You can still purchase the one time license for QB Desktop 2021 or you can wait until they release QB Desktop 2023 on September 20. Otherwise, you should consider to purchase a 3rd party service to convert data from QB Desktop to QB Online and you can ask to convert non-transaction data as well (e.g  purchase orders, estimates, jobs, attachments).

Can this be done for QBO Payroll?  Can a QBO Payroll file be exported to be used with QuickBooks desktop?

Yes, QBO payroll file can be exported and use with QuickBooks Desktop. We just need to make sure that the file type if in IIF format.

 

Here's how to set your payroll preferences:

 

  1. Click the Gear icon ​​⚙ then select Payroll Settings.
  2. Next to Export select Edit ✎.
  3. Choose where you want to export your payroll transactions. You can choose QuickBooks Desktop for Windows or Mac using a downloadable IIF (Intuit Interchange Format) file or QuickBooks Online which sends data directly to your QuickBooks account. Select Continue.
    • If you choose to export to QuickBooks Online. You may be prompted to sign in and select the company you want to export to.
  4. Complete the fields by adding the name of each account you are exporting your liabilities and expenses to. We recommend that you have a copy of your QuickBooks Chart of Accounts handy.
  5. When complete, select Done twice.

 

After that, we can proceed with exporting the payroll data. We can refer to this article for the detailed steps (proceed to Step 2): Export your payroll data into QuickBooks.

I was able to transfer data from quickbooks online to desktop but when I went to enable the link for customers to pay invoices online I got an error message that said Intuit account not associated with this file. 

 

Please help!

To resolve this, you'll want to contact our QB Desktop Support. This way, they can get your account information in a more secure environment and check why the system is not recognizing it to be associated with your company file.

 

  1. Open QuickBooks.
  2. Go to Help, then select QuickBooks Desktop Help/Contact Us.
  3. Select Contact Us.
  4. Give a brief description of your issue, then select Continue.
  5. Sign in to your Intuit account and select Continue and then Continue with my account.
  6. We'll email you a single use code. Enter your code and select Continue.
    • If you have more than one account, select the account you want to use and then Continue.
  7. Select to chat with us or Have us call you.

 

On the other hand, if you need references for QB Desktop, you can visit the main support page, scroll down a bit, and click More Topics.

No, unless you purchase a 3rd party conversion service.  You can run the Condense Data utility in QB Desktop as a workaround.

I found an article about using the Condense Data Utility. Is it possible to do that with a test file so we don't lose data completely? Maybe transfer the data to a trial version first?

I'll share some ideas about using the migration tool when converting your company files, @jennyndb.

 

Yes. You can use a trial version and transfer the file so the data will not lose completely in case you need to make some changes in QuickBooks since almost the entire company file will be converted when using the migration tool. From there, you can manage the transactions entered into your account, and the free trial will last 30 days of subscription from the starting date of enrollment.

 

Here's how:

 

  1. Go to the https://quickbooks.intuit.com/pricing/ page.
  2. Uncheck the button for trial and choose the accounts you want to subscribe to.
  3. Select Create an account.
  4. Enter your email address and phone number. Note: If you see a "This user ID is already taken" message, you may already have an account. Select Sign in or Recover your account.
  5. Create a password.
  6. When you're ready, select Create Account.

It is, but now I am having the issue of getting things balanced and reconciled.  You will need to enter your payroll data in the payroll setup, along with any payments that have been made through the year or you can screw up the payables and the check register all in one stroke of the keyboard.

Need help.  Followed all steps with Support and data either failed to move or it 's locked up in the system.  Can not move the date to Desk Top with Support assistance.  I did get a Certificate of Completion, but can load to desktop.

Will ALL the data and history in QB Online transfer to QB Desktop from QB Online?  If not, how can we still access the history from our use of QB Online.  We are finding that there are several features of QB Desktop that are not available in QB Online.  For example, we want the General Ledger account numbers or names to print on the voucher stub that we keep.

I wanted to share some important information with you about transferring your data from QuickBooks Online (QBO) to QuickBooks Desktop (QBDT).

 

When switching from QBO to QBDT, not all data and history will transfer seamlessly. While most of the financial data, such as transactions, accounts, and balances, can be transferred, there are certain limitations to keep in mind. To better understand how your books will be moved, I recommend checking out this article: Learn how features and data move from QuickBooks Online to QuickBooks Desktop.

 

To ensure that you can still access your data from your QBO account, I recommend downloading your data before migrating to QBDT. This will allow you to retain the data for reference purposes.

 

As for the features and functionality, QBDT and QBO have some differences. Some features available in QBDT may not be available in QBO, and vice versa. It's important to review the feature set of both versions to ensure that the necessary features are available in QBDT before making the transfer. I've already canceled my qbs on line 9/12/ 23 because everything was there on desktop then it just disappeared

I need someone on the phone one on one helping me with this problem. I no longer have qbs online they canceled it out on me it's been almost 3 months I made 5 or 6 phone calls back in August and Sept. no one could find my missing files doesn't anyone understand

Because QuickBooks Online is not a good program. QuickBooks desktop is far better and it always has ben. I tell people if they have a grown up business they need to be on QuickBooks desktop.

The issue I've found w/migrating in either direction, is the QB support people are not cross trained.  If you are going from QBD to QBO, the online department have no clue what you will loose in the process. I'm sure it is the same in the other direction too. 

Since I've done this, I know what I loose.  None of my products, clients and vendors were categorized correctly, I have to correct them as I go.  I've been in business for 29 years, that is a lot of correction. 

QBO also screwed my checking accounts, it doubled entries and took away my ability to un-reconcile accounts. I had to create an accountant file to do it. I've had it for about 3 years and have spent more time fixing the errors than entering in new information. I stay so far behind because I'm correcting everything. 

I've used QBD from 1995 - 2020, if I go back will it be a comedy of errors too?

You can try to convert your data from QBO and use the trial version of QB Desktop to evaluate the result.
