The business/ employer address is wrong on the tax forms and paystubs for my eployees, how can this be corrected?

The address used is not the business address but the address of an employee who lives in a different state. This is a very big mistake made by the system because the business address is correct in the account settings.

You may see three different addresses in the Account and Settings. These are:

  • Company address
  • Customer-facing address
  • Legal address

We need to make sure that the Legal address is correct. QuickBooks Online will use this address for filing purposes. If these addresses are the same, make sure to check the Same as company address box.

 

Also, let's visit your payroll set up. Go to the Gear icon and select Payroll settings. Click the General Tax Information and update the Filing Address from there.

The company address is correct and the customer-facing and legal, both say 'same as company address'.

 

When i go to the payroll settings, filing address, it had the check mark next to the box saying same as buisness address, yet it has the incorrect address, that of one of my employees in a different state. Where is the buisness address auto fill linked to/generated from for this to be wrong?

 

It does allow me to un click and add the correct address. Once I do this what steps do I need to do to correct the previously incorrect yet, filed forms? such as W2, 941, etc.

The company address in the Account and settings is intended for your accounting transactions. Meanwhile, the company address in the Payroll settings is used for filing of payroll forms, payroll tax calculations, and etc. These two data are not directly linked hence you still need to set up the Payroll settings correctly.

 

Regarding with the forms that were already filed with incorrect company address, I'd recommend reaching out to IRS. They can verify whether you need to file for amendment forms or the changes can take effect on the next tax season.

Ok, thank you for the links and i will directly reach the IRS for amending the incorrect forms.

 

I found a page which showed, Setup on the top left, and then hyperlinks to fill out information and one was 'business locations' and it showed the two active locations we have employees at, but the first address had an astrix* next to it. Below it said that the astrix* meant that this is the location that will be used on tax forms. I tried to the edit this location, but I was able to change every part of the address except the state abbreviation which was greyed out. Which doesn't help me.

 

I seem to have lost the page and can't seem to get back to it, but I know it had 'Setup' in the top left with other headers. Can you help me understand how to get back to this page, and why it didn't let me change the address to a different state?

I might have an idea on what page you last visited, marshelle.

 

You're likely referring to the General Tax information section where you can update the address. Here's how to get there:

  1. Log in to your QBO account.
  2. Click the Gear icon in the upper-right corner and select Payroll settings.
  3. Under Taxes, select the General Tax Information hyperlink.
  4. You can now update the Company General Tax Information.
  5. Click OK to save the changes.

It was not the General Tax Information page. I attached a screenshot of a page that looks nearly exact from google images. I remember the specific hyperlinks such as 'work locations' and 'pay schedules', with 'setup' in the top left corner, nearly exactly as shown here. That is where I was able to click on work locations, and it specifically was calling out with an astirix* next to the incorrect location, saying it would be used for filing on forms. and when I tried to change it, I was able to change all fields except the state abbreviation, which is absolutely necessary as we have the main business location in a different state. 

 

I see on my account I have quickbooks payroll core, but the hyperlink you gave, doesn't give me directions to get to this page that I am talking about. 

 

if your next guidance has no additional help, i will just contact payroll support in the morning.

I suggest reaching out to our customer support team. This way one of our representatives will be able to pull up your account and check the setup of your location.

I'm scouring the internet for same problem... company address is correct in company setting and payroll settings general tax section.  Even W2s are correct... The company address is correct everywhere EXCEPT on the employee paystubs!   Any solution?  I can't even find a phone number for support.    Quickbooks is getting a bit ridiculous for as much as i pay.... very frustrating!

Let me go over and discuss some details about the process.

 

In QuickBooks Online (QBO), the address shown on the paycheck is based on the information entered in the Work Location associated with your employee. You'll want to verify that it has the correct data to ensure the info that appears on the paystubs is accurate. Here's how:

 

  1. In your QBO account, navigate to the Gear icon and select Payroll Settings.
  2. Next, choose Work Locations under Business Information.
  3. Then, click on the address of the Work Location.
  4. Check if the info is correct and update it if necessary.
  5. Once done, click Save.

