Question about QuickBooks Online Payroll export to Quicken

We currently use Intuit Online Payroll (IOP), and export our weekly payroll info into Quicken using the built in functionality in IOP. Today we received notification that IOP is being retired on July 12 and we will be transitioned to QuickBooks Online Payroll Core.

 

Does Quickbooks Online Payroll Core allow for export to Quicken? I've read through the support articles and it's not clear.

Hi there, @Brothersbr. The instructions below will ensure you're able to convert your QuickBooks Online (QBO) Payroll data to Quicken.

 

The closest way to do it is to export your data from the QuickBooks Desktop (QBDT) version to Quicken. You can download a trial to use as an alternative. This is where we can export the data from QBO. Then, export your lists or transactions to Excel. Once done, import the file to Quicken.

 

  1. Download a QBDT trial version. Before you start, ensure that your computer meets the minimum requirements to install QuickBooks.
  2. Launch QuickBooks Desktop.
  3. Go to File and select Close Company. Leave QBDT open while you complete the rest of the steps.

 

Then, you can proceed with converting your QBO data to QBDT. Refer to this article for the data lists that can be converted: How your data is converted.

 

Once you're done, we can begin exporting your data from QBDT to Quicken using Excel. You can start with exporting your Chart of Accounts and Vendor lists. Refer to this article for the detailed steps: Convert from QuickBooks Desktop to Quicken.

 

For your future reference, you may want to convert your Quicken data to QuickBooks Online. Refer to this article for the details on how to achieve this: How to convert Quicken data to QBO.

Thanks for you reply. I do have a clarifying question.

 

Intuit Online Payroll allows you to export a Quicken QIF file that can be imported directly into Quicken. From your explanation below, it sounds like Quicken Online Payroll Core does not provide the option to export a Quicken QIF file, hence the need for the multi-step workaround you describe below. Am I understanding this correctly?

 

Also, just to clarify, we use Quicken and not QuickBooks for accounting. We use Intuit Online Payroll (soon to be phased out and converted to QuickBooks Online Payroll Core) for payroll. We are not planning to switch from Quicken to QuickBooks for accounting, so we are trying to determine if switching from Intuit Online Payroll to QuickBooks Payroll Core will still allow us to export a Quicken QIF data file that can be imported into Quicken. From your response below, it sounds like no, but that's what we are trying to figure out.

You may look for a third-party application that can help you export your QuickBooks Online Payroll Core data to Quicken. You can visit our Intuit App Center to find an app that supports this functionality that you need.

Question about QuickBooks Online Payroll export to Quicken

Hello @LieraMarie_A,

 

I do have a follow-up question. You say that QBOP Core does not support the creation on an export file for Quicken, and that third party software is necessary. However, that seems to contradict Move from Intuit Online Payroll to QuickBooks Online Payroll Core

 

The video in the above referenced help article that specifically says "export transactions to your accounting software" and points to the button in IOP Core to do so. This functionality looks just like the current functionality in IOP.

 

So, this raises two questions. Does QBOP allow for export to accounting software, as the video shows? And, what accounting software does QBOP Core support for export (for example, IOP supported not only QB, but Quicken, Peachtree, etc.). A list of QBOP Core supported accounting software as it relates to export would be appreciated.

Thanks for your reply, but it does not address either my original or follow-up question. Please re-read my original and follow-up posts below. As you can see, we are not trying to export from IOP to QBO, buy Intuit staff keeps replying with those instructions. We are asking what accounting systems QBOP Core supports for export.

Question about QuickBooks Online Payroll export to Quicken

I agree - the question asked was not answered. The question is how to export completed payroll data from QuickBooks Online Payroll Core to Quicken. This is a critical feature for me as well. I'm being forced to migrate from Intuit Online Payroll to QuickBooks Online Payroll Core and cannot get a simple answer as to how to continue a key function performed by the system being retired. Also there was a plug in called "One Click Export" that could make the export from Intuit Online Payroll to Quicken fast and easy. I'm hoping there is an equivalent in QuickBooks Online Payroll Core... but no one seems to offer answers and the chat feature is pretty useless.....

Allow me to join the thread and clarify things about exporting data from QuickBooks Online Payroll to Quicken.

 

When moving your payroll data from Intuit Online Payroll to QuickBooks Online Payroll Core, the One-Click Export option is unavailable. As mentioned by my colleague @LieraMarie_A, to export your payroll data to Quicken, you can import the data from QuickBooks Online to QuickBooks Desktop, in which you can download our trial version.

 

You may also consider using a third-party converter to export your data successfully. To give you a list of application that can integrate with QuickBooks Desktop, see this link: https://desktop.apps.com/home.

Question about QuickBooks Online Payroll export to Quicken

"QUICKEN" is neither "QuickBooks Online" nor "QuickBooks Desktop".

 

Quicken as you may know formerly was an Intuit product - but it was spun off to become a separate company.

 

I use, as apparently others here do Intuit Online Payroll  and I download the processed payroll data to Quicken.

 

Intuit has promised that all features of Intuit Online Payroll will be retained - even improved when the mandatory transfer to QuickBooks Online Payroll Core occurs.

