Export Quickbooks Online to Desktop

I just did the process and I saw the balances are off as I am trying to convert QBO to QB Desktop..

How will I fix the QuickBooks Online invoice with payments that are not exported to Desktop? I don't know why these invoices and payments and linked deposits were not exported.

Can you help me to fix it?

wHAT SHOULD BE THE ISSUES WHY INVOICES AND DEPOSITS WERE NOT IMPORTEDD

Export Quickbooks Online to Desktop

Let me answer your imported concern directly to guide you accordingly, @RodenA

Invoices and deposits should import into your QuickBooks Desktop (QBDT) transparently. I'll share a few reasons why some transactions are not been imported to QBDT). So it will be correct at the earliest opportunity.

Here are the possible reasons why your transaction won't convert in QBDT:

  1. The rounding differences in the two versions can cause failed export of payments to specific invoices. If this is the case, correct the amount of the invoice and request payment.
  2. Ensure that you didn't use multicurrency to keep your data exported correctly.
  3. QBDT should be in the latest release to avoid any issues.

Also, to know how the transactions converted to QBDT, see the following details below:

  • Invoices that contain charges, credits, billable expenses, or time associated with sub-customers will separate into one invoice per customer.
  • If a refund is from a bank, refund receipts convert to Credit memos and checks.
  • If the refund is from a different account, it will convert to a general journal entry.
  • Bills, checks, credit card charges, credit card credits, vendor credits, journal entries, and deposits
  • Transactions with numerous Accounts Receivable or Accounts Payable line converts to multiple journal entries.

For more details, see this link: Limitations when you convert from QuickBooks Online to QuickBooks Desktop. Directly go to the Transactions section.

To ensure that your books match and that the information is imported correctly, I suggest running Profit and Loss on QuickBooks Online. Then, compare it to the same report in QBDT on an accrual basis. For more information, see Step 5 in this article: Export and convert your QuickBooks Online data to QuickBooks Desktop.

If the issue continues, I'd recommend contacting our Customer Care Team. They may investigate your account to know why invoices and deposits are not imported into your account. Follow the steps outlined by Candice in this thread. Make sure to reach them within business hours to ensure a swift response.

In addition, see this article on how to import lists in QBDT: Move lists and balances from QuickBooks Online to QBDT

If you still have questions in mind, please let me know by leaving a comment below. I'm always here to help you again. Keep safe, RodenA.

Export Quickbooks Online to Desktop

If it is so simple not sure why I have been working on this for 2 hours.   When I type in the export URL that is stated in the instructions I don't get the same thing appearing as what the help article shows.  I get no option to download a migration tool as I'm trying to move the online QuickBooks to the desktop which is another issue on its own. There should be something to advise customer about this as I would have rather used the desktop version instead of online if I needed to migrate data.

Once I type in the export address as indicated the only thing that comes up is the following "You can also export to excel to get the data .   This is extremely frustrating that I'm following exactly what is stating to do and I'm getting something completely different, I can't find anything at all in the instructions to export if this appears do this.

Hello crowefitness!

I understand that you need to convert your QuickBooks Online data to QuickBooks Desktop. We want the process to be as seamless as possible. Allow me to assist you with it.

First, I'd like to share this screenshot. This is how the button looks like to download the migration tool.Capture.PNG

The most possible reason why it doesn't show this button on your end is because of a browser issue. You'll want to use an incognito window and migrate the data from there. Incognito won't save your browsing history which can result in an error. These are some of the shortcut keys:

  • Google Chrome: Ctrl Shift + N
  • Safari 11 or newer: ⌘ Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Microsoft Edge: Ctrl Shift P

Also, you'll want to clear the cache and make sure you're using a supported and up-to-date browser cause it can fix any browser-related issues.

If the same thing happens, please reach out to our Support Team so they can investigate it:

  1. Click the (?) Help icon and enter Talk to a human (then type it again when prompted).
  2. When asked by the bot, enter "Migrate Data".
  3. Select I still need a human, then proceed with Contact us or Get help from a human.
  4. Choose either Chat or Callback.

Also, I added this link if you need to help in running reports in QuickBooks Desktop: Understand reports.

I'll be here if you need more assistance with this. Take care!

This question on converting online to desktop was posted almost a year ago. We have the 2022 version of QB Pro. I have a QB online company that needs to be transferred to me. Is this possible with QB 2022?  Thank you.

Hello there, @Smccall22.

I hear your sentiments. Let me make it up to you by sharing a couple of details regarding pulling up bank information in QuickBooks Desktop (QBDT).

Since you mentioned above that you’ve been on the phone with a representative, we’ll also take note of that experience to share with the team and put an action into it. This also helps us improve our way of delivering a resolution to our valued customers.

If you want to import your transactions into QuickBooks Desktop, you can do it with Web Connect files so they become available in your bank feeds. You can obtain the transactions from your bank's website by logging in. Save them to your PC after you're finished. Then you can import them right away by following these steps:

  1. From the main menu click File, select Utilities. Then, choose Web Connect under Import.
  2. Select the file you saved and click Open.
  3. Select bank account, you can either select Use an existing Quickbooks account or Create a new QuickBooks account.
  4. Select Continue and then, OK. Once done, you can now review your transactions by going to the Banks Feed Center.

On the other hand, if the names of your vendors and customers are not available when you import your bank transactions, you can enter them manually in your account.

Furthermore, you can check out the following articles about adding and matching transactions as well as reconciling your account in QuickBooks Desktop.

Let me know if you need further assistance with banking. I’ll make sure to get back to you as soon as I can. Have a great day!

I would love to talk to someone from customer service regarding my exporting process. I am very unhappy, and now have to use desktop & online. I also had to pay my IT company almost $1,000.00 to help with this transfer because they kept getting the run around. As a small business we cannot afford to pay these mounting expenses

What kind of job scope did they offer you for $1,000 and still don't fully meet your needs? Are they familiar with QuickBooks data conversion?

Thanks for reaching out to us, @pks1987. I'm determined to ensure you can get your data exported from QuickBooks Desktop (QBDT) to QuickBooks Online.

Depending on the amount of data, it may take some time to receive the migration confirmation email. You may also verify if your file is ready to download by restarting the export process.

Here's how:

  1. Sign in to the QuickBooks Online account.
  2. Select the URL and replace anything after /app/ with exportqbodatatoqbdt.  The URL should say https://app.qbo.intuit.com/app/exportqbodatatoqbdt. Then, press Enter on your keyboard.
  3. You'll see an Export Overview window. Hit Get Started.
  4. In Step 1: Prepare to export, click Continue.
  5. If your data is ready to be downloaded, you'll see the same message shown in the screenshot below.
  6. Choose Continue to Download.
  7. Click Download QBXML file. If QuickBooks prompts you to save the file, choose a location easy to find, like your desktop and select Continue.
  8. In QuickBooks Desktop, make sure you're on the No Company Open screen. If you have a company open, go to File and select Close company.  View your reports to compare your data before and after the export.

Finally, run the migration utility and follow the steps, including creating QuickBooks Application Certificate to import your QBXML file to QuickBooks Desktop. Refer to this article and proceed to Step 4: Move Your QuickBooks Online Data to QuickBooks Desktop.

Please be back and let me know your result after following the instructions above. I'll continue to stick by your side and help you resolve this issue. I look forward to hearing from you again.