 

For reference, feel free to check this article: Set up and assign a new work location.

 

After that, close and re-open your QBO company file. Then, create a paycheck for that employee and check the information.

 

If the same thing happens, I recommend reaching out to our Payroll support team to further help you in correcting your employee's paystub. You can also request a screen-sharing session so they can review your setup.

This does not exist after going to the payroll settings in quickbooks online (payroll core).   The only place I see where you can change the "work location" is by clicking on each employee one by one.   Even there, the address is correct.   I'm only seeing the incorrect company address on the actual paystub.

First, I commend you for taking the time to perform the steps provided by the previous representative above. Please know that the steps provided by my colleague are for old payroll. You'll want to ensure that the General tax info in QuickBooks Online is accurate. This way, once you print your employees' pay stubs, it'll show you the correct address. To begin, here's how:

 

  1. Access your QuickBooks Online company.
  2. Go to the Gear icon, and then select Payroll settings under Your Company column.
  3. Click the Pencil icon  for General tax, and then make sure the address is correct.
  4. Once done, click Save.

 

The address that will reflect on the printed paystub is the same address on your  General tax info. In case you've got the correct address in your General tax info but show an incorrect address in your employee pay stubs, I recommend performing some basic browser troubleshooting to get through this.

 

Let's try to access your company file using an incognito window to rule out the possibility of a webpage issue. To open an incognito window in any supported browsers, you can use the following shortcut keys:

 

  • Chrome: Ctrl+Shift+N
  • Firefox: Ctrl+Shift+P
  • Safari: Command+Shift+N

 

Once you're in, try to perform what you're trying to accomplish earlier. If it works and you're able to print an employee pay stub with the correct address in it, you can proceed to clear your browser. This way, you can access QuickBooks Online with a clean slate. I'm having the same issue as well.  Under Payroll Settings - General Tax - I have the correct address.

 

But each quarter, our Form 941 submits to the IRS with the OLD address, and the IRS sends us a form saying they've changed our address back to our old office.

 

Every quarter I have to send a new form telling the IRS to change our address back.  This is ridiculous.

 

The "Company Legal Address" in the General Tax Info page should show on all W-2's and 941s.

This is unusual behavior, Chris7771.

 

This issue could be browser-related. The outdated stored cache can affect the performance of the program.

 

I'd recommend logging in to your QuickBooks Online account via a private window. Doing so helps us determine if there's an issue with the browser.  

 

Here are the keyboard shortcuts: 

 

  • Safari: Command + Shift + N 
  • Google Chrome: CTRL + Shift + N
  • Mozilla Firefox or Microsoft Edge: CTRL + Shift + P 

 

Once signed, make sure the correct address shows. If so, let's clear the browser's cache to improve the program's performance.

 

You can also use other supported browsers as alternatives.

 

If the issue persists, I'd suggest contacting our QuickBooks Support Team. They're equipped with tools to check the cause. It'll also allow them to submit a ticket to our engineering team to alert them about the issue if necessary.

It is unconscionable that these issue continue to go on, after fully documented to QuickBooks. I, too, have had the wrong company address on tax filings, and QuickBooks simply closes the ticket and claims they “resolved” the issue, when they did not do amended returns, they did not even provide a blank amended form, nor do ANYTHING. Their software doesn’t allow companies to relocate and change the address. And the having to do so in multiple places while not inheriting the company account settings for add-on services is very unusual UX that should be called out and/or offer prompts to go to the add-ons when changing the parent account (which one can change states…just not for payroll).  So customer service says QB will do something, but they don’t. The QB website states in print that they will file proper returns, but they don’t. They don’t take responsibility for their software, their errors, or anything promised by their customer service representatives. I’m sure these complaints go back farther than the 2 years I see here i this thread.
