Activate employee access to payroll

Hi there, @siva_dussa. I'm here to help you with activating your employee to access his or her paystubs.

If the employee's name is added to QuickBooks Online (QBO) already, you can follow these steps to do the invite:

  1. Sign in to your QBO account.
  2. Click on Payroll at the left pane, then tap on Employees.
  3. Select Invite to Workforce.
  4. Check the box next to the name you want to invite including the email address.
  5. Tap on the Send Invitations button.

Once done, your employee will receive an email with a link to set up and use QuickBooks Workforce to add their info (if you selected this option) and view their pay stubs and W-2s. The employee can also create his or her own Intuit account to manage their user ID, personal settings, and security information.

If you're activating a new employee, you can check out the instructions provided in this article: Invite your employees to QuickBooks Workforce to see pay stubs, W-2s, and more.

For additional tips, while working with your payroll transactions in the future, you can review the topics from this link: Help on common payroll topics.

If you have any other follow-up questions about giving the employee access to paystubs, let me know by adding a comment below. I'm more than happy to help. Wishing you a good one!

Activate employee access to payroll

I have an employee that was signed up then left for awhile and  is not getting this message:

“Your employer has adjusted your access to Workforce. You’ll need to reach out to them to regain access.”

How do I fix this?

Let's sort this out to resolve the issue about the employees login, Dan.

I'd also like to ask if the employee's status is active or inactive in QuickBooks? Do you also mean the employee is getting the error message when logging in to QuickBooks Workforce?

This error message usually shows up if the employee is tagged as inactive in QuickBooks. Let's go to the employee's profile and make sure that the status is active. Here's how:

  1. Go to the Payroll menu, then select Employees.
  2. In the All Employees drop-down, select Inactive Employees.
  3. Select the employee from the list.
  4. Proceed to the Employment section, then click the pencil icon to edit.
  5. In the Status drop-down, select Active to activate the employee.
  6. Click Done to save the changes.

Once done, let the employee access QuickBooks Workforce to check if the error no longer shows up.

Aside from that, you can also reach out to our chat support for QuickBooks Workforce. They can take a closer look at the error and help you further with this. Here's the link: chat with us.

Allow me to share these articles with you in case you might need them when working in the payroll section of QBO:

I cannot get anyone on chat support to help me gain access for my employees to workforce. The error message is that the employer is not set up with workforce.

It's good to see you here in the Community, @edodge.

Let's get rid of the error message so you can invite your employees to QuickBooks Workforce.

Employers will need to set up QuickBooks Workforce to invite employees without receiving errors. If you get the same result or having problems setting up, I recommend reaching out to our QuickBooks Support Team. I can see that you aren't able to contact them earlier, I'll provide another step to ensure you can talk or chat to one of our live agents. Here's how:

  1. Sign in to your QuickBooks Online account.
  2. Click the Help button.
  3. In the QuickBooks Assistance chatbox, select Talk to a human and choose I still need a human.
  4. Select Contact Us.

Once everything is good, you can now invite your employees to QuickBooks Workforce. For more guidance, feel free to check out this article: Invite your employees to QuickBooks Workforce to see pay stubs, W-2s, and more.

Please know that I'm just a reply away if you need any further assistance inviting employees to Workforce. I'm still open to your replies, @edodge.
