using accountant copy as back up file

My computer crashed and my recent back ups are also corrupted. The only good recent back up is the accountants copy. She hasn't made any changes to the company files. Could she send it back to me as a regular file and then i could import it?

I don't think i could import it as accountant changes since the new installation of quickbooks on the new computer doesn't have any memory of an accountants copy being made. I've tried to click on import the accountant changes and it's greyed out

If she could send it back to me as a regular file couldn't i import it

Hi there, @Mary152. I'll help you convert an accountant's copy to a regular company file.

 

QuickBooks Desktop Premier Accountant and Enterprise Accountant has the feature to convert an accountant’s copy to a regular one. 

 

Here's how:

  1. Open QuickBooks.
  2. In the No Company Open window, click Open or restore an existing company.
  3. Select Convert an Accountant's Copy Transfer File and click Next.
  4. Follow the onscreen instruction to open your accountant’s copy (QBX or .QBA).
  5. Create a backup of the file to prevent permanent data loss. 
  6. Next, from within the File menu, select Send Company File, and then further select Accountant’s Copy.
  7. After that, you need to select Convert Accountant’s Copy to Company File/QBW.
  8. Select OK to confirm that you want to convert an accountant’s copy to a regular company file.
  9. Open the folder location where you want to save the .QBW file and then rename the file. Select Save to proceed further.
  10. Click OK when you are done.

Thank you! Im not sure how i get her accountant file back into my quickbooks desktop. I have a copy of the accountant file in my drive. My last good backup was from Oct 2021. Her accountant file was made Jan 4 with a cutoff date of Dec. 31, 2021. If she sends her copy back to me as an accountant copy, would i be able to import it? if she uses her software to make her copy a regular file and then makes a back up, could she send me the back up and then i could import it to my quickbooks?

It is quite possible that your accountant is using QB Desktop 2021 Accountant edition. She should be able to convert the accountant file format to QBW and send the backup file (QBB) back to you. If she don't know what to do, contact us in private for assistance.

I have 2 more questions.

1. can i change the file extension myself on the copy i have saved in My Drive to make the accountant copy ( .QBX ) into a backup? ( QBB)

2. How would i contact you privately if she needs help to do what you have recommended.

Hi there, and thank you for getting back to us, Mary.

 

Changing the file extension isn't recommended as it might damage your company file.

 

You need a QuickBooks Desktop for Accountant version to change the .QBX file to .QBB. And, it should be done by accountants or persons who handle the financial information of their clients.

 

If you know someone who is using these versions above, you can ask them to convert the file. I'm also adding these links for an additional guide.

Thanks!. I expected it wasn't something i should just go do willy nilly. I'll ask her to do it and send it back to me as a back up and then all will be well. I don't have much entered since i sent her the files so i'll be happy.

Update as of Monday 2/7/22.

I have a tech who says they can get to the files on the old hard drive and is transferring them to the new laptop. Crossing my fingers and praying. My accountant is ready to help with changing the files I sent her to backups and sending them to me if the transfer from old hard drive to new computer doesn't work.

today's update....and new question

The new laptop and old hard drive at with the tech company (g. squad). Before i gave them the new computer and old hard drive i was told by 2 tech companies that there was no way to access the old hard drive and get access to the files. So I loaded quickbooks onto the new computer and loaded my last good backup. I figured i would have to re enter all my work since that back up and wanted to get started.

When i took the new computer and old hard drive  to the "squad" they said they could see and access the files on the old hard drive and could transfer them to the new computer. I left feeling pretty lucky and happy.

Now i wonder if having quickbooks already installed on the new computer with an old company file  will cause problems with them reinstalling the QB files I really want from the old hard drive???

I mentioned this to them when i talked to them but they said it wouldn't be a problem.

They texted me last night and said that the computer transfer was finished and i can pick it up at 4pm today. They will go through everything on the computer with me when i get there.

I'm hoping and praying that they are correct when they say that everything transferred correctly.

Thanks for getting back to us and sharing updates about your concern. Allow me to chime in and share information about restoring QuickBooks Desktop (QBDT) files to your new computer.

 

If your backup company file is on an external device like a USB or a hosting service like Box, you'll need to move it to your local hard drive first.

 

Once done, please refer to these steps to restore the file:

 

  1. In QBDT, go to the File menu and select Open or Restore Company.
  2. Select Restore a backup copy and then Next.
  3. Select Local Backup and then Next.
  4. Browse your computer for your backup company file. It should look like this: [Your company name].qbb.
  5. Select a folder to decide where to save your restored company file. Then select Open.
  6. When you're ready, select Save. If you see any messages about possibly overwriting your data, select the option that best fits your needs. Don't overwrite anything unless you know you want to.

all is back to normal...or as close as i get.

G Squad recovered the hard drive. There's a lot of quick books company files floating around on the new computer but ive got the correct ones opening in the program. (whew)

I'm sending your instructions on how to convert to a regular company file so she has them in case someone else needs that help.

She thought that even though she converted the file to a working file that it was still an accountant copy and i wouldn't be able to us it. She said if i sent her the instructions she would try. She's up on all things accounting but not all things QB.
