Hey there, michelle11.
Thanks for taking the time to visit the Community. I'd be glad to show you how to change bank account information for payroll in QuickBooks Online.
There are just a few steps to change your payroll account info. Here's how:
1. Click the Gear icon in the top right corner.
2. Select Payroll Settings.
3. Choose Preferences at the top of the page, beside of Setup.
4. Click Accounting Preferences.
5. Select Customize at the bottom of the page.
6. You'll then be able to choose the checking account to use for payroll.
* The account will have to be one that is already connected to QBO. This article will walk you through the steps of connecting an account if the one you need for payroll isn't already linked: https://quickbooks.intuit.com/community/Getting-started-with-QuickBooks/How-to-use-Online-Banking-Co....
This write-up provides additional info on payroll accounting preferences: https://quickbooks.intuit.com/community/Employees-and-payroll-taxes/Payroll-accounting-preferences/m....
You'll now be able to change the bank account used for payroll. Please don't hesitate to reach out to me if you have any other questions.
I Don't see a customize at the bottom of the page
Hello, 12354546575.
Thanks for following up on this thread. I'd be glad to provide some info on your question about the Customize button.
To isolate the issue, I'd like to make sure this isn't a problem with the browser. I recommend clearing the cache, since it can sometimes become full of older data, potentially causing viewing errors in QuickBooks Online. Clearing the cache will allow you to work with a clean slate and resolve errors like this. This article will walk you through the steps depending on which browser you're using: https://quickbooks.intuit.com/community/Getting-Started/How-do-I-clear-my-browser-cache-and-temporar....
If you're still not seeing the Customize button, you may want to call in to speak with a member of the Payroll Support Team. Agents have the necessary tools, like screen-sharing, to look into your account and determine what's causing this problem. The number to speak with an agent is 1-800-488-7330. The most up-to-date contact information can be found here: https://help.quickbooks.intuit.com/en_US/contact.
Feel free to comment below and let me know how things look after trying this out. I'll be here to help in any way that I can.
Hi how can I change the bank account to an already epayment to Irs that posted on wrong bank account?
Thanks for visiting our forum, @Brigitte333,
If you haven't updated your payroll accounting preferences to the correct bank account for e-payment, I'd recommend doing that first. While changes to these settings can be reversed, such as the expenses and liabilities, the bank account won't.
For additional information on this, please see the following article: Payroll accounting preferences.
Since updates to posting accounts only affects future transactions, you can correct the balance by entering journal entries. Here's how to enter an adjusting entry in QuickBooks:
Here's a great article to guide you with the steps: Create a journal entry
If you need guidance on what accounts to use, I would suggest getting in touch with an accounting professional. They can help you with your adjustments that best fit your organization.
Please let me know if you should have any questions about the journal entries or other QuickBooks related topics. Have a good one.
We recently switched bank accounts for our business. No problem linking the new bank account to QBO. Then we ran our first payroll from the new bank account, but had not yet updated the accounting settings inside the payroll section of QBO. We have now done that (as per this feed). But payroll would have tried to transfer the money to the employees from the old bank account (which is closed). Do we run payroll again? Or do just quickpay them from the bank account? Or will QBO re-try to send payroll when it can't get the money from the other account?
Their's no need to run your payroll again, @Brian Lee.
Your employees will still receive their paychecks as long as their bank account is correct. However, there's still a chance that your account will be placed on hold. This will happens if there's a failure to debit funds from your bank account since you can't stop direct deposit from getting through your employee's bank account.
If this happens, the option to run a payroll will be unavailable until there's a confirmation from our bank that funds have been received.
I also recommend contacting our Payroll Risk Management through chat or by phone so they can provide you the best options on how to fix this. You can check this article on how to connect with them: How does Intuit process bank returns for insufficient funds and uncollected funds?
You can comment below if you have other payroll concerns in QuickBooks. I'll get back to you in a moment.
Okay. So, to be clear... will QB try again to pay the employees from the bank, except this time it will transfer from the proper bank account (since I have now switched it in the settings)…?
Sorry, I asked that wrong in my reply.... Will QB try to get the money again for itself (not for the employees, since they received their money from QB already), but from the new bank account that has now been set up?
Welcome back for more support, @Brian Lee.
I'm glad to know that your employees received their pay. I also appreciate you for setting up the new bank information in your QuickBooks company, and yes, we will perform a re-debit to your updated bank account.
In case the re-debit fails for some reason, you'll be notified via email about the wire instructions so you can send Intuit a bank wire transfer until 12:00 PM PT on the next business day to avoid inconvenience.
For more information and instructions, refer to this article: All Online Payroll - NSF Holds and read through these topics below to make sure you can continue using our payroll service and to avoid a negative effect with your Intuit account:
Feel free to come again if you have more questions. We're always delighted to help you further.
The above will just help in changing the Mapping or Posting of Bank account used for payroll. If you want to pay from a different account, you need to call Quickbooks and give them Voided check or a letter from Bank letterhead showing account details and contact info. of bank official providing the letter.
So I just need the tax payments to be made from a different account. Is there a way to do that?
Thanks for following the thread, @Kelly P.
You will need to contact our payroll support team to change the account for the tax payments. Please note: If you have any payments dated for today's date or earlier, they will be taken from the current bank account. I've included the steps below to contact support.
1. Sign in to your QuickBooks Online company.
2. Go to Help (?).
3. Click Contact Us.
4. Enter your concern, then hit Let's talk.
5. Choose a way to connect with a support agent (Callback, Chat, Etc.).
Let me know if you have further questions or concerns. You can reach out to the Community any time. Take care and have a great weekend!
They payments themselves are coming out of the correct account but the general ledger is taking them out of both accounts. I just need the general ledger updated to the correct account. Thanks!
I'll share the steps on how you can change the ledger account for tax payments, Kelly.
You can go to the Accounting Preferences in your Payroll Settings to assign the tax payments to a different account. Here's how:
You'll also want to check this guide in case you need to update your company payroll information in the future: Update your business info in online payroll.
I'd be glad to get back here if you need more help with QBO.
I wanted to switch payroll to run from a different bank account that is already connected to QBO. It wouldn't let me do it automatically and I had to enter the bank routing number and account number again. It then wanted to send me a message to a phone number that is no longer tied to the business. Nowhere in our account settings is this old number located. Why is it pulling up an old phone number and how can I bypass that? I have full admin privileges.
I know a way to update your phone number, dawnwedplan.
Once the two-step verification is turned on, a code will be sent to your registered mobile number through text or call. We can change the number on the Intuit Account page. Here's how:
For your visual reference, I've attached some screenshots below.
Once done, you can now change your payroll bank account.
Additionally, you can run payroll reports in QuickBooks Online. This helps you view useful information about your business and employees.
In case you'll need assistance in switching your payroll bank account, don't hesitate to get back on this thread. We're always here to help you.
