS in the future.

Yes, you can mail them in one envelope. You'll only need to separate them if you're sending multiple EINs.

For several years I've mailed two or three forms 1096 to the IRS with no problems. In one envelope I include a 1096 along with all the 1099-NECs for Company A, a second 1096 along with the 1099-INTs for Company A, and a third 1096 along with all the 1099-NECs for Company B. IRS regs are very specific that (1) only one EIN can be included with one form 1096, and (2) only one form, e.g. 1099-MISC can be included on one form 1096. This is why one company is submitting two forms 1096--one to include all the 1099-NECs then another to include the 1099-INTs. My cover letter includes this:

  1. Fourteen (14) forms 1099-NEC from the business COMPANY A,
  2. One (1) forms 1099-INT from the business COMPANY A,
  3.  Three (3) forms 1099-NEC from the business COMPANY B, and
  4.  One form 1096 for each of the three above.

Works like a charm every year. And don't forget this year's delay for the 1099-MISC.

Thanks Ekrukttam, I am going to try this this year, I am tired of using up all my stamps for these large envelopes when I have 4-5 companies to send out with 1 to 4 1099's each.  If something bad happens I will come back here and let ya'all know.  :-)

I believe that’s 1096 and my colleague above has a typographical error. I'll let her know about that typo error so she can update it. 

 

The 1096 form summarizes the information from the 1099 forms you are submitting for the tax year. To give you complete details about this form, please see this link: Learn how to print 1099-NEC or 1099-MISC forms.

 

To print your 1096 form, make sure to download the latest QuickBooks Desktop release and payroll tax table release to have the recent features and patches.

In my experience you can include more than one in the same envelope.  I just separate with paperclips and never had an issue in 20 years.  However, the technical recommendation from the IRS is to put them each in individual envelopes then put all those in a larger one for cheaper postage. 

 

And you were totally clear with your question. It's just the idiot bots did not know how to answer

You have two option on how you can transmit the Forms 1096.

 

You can either mail the said forms or you can electronically file them.

 

if you opt out to mail them, you can order an official IRS information and they will mail you the forms. If you want to electronically filed the forms and let us send them to the IRS, you can check this link for more information:  Create and file 1099s with QuickBooks Desktop (Step 6).

Not sure why Intuit reps fail to answer the question being asked, but in your case, I always mail certified with return receipt. I has come in handy more than once to prove timely filings. I recommend it.
