How do I find copies of all forms 941 filed last year?

I appreciate you for reviewing your archived tax forms, @Jason. I'm here to help you find the 941 forms filed in QuickBooks Online so you can file a worker's comp audit immediately.

To start, let's access your QuickBooks account using a private browser. This step disables the cache from saving your browsing history, which also affects its performance. Here are the keyboard shortcuts:

  • Google Chrome: Ctrl + Shift + N
  • MS Edge and Firefox: Ctrl + Shift + P
  • Safari: Command + Shift + N

Once done, let's follow the steps below to view your Form 941 and ensure you've selected the correct filter:

  1. Go to Taxes, then Payroll Tax.
  2. Under Forms, select Quarterly Forms or View and Print Archived Forms to see the archived ones from prior periods.
  3. Tap the 941 link.
  4. Click Preview, then download the form in PDF format or print it.

See these snippets below for your reference:

If this works, you’ll need to clear the browser's cache. By doing this, it’ll remove the built-up cache in your default browser, so you can start with a clean slate. You can also use other supported browsers as alternatives.

If you're still unable to see all of them, I'd suggest getting in touch with our QuickBooks Online Support. They can pull up your account and help you get the other quarter of your 941 forms.

I appreciate you for joining the thread, @Mmfarris. I'll help you access your archived 941 forms.

Usually, you can view those forms as long as you've archived them. You'll have to ensure that you've filtered the correct date so you'll see the data you need.

If you're currently using QuickBooks Online, you can follow the steps below on how you can do it:

  1. Go to the Taxes menu and select Payroll Tax.
  2. Choose the Filings tab.
  3. Click Resources and tick Archived forms and filings.
  4. Select the  dropdown menu to filter the form type you want to view.
  5. Hit the form name, then View.

For QuickBooks Desktop, you can view this article for the detailed process: View your previously filed tax forms and payments. If you're still unable to see all of them, I'd suggest getting in touch with our QuickBooks Online Support. They can pull up your account and help you get those forms.

You may also want to run payroll reports in QuickBooks. This will help you view helpful information about your business and employees.

Feel free to leave a reply if you have more concerns about payroll forms and taxes. I want to ensure everything is taken care of. Keep safe always.

Since the recent 'update' there is NO LONGER a VIEW OPTION>  How can I VIEW archived filings?

PLEASE DO NOT 'UPRADE' pages until you are sure that nothing is lost!

Hello Dsimm54057,

I'm here to ensure you can view the archived forms.

To review the forms, you can go to the Archived forms page on your QuickBooks Online account. Here's how:

  1. From the Taxes tab, select Payroll tax.
  2. Click Filings.
  3. Select the Resources icon.
  4. Go to the Archived forms section.
  5. Customize the type of forms and the date.
  6. Click Filter.

If you have QuickBooks Desktop, you can follow these steps instead:

  1. From the Employees menu, select Payroll Center.
  2. Go to the File Forms tab, then View/Print forms & W-2s.
  3. In the Payroll Tax Center window, enter your Payroll PIN. Then select OK.
  4. Select Filed Forms.
  5. Select the forms you want to view, print, or save.

If the steps above are unavailable on your end, you may be experiencing some data-related issues. To fix this, you can log into your QuickBooks Online account in an incognito window. You can use these keyboard shortcuts to open one:

  • Google Chrome: Ctrl Shift N
  • Microsoft Edge & Mozilla Firefox: Ctrl Shift P
  • Safari: Control Option P

For QuickBooks Desktop, you can check this article for the detailed steps to verify and rebuild the file: Verify and Rebuild Data in QuickBooks Desktop.

How do I find copies of all forms 941 filed last year?

Hi. I need help!! I too need Quarterly reports for my workers Comp audit. I have spent a totally of five hours with desktop pro to get these reports with no luck. My company had to transition over to Quickbooks online from desktop pro 2021 and I no longer can get access to these payroll reports. Customer service people passes the buck to someone else and has jumped ship 3 times leaving me stranded again, who does this. All I need is access to my previous desktop to get these reports. Someone please help me.

How do I find copies of all forms 941 filed last year?

Hello there, @Silas1234. Upon reading your post, I can see how challenging it was for you to access your QuickBooks Desktop (QBDT) payroll reports to move to QuickBooks Online (QBO).

We appreciate your efforts in finding ways to achieve your goal. Allow me to help you handle it this time.

Let's ensure your QBDT Pro 2021 account is still active to access previously filed quarterly forms. I'd like to know if you encountered any errors opening your account. If so, we can run Quick Fix my Program from the QuickBooks Tools Hub to resolve common errors.

Here's how:

  1. Close QuickBooks.
  2. Download the most recent version (1.6.0.5) of the QuickBooks Tool Hub. Also, we recommend using the Tool Hub on Windows 10, 64-bit.
  3. Save the file where so you can easily access it. If you've installed it before, you can find out which version you have by clicking the Home tab. It's visible on the bottom part.
  4. Open the file (QuickBooksToolHub.exe) and follow the onscreen steps to install and agree to the terms and conditions.
  5. Once done, click the icon twice on your Windows desktop to open the tool hub. If you can't find the icon, search for it on your computer.

For detailed steps, check out this article: QuickBooks Desktop won't open.

Once you open the account, let's acquire your previously filed tax forms. Feel free to follow this article:

  1. Select Payroll Center from the Employees tab.
  2. Click File Forms, the View/Print forms & W-2s.
  3. Enter the Payroll PIN  in the Payroll Tax Center window. Then, OK.
  4. Choose the Filed Forms and select either View, Print, or Save.

Moreover, migrating company files from QBDT to QBO has an exact process to include all employee tax info during the migration. Feel free to read this article for info: Move your QuickBooks Desktop file to QuickBooks Online.

Also, you can read this article to learn what data are transferrable from QBDT to QBO: Learn how features and data move from QuickBooks Desktop to QuickBooks Online.

Furthermore, please know that last May 31, 2024, QBDT 2021 software including the Desktop Pro was discontinued.

Access to live technical support, Online Backup and Banking, and other services will be stopped after the said date. You can read this article for more info: QuickBooks Desktop service discontinuation policy.

If the issue persists, I recommend routing back to our support to acquire updates on your raised issue. Also, I suggest providing your case number to avoid repeating the details. You can click this link to contact them without logging in to your QBDT account: https://quickbooks.intuit.com/learn-support/help/en-us/contact-us

If you want to use your QBO account to reach them, you can refer to this article: QuickBooks Online Support.

Don't hesitate to return here if you have additional questions about acquiring data from QBDT to move it to QBO. We'll be willing to lend a hand. Keep safe always.
