Required Online Log in for Quickbooks desktop

Intuit requiring to log in to an online account to access Quickbooks desktop Pro 2018 is forcing users to spend way too much time logging in each day.
Logging in each time interferes with my daily flow of activity. It is bothersome, annoying, intrusive, overbearing and any good will Intuit had with customers just disappeared.
My day is busy and intuit you are not securing our account you are interfering with my access each day. Not a good service. We paid for a database that is on our computer not on the cloud  not on the internet. We should only be required to log into our own database.
Why exactly does Intuit need an online account, my company does not use any online services with Intuit.

There is no need for us to have to log in each time just to access a desktop database .

Intuit, please  change your requirement as soon as possible. We are now looking at other accounting databases.

In addition, what reassurances do i have that my companies database is more secure with having an online account than without?  What assurances does Intuit have  to give their customers that their IT is secure from hackers?

Good Morning, @user10

I can provide some information about the additional log in you're having to do in your QuickBooks Desktop (QBDT) account. CAMPS (Customer Account Management Portal) is what QuickBooks is requiring you to sign in to. However, it should not require you to log in each time, but you can do the following steps below to help resolve the problem.

  1. Go to the Company menu.
  2. Pick My Company
  3. In the top right-hand corner, press Sign in.

This should do the trick! If it doesn't, please provide me with some more information or screenshots on this matter. This will help me determine the best solution for your business.

Here's a link that can give some insight into managing your QuickBooks Desktop account in once place with CAMPS

I want to make sure you get back to running your business as soon as possible. Let me know if this helps. Bye for now!

What is the purpose? I have used QB Desktop for years, never had to do this before?

Hello there, @mbesso.

The QuickBooks Desktop (QBDT) program is making sure your account and company files are protected at all times. That's why it lets you log into it for additional security protocol. You can learn more about this by checking out this article: Password security for QuickBooks Desktop. It also includes answers to the most frequently asked questions about the topic.

Additionally, you're able to switch your company files without having to re-enter your login credentials every time. To learn more about this, I'd recommend pulling up this article: Stay logged in to QuickBooks company file (sign in without entering your password). It contains details about things to consider, login settings, and notes for each user to name a few.

Please know that you're always welcome to comment below if you have other concerns or follow-up inquiries about managing the growth of your business and security protocols in QBDT. I'm just around to help. Take care.

My problem is this - I have three employees and every time we login, not only do we have to sign-in, but if one of my employees normally does the payroll for example and they are "signed in" before me, when I login, it tells me I don't have "Admin permissions" and I should contact the admin to give me permission to do things in the file.  I am the OWNER, so you can imagine it doesn't make me happy when Intuit then sends an email to one of my employees asking them to give me permission to work in the file!!!

How can I fix this?  It is driving me CRAZY!!!!

Hi there, @Denisearra.

Thank you for sharing the details of your concern. I'm here to help you figure out the possible reasons for this error.

Usually, an error happens, or you won't be able to access payroll if the login credentials you've used is restricted for managing payroll in QuickBooks Desktop. That said, I recommend opening QuickBooks as an admin/with permission for payroll.

If that doesn't make any difference, I suggest reaching out to our Support Team. This way, a representative can review your account securely and check out the possible reasons for the issue.

To contact support:

  1. Go to the Help menu and select QuickBooks Desktop Help.
  2. At the bottom, click Contact us.
  3. Click the Search for Something else button, and then enter your concern in the Ask us anything box.
  4. Select Search, and then scroll down to get your contact options.

For additional tips about running and processing payroll in QuickBooks Desktop, you can open this link.

Please let me know how this works out on your end. I'm determined to get this resolved for you. Keep safe!

I agree with original poster.  This has no benefit, only downsides.  To make it worse, we now cannot update QuickBooks from QuickBooks Point of Sale, because users of QBPOS that normally trigger an update at end of day do not and should not have access to QB or Intuit login.  So the software hangs and requires IT resources to "kill" hung QB and QBPOS programs.  SO, I ether DECREASE security by giving more access to additional employees (who otherwise have no need to access QB or Intuit), or your are forcing owner/manager to do what was a simple shared task by other personnel previously.

And what about PCI compliance?  For merchant processing, my computer should not be "open" to outside, Intuit or otherwise.

Completely non-customer focused.  Intuit should be embarrassed.

I tried going to My Company to "sign in" like you suggested.  But it says I'm already signed in.  For some reason I can't paste a screenshot, so I'm attaching it. Any other ideas how to stop having to sign in every day?

Thank you!

Let me help you, Bgain. I'll share a few reasons why you're required to sign in.

Once a user is logged in with a Windows user account, they will be required to enter a username and password to log in. Also, if a user has saved credentials for a company file user in QuickBooks File Manager, opening the file from QFM will delete credentials from the Windows vault. You'll be required again to enter a username and password.

We're unable to stop this. However, you can stay logged in to your company file without entering your credentials every time. For more information, you can check this article: Stay logged in to QuickBooks company file (sign in without entering your password).

