Do I need to sign new payroll authorization forms when switching from QB desktop assisted payroll to QB Online payroll?

Setting up your company payroll for direct deposit is my priority, @leana-designbuil.

When switching from QuickBooks Desktop (QBDT) Assisted Payroll to QuickBooks Online Payroll (QBOP), you'll have to sign new authorization forms. This way, you can connect your company bank account to pay employees or contractors and pay taxes electronically using your Online Payroll service.

You'll first have to connect your bank account. It can take 1-3 business days to set up a checking account for direct deposit. Once it's set up, you'll use it to pay your employees and your payroll taxes.

Then, you need to verify your bank account. This is when Intuit makes a small deposit into your account of less than $1.00. You can input that amount to authorize the account for payroll transactions. It might be up to 2 days before you see that deposit. To do this, here's how:

  1. Go to the Payroll menu.
  2. Select the Overview tab.
  3. From your To-Do List, select Let's Go on Check your account for a small deposit, then verify.
  4. Select Verify your account.
  5. Enter and confirm the amount of the test transaction from your bank account.

In case there's no New payroll tasks button, another way to verify test transaction is to visit the Payroll Settings page from the Gear icon. Then, under Bank Accounts, select Company to verify account and enter the amount.

Check out this article for the step-by-step guide: Set up your company payroll for direct deposit (QuickBooks Online Payroll section).

After that, you're set to manage your employees' and contractors' direct deposit in payroll. Have your employees fill out, sign, and date a direct deposit authorization form and attach a voided check from their bank account (not a deposit slip). Then, you can invite your contractor to provide their W-9 business and bank account information to you. Refer to these articles for the complete details:

Also, I'm adding this article to further guide you in creating paychecks with QBOP: Create paychecks in online payroll. it also includes details about direct deposit processing times.

Please don't hesitate to comment below if you have other payroll concerns. I'll gladly help. Take care and stay safe always.