 

Once we are migrated to QuickBooks Online Payroll Core - we will still need to be able to export payroll data over to Quicken.

 

I'm baffled by the attempt to have me download a trial of QuickBooks Desktop - that's not Quicken - its a different program (that I don't need for any other purpose).  

 

The goal is to be able to as quickly and efficiently as possible export data from QuickBooks Online Payroll Core directly to Quicken.

 

I hope this explains why I, and others in this discussion are totally confused by your answer - and keep asking the question.

Question about QuickBooks Online Payroll export to Quicken

Hi, I have the same concern, as I have used Quicken (not Quickbooks in any incarnation) to run my business and $120,000 payroll, and see that I will be forced to use Quickbooks, pay annual fees for that, I guess the $900 a year Intuit was getting from my IOP subscription was not enough. 

The work around I am going with is to switch to a basic online payroll (Patriot I think I'll use, there are others) and at the end of each payroll, just make one entry in my Quicken of "payroll expense" and "payroll liabilities". That will keep my Profit and Loss accurate, all the withholdings and unpaid taxes will go in the liabilities, and all the pay and employer taxes go in the payroll expense entry. 

I did not come up with this, that is how the old online Intuit payroll did it.  If you go back to 2009 with Intuit, go find those payroll entries. 

When you want a breakdown, your online payroll service will have the needed reports. 

To get the figures for those two entries,"payroll expense" and "payroll liabilities" , your payroll service will have a quick report for each payroll run with the total wages, employer expenses, etc, I don't expect that I will have to add but 3 or 4 numbers to find the two figures I'll enter in Quicken once a week. 

I'm betting I can figure out a way to download the report in CSV and then run a converter (google csv to qif converters) to make it even easier down the road. 

I think I'm ready to be done with Intuit, and do a few calculations once a week, to keep Quicken (been using it since 1989). 

When comes time to balance the checkbook, I won't have an entry for each paycheck, but as long as the paychecks (which are grouped on the bank statement anyway) total equals the "net wages" that I entered for that week, I'm good.

So the once weekly entry will look like one check, with the amount of the transaction is what your payroll that week says is the net pay, then the split entry is the expense is the reports total expense for that week, and the remainder, the "liabilities" (which will be showing automatically once you make the two previous entries) should equal all the withholding and unpaid taxes.

Here's an example if I can insert it here.  The net pay is in the register and is what is taken out of the bank, but the split shows the expense and subtract the liabilities equals the net.

Below: the net (take home pay) of 219.90 is the difference of the split entries.  Just make one entry like this for the whole payroll that period.  No QIF import, your P&L is good, all detail reports come from any ol payroll service you choose.

Glad to have you here on the Community page. I'm here to answer all your concerns about exporting files in QuickBooks Online. 

 

If you're trying to export Intuit Online Payroll to Quicken you can't export paychecks and tax payments at the same time. There are different options for how to successfully import tax payments and paychecks for Quicken 2005 and later. 

 

Here's how:

 

Quicken 2005 and later:

 

  1. In Quicken, click File.
  2. Click File Import.
  3. Click QIF File.
  4. At the QIF Import window:
    • Locate the payroll.qif file you saved.
    • Select <All Accounts> from the Quicken account to import into drop down.
    • Check TransactionsSpecial Handling for transfers, and Account List.
  5. Click Next.
  6. Click Done.
  7. Click Accept All.

 

Quicken 2004 and earlier:

 

  1. In Quicken, click File.
  2. Click Import.
  3. Click QIF File.
  4. At the QIF Import window:
    • Locate the payroll.qif file you saved.
    • Select the Quicken bank account from the Quicken account to import into dropdown.
    • Select TransactionsAccount List, and Special handling for transfers.
  5. Click OK.

Wow, you guys are really not answering the question.

 

We were forced to move from Intuit Online Payroll (since you discontinued it) to Quickbooks Core Online. With Intuit online payroll, we were able to export payroll data to a QIF file, which we then imported into our Quicken program.

 

Now you removed the ability for us to export payroll data from Quickbooks online to a QIF format. (why is this so difficult to understand?). You want us to download a trial version for Quickbooks, which is free for 30 days, and then pay a monthly fee for a program we won't use since we currently use Quicken... This does not make any sense!

Since the option to export your payroll data in a QIF format is not available, I'd recommend letting our product developer know this directly by sending feedback. Let me show you how.

  2. Select Feedback.
  3. Enter a few words describing your request and how you wish to utilize it.
  4. Click Next.

Question about QuickBooks Online Payroll export to Quicken

I did find a  program that can fairly easily create a qif file from a csv: https://www.propersoft.net/products/transactions

formerly known as "csv2qif converter". 

It worked for me, I downloaded a csv payroll report from my new payroll service, and used "transactions" from propersoft to convert the csv to a qif.  It worked.  It creates categories from the csv column headings, so I assigned the "net pay" to the check amount, then set it up to create a split with "gross wages" and then the various employer taxes.  That does leave a remainder, in each Quicken entry when you import the qif, that has to be manually assigned to [payroll liabilities].  This is how the old Intuit Payroll program I used prior to 2009 did it. 