Feel free to visit us if you have other concerns. We'll be around to help you. Keep safe!

I bought, and I own, QB Desktop Pro 2019.  I want these set up an Intuit Account notices to stop.  QB does not own my desktop and does not have the right to require me to link my QB Desktop Pro to an Intuit Account or any other account.  Intuit will not let me access my desktop QB unless I sign up for the Intuit account or I send a "request" to an administrator( which is me) to set one up.  Tired of sending these emails to myself.   Please tell me how to stop these notices.

We let our users link to an Intuit account when creating and opening a company file, Donbrisson. Let me share the reason why we added the feature.

The purpose behind it is to strengthen the security and license processes. It also gives the primary contact more control over user access.

That being said, we're unable to stop the feature.

I'll add this blog for more information: Intuit account – Why now for QuickBooks Desktop?.

If you have additional questions, feel free to comment below. We'll reply as soon as we can. Keep safe!

Agree here. Intuit has no business requiring access to my data in the name of "security". This smells fishy. My security is my own responsibility. Returning the software back to a state where the licensee has the option to disallow internet access to the computer it is installed on and still have it function needs to be considered.

QB is requiring me to log in in order to maintain my account and to send invoices, etc. via email, and yet it is not allowing me to do so.  I get the message that I will need to update my software to access my account.  I am in process of looking at the online version, and will probably convert at the beginning of my next fiscal year (July 2023), but I cannot do so right now.  How do I get logged in?

Which QBD year version do you run? An outdated one? i.e 2019 or older.

Afaik, the feature is disabled when the QBD version is outdated. You can purchase the one time license for QBD 2021 to upgrade your version or convert your data to QBO earlier than expected.

It's nice to see you here in the thread, @DebbieA. I'll share some details about your concern so you can get through and access your files in your QuickBooks Desktop (QBDT) account.

Since you don't want to upgrade your QBDT application to the latest version, you can consider using the QuickBooks Desktop 2021 free trial version. This way, you can access your files and convert them.

You can visit this page to download a 30-day trial of QBDT: Download a trial of QuickBooks Desktop.

Also, you'll want to make sure you have a backup copy of your company files before you decide to upgrade. Once your file is upgraded to a higher version, you won't be able to restore it in the lower versions of QuickBooks Desktop.

Feel free to refer to this article for more information about creating back up files in QBDT: Back up your QuickBooks Desktop company file.

Additionally, I've got you this article in case you want to migrate your QBDT files to QuickBooks Online: Move your QuickBooks Desktop file to QuickBooks Online.

You can also visit this page to learn more about the limitations when you convert your Desktop files to QBO: Learn how features and data move from QuickBooks Desktop to QuickBooks Online.

Should you need further assistance managing your files in QuickBooks? Or do you have any additional QuickBooks-related concerns? Feel free to get back to me anytime. I'll be happy to help you out once again. Take care, and have a good one!

I am angry with QB for forcing me to upgrade in order to use the software I paid for.   A 30 day trial isn't adequate because I need to use the software for another 10 months before upgrading.

Any suggestions for a workaround on this log in issue?

You can take advantage of all available trial versions to gradually upgrade your files from QBD 2019 to QBD 2023. Afaik, certain trial versions offer more than 60 days to use.

I have Quickbooks Desktop Pro 2020.  Recently, I'm required to login to my Intuit account every time I open Quickbooks.  I use no online services except for regular updates.  How can I bypass this required login?  It's becoming very frustrating. In the beginning I was able to bypass this step, but not any longer.  I agree with user 10, this is becoming very annoying.

I know how difficult this has been, @LDB4. Thanks for sharing details of your Intuit log-in concern. I'm here to provide additional information about this.

To start, let me share the following scenarios where an Intuit account is mandated when logging in to QuickBooks Desktop (QBDT):

  • When the user created a new company file.
  • For those users with the following connected services: Payments, Payroll direct deposit, TSheets time tracking, Payroll Workforce, Receipt Management (new for QuickBooks 2021), and more to come.
  • When an existing company file is opened using the Admin credentials, and no Intuit account is associated with the file, the QuickBooks user will be prompted to log in or create an Intuit account. Pro and Premier users may choose to delay this action for up to 28 days and QuickBooks Enterprise users for up to 42.

For reference, feel free to check this article: Intuit account – Why now for QuickBooks Desktop?.

To temporarily stop the login prompt, just select the Remind option if you don't want to log in to your account. However, you'll still be asked to again after 7 days.

Additionally, if your RealmID (company identifier) is not saved in your company file, the program will require an Intuit login every time you attempt to open it. To prevent this, please head to Intuit login is required every time the company file is opened at this link for the detailed instructions.

On the other hand, you might want to change the login setting to can stay logged in to your QBDT file without having to enter a username and password. For the detailed steps, check out this link: Stay logged in to the QuickBooks company file.

I've also attached this helpful resource for guidance in managing your data safely and easily: Access and manage your data from the One Intuit Account Manager.

Please let me know if you have any other follow up questions about this. I'm always here in the Community to help. Have a great day ahead.
