what is the fastest way to correct an employee's W2?

I have two employees that had health insurance premiums deducted post tax rather than pre tax. What is the quickest way to correct and issue a corrected W2? The W2s were already filed so will have to file an amendment, correct?

Yes, you're correct, @a_sullivan. You’ll want to process an amendment to correct the error.

Since your employees' health insurance premiums were deducted post-tax instead of pre-tax, you’ll want to generate updated W-2 forms. This will require filing W-2c forms (Corrected Wage and Tax Statement) and W-3 forms (Transmittal of Wage and Tax Statements) with the Social Security Administration (SSA) manually to correct the previous ones.

You can use the payroll reports in QuickBooks to fill out the W-2c form. Furthermore, you can access this PDF guide for more comprehensive instructions.

If you need assistance, it's best to consult with a tax professional or accountant to ensure the process is completed accurately and in compliance with IRS regulations.

On the other hand, if we file your W-2s for you, you’ll want to contact our payroll support team to request a correction. Check out the following steps below to connect with us:

  1. Sign in to your QuickBooks Online account
  2. Go to the Help (?) menu.
  3. Click Contact Us.
  4. You can enter "Correct an employee's W2" and click Continue.
  5. Choose a way to connect with us:

    • Get a callback from the next available expert

You can read this article to learn how to efficiently handle inaccurate W-2 and W-3 in QuickBooks Online Payroll: Fix an incorrect W-2 and W-3.

Once everything is good, you can start printing your forms. If you invite your employees to use QuickBooks Workforce, they can view and publish their own copies for the current year and the previous two years.

I’m just a click away if you have other payroll concerns or specific tasks that need assistance. Just let me know, and I’ll get back to you as soon as I can. Take care always, @a_sullivan.