But I don't think I will end up doing that.  My suggestion is forget the QIF import, and use any online payroll provider, then once per payroll make one entry in your Quicken checkbook for payroll, the amount being the net pay, then a split with "gross wages", and "employer taxes" (your payroll provider will have a summary each payday with these figures.  The remainder assign to [payroll liabilities].  Then when you pay the various withheld amounts (SUI, FUTA, state w/h, anything you didn't pay on payday), it's a transfer from [payroll liabilities].

If you go way back with Intuit's payroll products, that's the way they did it years ago. 

I can only look back to 2003 in my Quicken register, and I was using Quickpayroll then, so I'm probably a 20+ year customer.  Ends now.

 ok, for the quickbooks team. I do not in tend to purchase quickbooks online or quickbooks online desktop. I want to only use quicken because I have used it for ever and it suits my needs as a small business. I understand that I will manually have to enter my payroll information into quicken because you don't have a qif file which is extra work but is a workaround not having a qif file . My main question which you seem to evade is how to convert my data from intuit online payroll to quickbooks online payroll without having to use a free trial or purchasing qbo. If I do nothing will it convert on its own? Or do i manually have to do it through quickbooks online after purchasing a free trial? And if i sign up for a free trial, can I then end the trial and use quickbooks online payroll on its own with my data converted over without quickbooks online? Very simple question that has not been answered. As i understand it i am screwed unless i purchase quickbooks online and keep it forever along with another subscription fee. Is this correct and if I dont purchase this product I will lose all my data in intuit online payroll and will not be able to use quickbooks online payroll?

Allow me to share the information you need about the process of Intuit Online Payroll (IOP) to QuickBooks Online Payroll (QBOP) conversion. I know these would be tough, especially when the product you're using comfortably is ending soon and recommended to transfer into another supported online payroll software. Rest assured, I'm here to provide more details about it.

 

About the conversion from IOP to QBOP, you'll be prompted to sign in and accept new billing terms, which will successfully migrate you to the new payroll. That said, the conversion will be done automatically by the system that you won't have to do anything on or after July 12, 2021. And you won't have to use a free trial for the conversion (IOP to QBOP migration). Once it's successful, you'll have to use the same username and password upon logging in to qbo.intuit.com (QBOP and QBO login URL). Please know that prices are always subject to change and new product experience.

 

For additional clarifying information in this thread, Quicken, IOP, and QBOP are different online software. The main poster asked how to export QBOP data to Quicken since IOP can easily export the data to Quicken. That is why my peer answered to use a trial QBDT version when exporting QBOP data to Quicken. In that case, if you wanted to export data from QBOP to Quicken, you can follow the steps recommended by my peer, @LieraMarie_A, above this thread or use a third-party application to do the process.

Thank you for the clarification. This will make the conversion a little easier for me as now I need to learn just one new program. As I get comfortable with quickbooks online payroll and in the future decide I want the convenience of exporting my data to quicken, can I add qb online at that time and will it work the same as if I purchase it now and export my data now through qbo to qbop? In other words I want to add one module at a time for learning purposes and want to make sure I have the potential to add the other module in the future for exporting purposes.

What is the file type you use to convert data from quickbooks online payroll to quickbooks desktop? and what files does quickbooks online payroll support for exporting into other programs (qbw, iil, etc.)? Also, once this data is in quickbooks desktop, can this now convert to a qif file for export into quicken? And if i download this free version of quickbooks desktop to do this conversion, will I need to convert to a paid version once the free trial ends to continue using quickbooks desktop to convert my files to a qif format for exporting into quicken?

Allow me to provide some information about file types that QuickBooks use and guide you with the migration process, dispcarl.

 

QuickBooks Desktop uses the QBXML file when exporting files from QuickBooks Online (QBO) to QuickBooks Desktop (QBDT). To guide you with the process, follow this article for more information and detailed steps: Export and convert your QuickBooks Online data to QuickBooks Desktop. Once done, manually convert your data from QuickBooks Desktop to Quicken using Excel. 

 

Here's how:

  1. Go to the File menu, then select Utilities Export Lists to IIF Files.
  2. Mark Chart of Accounts and Vendor List, then select OK.
  3. On the Export window:
    1. From the Save in the drop-down, choose the location where you want to save the IIF file (often, this will be your Desktop).
    2. In the File name field, delete the asterisk (*), then enter a file name.
    3. Select Save, then OK.


 Also, yes you're right. You'll be using the QIF format when exporting to Quicken. Here's an article that will show you the process: Convert from QuickBooks Desktop to Quicken. Also, you can utilize and download the QuickBooks Desktop trial version so you can import your data to Quicken. Before you start, ensure that your computer meets the minimum requirements to install QuickBooks: What are the system requirements for QuickBooks Desktop?.

 

However, moving your payroll data from QuickBooks Online Payroll (QBOP) into QuickBooks Desktop isn't possible. Though, you can export employee information by creating a report and exporting it to Microsoft Excel.
