We use QB Online Payroll - I need to download a copy of our W-3 but it is not showing - I only see W-2.s but they say they are ready - do I get the summary somewhere else?
You’ve come to the right place, @Sjones94. I’m here to walk you through downloading the w-3 form in QuickBooks Online. It’ll be quick and easy.
The W-3 form is a summary of the W-2 employee information. When you file the W-2 Copies A and D within QuickBooks, the system will also include the W-3 form. Thus, you do not need to send a separate one.
Take note that the W-3 form available in QBO is for employer’s copy only. However, you can use its information as reference in filling out the official W-3 form for submission.
Here’s how to download the W-3 form:
I’m adding snapshots below for your preference:

Thank you so much! I can get to that part but when I click on the W-2s all I see is W-2's.....no W-3. What am I missing? I know I found it last year. Thanks!
Hello Sjones94!
You can get an employer's copy of the W-3 form in QuickBooks Online. Let me help you.
The W-2 and W-3 are separated. This is why you can't see the W-3 when you click the W-2. Instead, find and select the W-3 from the list of available forms.
Follow these steps:
I added these links for your reference on how to generate W-2 and W-3 forms as well as an article on how to run payroll reports:
Keep your posts coming if you need more help with this. Take care!
Thank you but all I am seeing are the W-2's. I do know the W-3 is separate - does it take longer for it to show up? I did not have this problem last year. I can view last year's in archived forms.
Let's get this sorted out, @Sjones94.
We can perform some browser troubleshooting steps to isolate the issue. To start, let's begin by accessing your QuickBooks Online (QBO) account using a private browser. This will give you a fresh start and errors held in cache or cookies will no longer apply. Below are the shortcut keys for the private browser you can use: Below are the shortcut keys you can use:
Once signed in, download your W3 form again.
If this works, I'd recommend clearing the cache of your regular browser. This will refresh website preferences that might be causing problems when opening sites. If the same thing happens, you can use other supported browsers to access the form.
I've also added this article from IRS to give you more information about the W3 form: About Form W-3.
However, if you still can't find the W3 form after performing the steps in this thread, I'd recommend reaching out to our Payroll support team for additional assistance. They use specific tools to check your account and help you get a copy of the form.
It's easy to track and monitor your employee information and your company's finances in QuickBooks Online. To do so, you can pull up any payroll reports that suit your needs. Each report has corresponding data that they display, you can also export or print them to have a handy copy that you can use as a reference.
You can always post your questions about QuickBooks here in the Community. I'm always around to help. Take care.
Thank you but that did not work either. I was able to chat with online support and they were unable to find it as well but added it to the archived forms so now I have it. They didn't know why it wasn't there. Thanks for the help.
Taxes --> Payroll Tax Tab Then click the "Resources" link at the top right (between Print and Archive).
Then click W2s in the side window that pops up.
There is your W3 (W-3 Summary). So intuitive.
You don't need to clear your cache.
I'll send my bill to Intuit for actually providing the right answer.
